# Accountant for *Guelph* agencies and studios

Guelph’s agencies, studios and technical consultancies tend to sell to the businesses around them — manufacturers, food and agri-innovation companies, research groups, public institutions — as well as to clients well beyond the city. That work runs on projects, retainers and freelance contributors that rarely line up with a fiscal year. EverStone works with incorporated [professional businesses](https://www.everstonecpa.com/accountant-for-incorporated-professionals) and is a [Guelph small business accountant](https://www.everstonecpa.com/accountant-guelph), handling that model at fixed fees, online.

**Quick answer:** Agencies and studios carry three problems most accountants meet late: revenue recognized across project stages rather than on invoice date, a contractor roster that raises worker-classification questions, and HST on services billed to clients in other provinces or abroad. For Guelph businesses, EverStone handles all three alongside the T2, at a fixed fee quoted before any work starts. Published fees start at $300 a month for bookkeeping and $100 for a personal return.

For one-owner Guelph agency clients, bookkeeping, payroll and the T2 run from $450 a month. The year-end covers the T2 with Schedule 1 and Schedule 50, the CCA schedule, the small business deduction, T4 or T5 slips for the owner’s pay, and the instalments for the year ahead.

An agency accountant has to read project-stage revenue correctly; that is the first thing this engagement sets up.

For the wider picture — retainer revenue timing, pass-through costs, cross-border sales tax and contractor classification — see the [agency and consulting accounting hub](https://www.everstonecpa.com/agency-consulting-accounting). Technology companies in the neighbouring region are covered on the [Kitchener-Waterloo tech startup](https://www.everstonecpa.com/tech-startup-accountant-kitchener-waterloo) page.

## What a Guelph agency usually looks like

The City of Guelph lists information and communications technology among its priority sectors, next to industry clusters in advanced manufacturing, agri-innovation and life sciences. The agencies and studios that grow up around that kind of economy are often more technical than a typical marketing shop: web and software development, product and industrial design, technical writing and documentation, video and photography for industrial clients, research communications, and marketing for food and agricultural brands. Many are small — an owner, a few staff and a bench of freelancers — and many bill clients across Ontario and beyond.

The accounting issues follow the work. Long design and development projects pull revenue away from invoice dates. Freelancers carry classification risk. Clients outside Ontario change the HST rate. And a studio doing genuinely new technical work may have a claim for research credits it has never looked at.

## Project revenue that does not match the invoice date

Retainers, staged deliverables and milestone billing all pull revenue away from the date the invoice goes out. A studio that bills half up front on a six-month build has not earned that money on the day it lands. Getting the cut-off right at year-end is what keeps the return defensible and stops a profitable-looking year turning into a tax bill on money that was really a deposit. It also matters for planning: you cannot decide on a bonus or a dividend against a number that is really deferred revenue.

## Your contractor roster is a classification question

Most agencies scale with freelancers rather than staff, and that is where exposure builds quietly. The line between a contractor and an employee is decided on the substance of the relationship, not on the label in the agreement. The tests are control over how and when work is done, who supplies tools, whether the worker can profit or lose, and whether they can send a substitute. Getting it wrong means CPP and EI exposure with interest and penalties. Our [worker classification guide](https://www.everstonecpa.com/blog/employee-vs-contractor-cra-worker-classification) sets out the tests.

The mirror image applies to your own corporation. An incorporated designer or developer billing one client — one manufacturer, one institution, one larger agency — for most of a year sits in [personal services business](https://www.everstonecpa.com/blog/personal-services-business-psb-risk-canada) territory, where the small business deduction and most expenses can be denied. The [risk assessment](https://www.everstonecpa.com/psb-risk-assessment) walks through the conditions.

## HST when your clients are not all in Ontario

A Guelph studio billing clients in other provinces and in the US is applying more than one rule at once. The rate generally follows the [place of supply](https://www.everstonecpa.com/glossary#place-of-supply) rather than where your desk is: a service supplied to a client in a GST-only province usually carries 5%, one in another harmonized province carries that province’s rate, and many services exported to non-resident clients are zero-rated. Most agencies get this about right and discover the gap during a review. We set the billing rules up once and reconcile them through the year. See [place-of-supply rules](https://www.everstonecpa.com/blog/gst-hst-place-of-supply-rules-canada).

### Equipment, software and what is actually deductible

Cameras, workstations, prototyping equipment and studio fit-outs are capital assets recovered through **[capital cost allowance](https://www.everstonecpa.com/glossary#cca)** rather than deducted outright, at a rate set by each asset’s class. Subscription software is generally a current expense instead. The distinction changes both this year’s deduction and what happens when you replace the gear. See our [CCA classes guide](https://www.everstonecpa.com/blog/capital-cost-allowance-cca-classes-canada).

## Technical work and research credits

Some of what Guelph studios do is ordinary client service. Some of it is not: building a tool that did not exist, solving a data or hardware problem with no known answer, developing a process for a client in agri-innovation or life sciences. Where work involves genuine technological uncertainty rather than applying known techniques, scientific research and experimental development incentives can produce refundable credits for a Canadian-controlled private corporation. Who owns the resulting rights, and whether the client is already claiming the same work, both matter. Contemporaneous records of what was attempted and why it was uncertain matter more than the outcome, so document during the project.

## Growing from freelancer to studio

The move from billing as an individual to running a studio with a payroll changes the file more than most owners expect. Once you carry staff you have [source deductions](https://www.canada.ca/en/revenue-agency/services/tax/businesses/topics/payroll/remitting-source-deductions.html) on a remittance schedule, T4 slips at year-end, and a real distinction between what the business earns and what you draw. Once you carry contractors at scale you have classification exposure that grows with every month a freelancer works exclusively for you. And once you carry both, the salary-versus-dividend question stops being theoretical, because you now have a real choice about how much profit stays in the corporation to fund the next hire. See [the post-incorporation checklist](https://www.everstonecpa.com/blog/just-incorporated-now-what-canada-checklist) for the groundwork.

## Moving accountants without disrupting a live project

Agencies put off switching because the timing never looks good. In practice the handover happens in the background and does not touch delivery. We request your prior records and the previous firm’s working papers, review the last filed return so the opening balances are right, and pick up the compliance calendar from wherever it stands. The one thing worth timing deliberately is a change close to year-end, where it is usually cleaner to let the current year finish first. See [what changing accountants involves](https://www.everstonecpa.com/switching-accountants).

## What EverStone handles for you

One CPA, one fixed fee agreed up front:

- T2 corporate return and year-end financial statements
- Project revenue cut-off reviewed at year-end
- Contractor-versus-employee positions documented defensibly
- HST registration, place-of-supply rules and filings
- CCA schedules for equipment and studio assets
- Research credit eligibility reviewed where the work warrants it
- Salary-versus-dividend planning each year
- CRA correspondence handled for you

## Fixed fees, fully online

EverStone is a CPA firm and the engagement runs entirely online — video calls, secure document exchange and e-signature. For a Guelph studio that means no office visit and no hourly meter: the fee is agreed before work begins, so a question about a new retainer in August does not arrive with an invoice attached. See [what it costs](https://www.everstonecpa.com/pricing).

Year-end statements for project businesses are covered on [financial statements in Guelph](https://www.everstonecpa.com/financial-statements-guelph). For ongoing financial oversight rather than annual compliance, [fractional CFO support in Guelph](https://www.everstonecpa.com/cfo-services-guelph) covers pricing, margin and cash.

## What an agency or consultancy has to get right

What an agency or consultancy has to get right
The items that decide an agency year-end — for a business operating in Guelph, Ontario

| Item | Why it matters |

| Project revenue | Recognized as work is delivered, which rarely matches the invoice schedule |

| Subcontractor spend | The largest cost line, and the one most often misclassified |

| Personal services business risk | A consultancy with a single client can be recharacterized |

| Retainers and deposits | Money received is not automatically revenue earned |

| Sales tax where you operate | 13% HST, a single registration and a single return |

### Choosing an accountant for a Guelph agency or studio

- Ask how they treat retainers and staged projects, so revenue lands in the right month.

- Check they know HST on clients outside Ontario and Canada.

- Ask whether they will look at research credits where your work is genuinely technical.

- Compare fixed fees on the same scope: books, payroll, HST and year-end.

Common questions

## Guelph agency and studio accounting FAQ

**When do we recognize revenue on a staged project?**

Broadly, as it is earned rather than when it is invoiced. A deposit or an up-front retainer for work not yet delivered is not revenue on the day it arrives. For most agencies the practical answer is a year-end review of open projects and unbilled work, so the cut-off is right. [Ask about your case →](https://www.everstonecpa.com/quick-question)

**Are our freelancers contractors or employees?**

The substance of the relationship decides it, not the contract label. CRA weighs control over how and when the work is done, who supplies the tools, whether the worker can profit or lose, and whether they can send a substitute. Long-running, full-time, closely directed freelancers are the highest-risk group.

**Which HST rate applies to a client in another province?**

Generally the place-of-supply rules decide, not where your studio is. Billing a client in a GST-only province is not the same as billing an Ontario one, and services exported to non-residents can be zero-rated. We set the rules into your invoicing once.

**Most of our work is for one client. Is that a problem?**

It can be. An incorporated individual who would be an employee of the client but for the corporation risks being treated as a personal services business, which loses the small business deduction and most expenses. More clients, real business risk and control over how the work is done all reduce it.

**How should a Guelph agency treat client retainers and prepayments?**

A retainer received before the work is done is deferred revenue, not income, and it sits as a liability until you earn it. HST, however, generally becomes payable when the invoice is issued or the payment received, whichever comes first, so tax can be due on money you have not yet earned.

**Can our studio claim credits for technical development work?**

Possibly, where the work involves genuine technological uncertainty rather than applying known techniques. Scientific research and experimental development incentives can produce refundable credits for a Canadian-controlled private corporation. Contemporaneous records matter more than the outcome.

**Do you work with agencies outside Guelph itself?**

Yes. Studios and consultancies in Fergus, Elora, Puslinch and the rest of Wellington County are served the same way as Guelph ones, remotely and at the same fixed fees.
