Why EverStone

## An Ontario CPA for Whitby businesses, working online

Whitby sits on Lake Ontario between Ajax and Oshawa, with Brooklin to the north and Highways 401 and 407 running through. Much of its private economy is owner-run: builders, service trades and professionals.

You work with one Chartered Professional Accountant who knows your file year-round. Questions come by email, meetings run by video when they help, documents arrive through a secure upload link, and returns are signed electronically.

Which return applies to you
The structure you trade under decides the return — for a business operating in Whitby, Ontario

| If you are | You file |

| A sole proprietor | A T1 personal return with form T2125 for the business |

| An incorporated business | A T2 corporate return, with financial statement schedules |

| A contractor paying subcontractors | A T5018 information return for construction subcontract payments |

| Sales tax where you operate | 13% HST, a single registration and a single return |

Ontario tax, in practice

## What Ontario adds for a Whitby business

Provincial rules sit on top of the federal ones.

### One sales tax

Ontario charges a single **13% HST**: one registration, one return, and input tax credits that recover both parts of the tax on materials and equipment.

### Corporate tax rate

Ontario taxes active small-business income at 2.2% after 30 June 2026 (3.2% before, prorated), plus the 9% federal rate, on a $500,000 business limit. Profit above it, or non-active income, is taxed at the 26.5% combined general rate. See [Ontario tax facts](https://www.everstonecpa.com/ontario-tax-facts).

### Employer Health Tax and WSIB

Above the $1,000,000 Ontario payroll exemption, Employer Health Tax applies, and associated employers share one exemption. WSIB is separate again, with its own registration and reporting.

The Whitby economy we work in

## Built for Whitby trades, contractors and professional firms

Whitby has grown steadily as a commuter community east of Toronto, which keeps builders, renovators and service trades busy. Alongside them work incorporated engineers, consultants and health practitioners.

A contractor needs job costing, holdbacks and subcontractor slips handled. A professional needs clean billing records and a sensible owner-pay plan. We handle both at a fixed fee.

### Serving Whitby, entirely online

Email first, video meetings when they help, a secure upload link for documents and e-signature for returns.

EverStone works with businesses in Whitby, Brooklin and the rest of Durham Region.

## Keeping the books for jobs, crews and clients

For a contractor, the books should show profit by job. Materials, labour and subcontractors are coded to each job, and deposits tracked separately. Holdbacks need their own accounts, as the [construction holdbacks guide](https://www.everstonecpa.com/blog/construction-holdbacks-accounting-canada) explains.

For a professional firm, unbilled work and receivables must land in the right year. If the books are behind, [catch-up bookkeeping](https://www.everstonecpa.com/catch-up-bookkeeping) brings them current first.

## HST on jobs, materials and fees

Once registered, a Whitby business charges 13% HST on most of what it sells. Contractors charge it on labour and materials and claim input tax credits on what they buy. Professionals charge it on fees to most clients.

Common errors are credits missed on unrecorded receipts and HST charged on the wrong amount after a change order. We reconcile HST to the books before every filing.

## Payroll, WSIB and subcontractors

Crews raise three payroll questions: who is an employee and who is a subcontractor, how source deductions are remitted, and when WSIB and Employer Health Tax apply. CRA decides worker status on the facts, not the contract title. See [subcontractor or employee](https://www.everstonecpa.com/blog/subcontractor-vs-employee-cra).

We run pay, remit CPP, EI and income tax, issue T4 slips by the end of February, and prepare the [T5018 subcontractor return](https://www.everstonecpa.com/blog/t5018-subcontractor-reporting-construction).

## Year-end and paying yourself

The T2 is due six months after year-end, but the balance owing is due before the filing deadline. The Ontario Business Registry annual return is due within six months of year-end. Trucks and tools are claimed through [capital cost allowance](https://www.everstonecpa.com/blog/capital-cost-allowance-cca-classes-canada).

Owner pay is usually a mix of salary and dividends. Salary builds RRSP room and CPP; dividends keep payroll simpler. Try the [salary vs dividends calculator](https://www.everstonecpa.com/salary-vs-dividends-calculator), then we confirm the mix before year-end. Professionals with one main client should read about [personal services business risk](https://www.everstonecpa.com/blog/personal-services-business-psb-risk-canada).

Common questions

## Common questions from Whitby owners

**How much does an accountant cost in Whitby?**

Fees are fixed in writing before work starts: personal returns from $125, bookkeeping from $325 a month, and books, payroll and the T2 together usually $500 to $700 a month. See [published fees](https://www.everstonecpa.com/pricing). [Ask about your case →](https://www.everstonecpa.com/quick-question)

**Can an accountant outside Whitby file my corporate taxes?**

Yes. T2, T1, HST and payroll filings are federal systems, and one T2 covers federal and Ontario corporate tax. None of it depends on where the CPA’s desk is.

**Do you work with contractors and renovators?**

Yes, including job costing, holdbacks, T5018 slips and HST on change orders. See [accounting for contractors](https://www.everstonecpa.com/contractor-accountant), or the [contractor page for Oshawa](https://www.everstonecpa.com/contractor-accountant-oshawa) next door.

**I am an incorporated professional. What do you handle?**

The T2 and statements, your T1, HST on fees and owner pay. See [accounting for incorporated professionals](https://www.everstonecpa.com/accountant-for-incorporated-professionals).

**Should my Whitby business incorporate?**

It depends on how much profit you leave in the business. Start with [whether to incorporate](https://www.everstonecpa.com/incorporation-advice).

**How do we exchange documents securely?**

Through a secure upload link. Returns come back for e-signature.

**Do you work with businesses outside Whitby itself?**

Yes. Businesses in Brooklin, Ajax, Oshawa and the rest of Durham Region are served exactly as Whitby ones are, at the same fixed fees.
