# A Fixed-Fee *Burlington* Accountant for Owner-Run Companies

EverStone CPA is a Canadian accounting firm working with incorporated businesses across Burlington and Halton Region — corporate tax, bookkeeping, payroll and plain-English advice, delivered by video, phone and secure email, at a fixed fee agreed before we start. Owners in Aldershot, Oakville, Waterdown and Hamilton are served the same way.

**Who we help here:** Small manufacturers and machine shops, engineering and technical consultancies, software and IT firms, food and beverage producers, and the family companies behind restaurants, trades and professional practices. Most are owners who incorporated for the small-business rate and now want one CPA who handles the whole file and explains it in plain terms.

**Quick answer:** EverStone works with incorporated Burlington businesses entirely online: the T2 corporate return, 13% HST, bookkeeping, payroll and salary-versus-dividend planning, at a fixed fee quoted up front rather than an hourly meter. There is no office visit at any stage. Published fees start at $100 for a personal return and $300 a month for bookkeeping.

For a one-owner Burlington corporation, our accounting fees for monthly bookkeeping, payroll and the year-end T2 with statements usually run from $450 to $650 a month all-in.

Why EverStone

## CPA-level work, sized for an owner-run Burlington business

Burlington sits between two large business markets, and plenty of owners here end up choosing between a large firm that treats a two-person corporation as a small file, or a seasonal tax preparer who files the return but never looks at the structure behind it. We sit in between: a CPA-led firm that treats your T2, HST returns, payroll and year-end statements with real rigour, at a lower overhead, because the whole engagement runs online rather than out of a leased suite.

Every Burlington client deals with one Chartered Professional Accountant who reviews the file personally, all year — never a junior learning on your return. Meetings happen by video or phone, documents move by secure upload and e-signature, and your fee is fixed and confirmed in writing before any work begins.

Ontario tax, from a Halton perspective

## How Ontario’s rules change the numbers for a Burlington company

One combined sales tax, a lower small-business rate from July 2026, and a payroll tax that arrives with growth.

### One sales tax, not two

Ontario charges a single **13% HST** rather than separate federal and provincial sales taxes. For a Burlington manufacturer, contractor or consultancy that means one registration, one return and one set of input tax credits, and the provincial part of the tax you pay on equipment and supplies is recoverable in the same way as the federal part.

### Corporate tax rate

Ontario taxes active small-business income at 2.2% provincially for days after 30 June 2026 (3.2% before that date, prorated across a straddling year), on top of the 9% federal small-business rate, on a $500,000 business limit. Income above the limit is taxed at 26.5% combined, so the planning question is how much profit stays inside the lower band.

### Employer Health Tax

Once a Burlington employer’s annual Ontario payroll passes the $1,000,000 exemption, Employer Health Tax applies on top of [CPP and EI](https://www.everstonecpa.com/tax-update/cpp-base-rate-reduction). A plant adding a second shift or a family group with several companies can cross it sooner than expected, and associated employers share one exemption.

Burlington’s business economy

## Built around how Burlington companies actually make money

Burlington’s economic development office names seven key industries: advanced manufacturing, biomedical and life sciences, clean technologies, food and beverage, information and communications technology, professional and technical services, and tourism and hospitality. Its advanced manufacturing base includes composites, aerospace, robotics and process engineering, and additive manufacturing. That is a different client mix from a downtown professional market, and it raises different accounting questions.

A manufacturer carries inventory, work in progress and expensive equipment, so year-end cut-off, capital cost allowance and the timing of a large purchase matter more than they would for a consultancy. A technology or engineering firm may be billing clients in other provinces or the United States. A food producer or hospitality business lives with thin margins and seasonal staffing. We handle all of these through the same CPA-led file — corporate tax, HST, payroll and year-end statements, plus the [retained-earnings](https://www.everstonecpa.com/glossary#retained) and owner-pay planning that decides what you actually keep.

The issue we see most often

## When a big equipment purchase lands in the wrong year

Many Burlington owners run businesses that need machinery, vehicles, tooling or computer hardware to operate. The purchase itself is not deducted in full in the year it is made; it is recovered through [capital cost allowance](https://www.everstonecpa.com/glossary#cca), at a rate set by the asset’s class, and the rules on when an asset becomes “available for use” decide which year the first claim falls in. A machine ordered in November, delivered in January and commissioned in March can sit in a different tax year from the invoice date that the owner remembers.

That timing matters because a Burlington corporation’s profit inside the $500,000 business limit is taxed at the lower combined rate, and the profit above it at the general rate. A well-timed claim can keep a strong year inside the lower band; a mistimed one can leave income exposed at the higher rate and push the deduction into a year that did not need it. The same question affects instalments for the following year, and the cash the business has to set aside.

We review planned capital spending before the year-end rather than after it, check the CCA class and the available-for-use date, and look at how the purchase is financed, since a lease and a loan are treated differently. The goal is simple: the deduction lands in the year where it does the most good, and the owner knows the tax effect of a purchase before signing for it. [Our CCA classes guide](https://www.everstonecpa.com/blog/capital-cost-allowance-cca-classes-canada) sets out the common classes.

How it works

## Getting started, from anywhere in Burlington

Onboarding, done entirely online from anywhere in Halton.

1

### Send an enquiry

A short video call about your company, your year-end and anything that is behind. You leave with a fixed quote in writing — no obligation.

2

### Send your records securely

Upload your books, prior T2s and HST filings through our secure upload link; we reconcile and catch up any backlog.

3

### Stay compliant all year

We file on time, watch your HST and [instalment](https://www.everstonecpa.com/glossary) thresholds, and raise equipment and owner-pay decisions before year-end.

How it works remotely

## Working with a virtual small business accountant in Burlington

Working with a CPA who has no Burlington office changes nothing about what gets filed. Corporate tax, GST/HST and payroll are federal systems, and Ontario’s corporate tax is administered together with the federal return, so a single T2 covers both. What does change is how the year runs.

Onboarding happens over one video call and a secure upload rather than a drive along the QEW or the 403 to sit in a waiting room. Questions in July are answered by the same person who prepared the return in the spring, and nothing waits in a queue behind walk-ins. For a Burlington manufacturer or contractor the recurring work is usually HST on progress billings or export sales, instalments once the first profitable year lands, payroll remittances on the CRA’s schedule, and the equipment decisions that shape the year-end.

Province-wide detail sits on the [Ontario small business](https://www.everstonecpa.com/accountant-ontario) page, and current rates are on [Ontario tax facts](https://www.everstonecpa.com/ontario-tax-facts).

Common questions

## Questions from Burlington business owners

**How much does an accountant cost in Burlington?**

Fixed fees, quoted up front after we review your enquiry, with no hourly surprises. Published fees start at $100 for a personal return and $300 a month for bookkeeping, and a one-owner Burlington corporation with bookkeeping, payroll and the year-end T2 usually runs $450 to $650 a month all-in. [Published fees](https://www.everstonecpa.com/pricing) show where each service starts.

**Can an accountant without a Burlington office file my corporate taxes?**

Yes, and nothing about the filing changes. These are federal returns administered by the CRA, and Ontario’s corporate tax is collected alongside them, so a single T2 covers federal and provincial together.

**How do we exchange documents securely?**

By secure upload link rather than dropping paper at an office. You send statements, invoices and payroll reports when it suits you, we reconcile from those, and approvals happen by e-signature. Businesses with a bookkeeper already in place usually give us read access to their cloud ledger instead, which removes duplicate data entry.

**Do you understand Ontario tax rules?**

Yes, including the July 2026 change to Ontario’s small-business rate, employer health tax on group payrolls, and the annual return to the Ontario Business Registry, which is due within six months of year-end and is separate from the T2.

**Does my Burlington business lose anything by using a fully virtual CPA?**

No. Corporate tax (T2), HST and CRA correspondence are handled the same way wherever your accountant’s desk sits. Burlington work runs entirely by video, phone and secure email, without an office lease built into the fee. [Ask about your case →](https://www.everstonecpa.com/quick-question)

**We sell to customers in the United States — does that change our HST?**

Often it does. Many goods and services exported outside Canada are zero-rated, which means no HST is charged to the customer but the business still claims input tax credits on what it bought to make the sale. The paperwork that supports the export is what makes the treatment hold up in a review, so we build it into the monthly bookkeeping.

**We just bought a large piece of equipment — can we deduct it this year?**

Not all of it at once. Equipment is recovered through capital cost allowance at the rate for its class, starting in the year it becomes available for use. We check the class and the date before year-end so the claim lands in the year that helps most.

**We have several family companies — does that affect our tax?**

It can. Associated corporations share one $500,000 business limit for the small business deduction and one employer health tax exemption, so the allocation between them has to be decided and filed. We map the group once and keep the allocation current each year.

## Burlington industries we work with most

The Burlington owners we work with are mostly small manufacturers and fabricators, engineering and technical consultancies, software and IT firms, contractors, and the family companies behind restaurants, clinics and professional practices. The recurring issues are capital cost allowance on equipment, inventory and work-in-progress cut-off at year-end, HST on export sales and on progress billings, payroll remittances, and family groups that need the small business deduction shared between associated companies.

Rural north Burlington adds a different set of owners. The city’s official plan places the whole rural area within the Niagara Escarpment Plan and the provincial Greenbelt, describes farming as central to the rural community, and identifies the settlement areas of Kilbride, Lowville and Mount Nemo. Farm operations, equestrian and agri-tourism businesses, and contractors working on escarpment properties all have their own questions about what is a business expense and what is personal. Construction companies are a distinct group again; see [trades accounting in Burlington](https://www.everstonecpa.com/trades-accountant-burlington).

## How working with a Burlington business actually runs

No part of a Burlington engagement asks you to leave the shop floor or the job site. The first conversation happens on a video or phone call, records arrive through a secure upload instead of a box of paper, and returns are approved by e-signature. Questions during the year are covered as well. An email about a new hire, a supplier contract or a planned equipment purchase does not start a meter, since the fee was set in writing at the outset. Asking early is the whole idea, because the useful answer comes before the decision.

One CPA stays on your file from the first call to the filed return. For owners in Aldershot, downtown, near Appleby GO or in the rural north, that removes the commute and the second-guessing about whether a question will cost you.

## What a Burlington client’s year looks like

A Burlington client’s year is shaped by their fiscal year-end rather than the calendar. Books stay current month to month, and we raise the planning decisions — bonus versus dividend, timing an equipment purchase, whether to leave profit in the company — before the year closes, when they can still be acted on. HST returns file on their own cycle. The corporate return follows, and the [balance owing](https://www.canada.ca/en/revenue-agency/services/tax/businesses/topics/corporations/corporation-payments.html) comes due before the filing deadline, which is the detail that most often catches owners out. The Ontario Business Registry annual return sits on its own six-month clock beside it.

Owner-managed companies elsewhere in Ontario are served the same way. The provincial overview is at [accounting in Ontario](https://www.everstonecpa.com/accountant-ontario), and the nearest larger city page is [accounting in Hamilton](https://www.everstonecpa.com/accountant-hamilton).

## Remote accounting

EverStone works online and serves Burlington at a distance. **No office or staff are located in Burlington.** Calls, video and secure document exchange carry the whole engagement, so being nearby never matters. The CPA who answers you in the autumn is the one who prepared your return in the spring, a continuity that bigger offices often lose.

## How a remote engagement works in Ontario

Working with a CPA you never meet in person is ordinary now, and for an Ontario corporation it changes essentially nothing about how the return is prepared or filed.

- **Access through CRA, not forms.** You add us under CRA’s Represent a Client from your My Business Account, which takes a few clicks and nothing by mail. From then on we read your filings, balances and CRA letters ourselves instead of asking you to forward each one.

- **Records arrive through a secure upload link.** Statements, payroll registers and year-end packages come in through the upload link rather than as email attachments, and a phone is enough to send them.

- **You sign on screen.** The T183 and the engagement letter are signed in a browser window, with no printer, scanner or courier involved.

- **Calls happen by video or phone.** Enquiries, planning talks and the year-end review are all booked around your calendar, not around a trip down the QEW.

- **Returns go where they always went.** We transmit to CRA electronically, and the Ontario Business Registry annual return is filed online.

### What is specific to Ontario

Ontario harmonized its sales tax with the federal GST, so there is no separate provincial sales-tax return to file — one HST return covers both. The provincial corporate return is administered through the federal T2 rather than filed separately. Employer Health Tax is the main standalone provincial account for Ontario employers, with its own exemption and filing schedule, and workplace coverage runs through the WSIB.

Current Ontario rates and thresholds live on the [Ontario tax facts page](https://www.everstonecpa.com/ontario-tax-facts). Every number on that page cites its source and the date it was last verified, and it lives there alone so it cannot drift out of date elsewhere.

### Ontario questions we get

**Does it matter that you have no office in Burlington?**

For a corporate return, no. The T2 carries the Ontario schedules and is transmitted federally; nothing about the filing depends on where the preparer sits. Provincial employer accounts are registered and filed online in either case.

**Do you work with Burlington manufacturers?**

Yes. Small manufacturers, fabricators and machine shops are a good fit: monthly bookkeeping with inventory and job costs, payroll, HST on domestic and export sales and the year-end can be bundled into one flat monthly fee agreed in writing. See [manufacturer accounting in Hamilton](https://www.everstonecpa.com/manufacturer-accountant-hamilton) for the wider corridor, or the [published fees](https://www.everstonecpa.com/pricing).

**Do you work with businesses outside Burlington itself?**

Yes. EverStone works remotely, so businesses in Aldershot, Oakville, Waterdown, Hamilton and the rest of Halton are served exactly as Burlington ones are: video, phone, email and a secure upload link, at the same fixed fees.
