# Accountant for *Toronto* agencies and studios

Toronto’s agency and studio economy runs on project work, freelance contractors and retainers that rarely line up with a fiscal year. EverStone works with incorporated [professional businesses](https://www.everstonecpa.com/accountant-for-incorporated-professionals) and is a [Toronto small business accountant](https://www.everstonecpa.com/accountant-toronto), handling that model at fixed fees, online.

**Quick answer:** Agencies and studios carry three problems most accountants meet late: revenue recognized across project stages rather than on invoice date, a contractor roster that raises worker-classification questions, and HST on services billed to clients in other provinces. For Toronto businesses, EverStone handles all three alongside the T2, at a fixed fee quoted before any work starts. Published fees start at $325 a month for bookkeeping and $125 for a personal return.

One-owner Toronto creative agency clients: bookkeeping, payroll and the T2 from $500 a month. The year-end covers the T2 with Schedule 1 and Schedule 50, the CCA schedule, the small business deduction, T4 or T5 slips for the owner’s pay, and the instalments for the year ahead.

Creative agency accountants have to read project-stage revenue correctly; that is the first thing this engagement sets up.

Agencies often sit alongside other owner-managed Toronto businesses on our books. [Restaurant and hospitality operators](https://www.everstonecpa.com/restaurant-accountant-toronto) face the same GST/HST and payroll rhythm on very different margins. [Incorporated consultants in Ottawa](https://www.everstonecpa.com/consultant-accountant-ottawa) share the [personal services business](https://www.everstonecpa.com/glossary#psb) question that catches solo shops.

For the wider picture — retainer revenue timing, pass-through costs, cross-border sales tax and contractor classification. See the [agency and consulting accounting hub](https://www.everstonecpa.com/agency-consulting-accounting).

## Project revenue that does not match the invoice date

Retainers, staged deliverables and milestone billing pull revenue away from the invoice date. A studio billing 50% up front on a six-month build has not earned that money when it lands. Getting the year-end cut-off right keeps the return defensible and stops a deposit being taxed as profit. It matters for planning too: you cannot decide a bonus or dividend against deferred revenue.

## Your contractor roster is a classification question

Freelancers are where agency exposure builds. Substance, not the label in the agreement, decides contractor or employee: control over how and when work is done, who supplies tools, the chance of profit or loss, and the right to send a substitute. A wrong call means CPP and EI exposure with interest and penalties. Our [worker classification guide](https://www.everstonecpa.com/blog/employee-vs-contractor-cra-worker-classification) sets out the tests. Accounting for creative agencies Canada wide includes this test.

The mirror image applies to your own corporation: an incorporated creative billing one agency for most of a year sits in [Personal services business risk: why a single-client contractor is exposed](https://www.everstonecpa.com/blog/personal-services-business-psb-risk-canada) territory.

## HST when your clients are not all in Ontario

An agency billing clients in BC, Alberta and the US applies more than one rule. The rate generally follows the [place of supply](https://www.everstonecpa.com/glossary#place-of-supply), not your desk, and exported services can differ again. Most agencies find the gap in a review. We set billing rules up once and reconcile them through the year.

### Equipment, software and what is actually deductible

Cameras, workstations, editing suites and studio fit-outs are recovered through **[capital cost allowance](https://www.everstonecpa.com/glossary#cca)** at their class rate, not deducted outright; subscription software is generally a current expense. That changes this year’s deduction and what happens when you replace the gear. See our [CCA classes guide](https://www.everstonecpa.com/blog/capital-cost-allowance-cca-classes-canada).

## Growing from freelancer to studio

The move from billing as an individual to running a studio with a payroll changes the file more than most owners expect, and it usually happens gradually enough that nobody stops to redo the structure. Once you carry staff you have [source deductions](https://www.canada.ca/en/revenue-agency/services/tax/businesses/topics/payroll/remitting-source-deductions.html) on a remittance schedule, year-end slips, and a genuine distinction between what the business earns and what you draw.

With contractors at scale comes classification exposure that grows each month a freelancer works only for you. With both, the salary-versus-dividend question becomes real: how much profit stays in the corporation to fund the next hire or equipment cycle.

None of that is a reason to stay small, only to make structural decisions deliberately rather than at year-end. We map the position each year against what you drew and what the studio needs. See [the post-incorporation checklist](https://www.everstonecpa.com/blog/just-incorporated-now-what-canada-checklist) for the groundwork.

## Moving accountants without disrupting a live project

Agencies put off switching because there is always a build in flight or a year-end approaching. The handover happens in the background and does not touch delivery. We request your prior records and the previous firm’s working papers, review the last filed return so opening balances are right, and pick up the compliance calendar where it stands. A mid-year switch is normal.

Time a change near year-end deliberately; letting the year finish is usually cleaner unless the current arrangement is causing problems. See [what changing accountants involves](https://www.everstonecpa.com/switching-accountants) and [your first 90 days](https://www.everstonecpa.com/first-90-days).

## What EverStone handles for you

One CPA, one fixed fee agreed up front:

- T2 corporate return and year-end financial statements
- Project revenue cut-off reviewed at year-end
- Contractor-versus-employee positions documented defensibly
- HST registration, place-of-supply rules and filings
- CCA schedules for equipment and studio assets
- Salary-versus-dividend planning each year
- CRA correspondence handled for you

## Fixed fees, fully online

EverStone is a CPA firm working online — video calls, secure document exchange and e-signature. The fee is agreed before work begins, with no hourly meter, so a question about a new retainer does not bring an invoice. See [what it costs](https://www.everstonecpa.com/pricing).

Whether pass-through spend is reported gross or net can move a top line by a factor of three without changing profit at all. See [financial statements for Toronto agencies](https://www.everstonecpa.com/financial-statements-toronto) for how that and retainer revenue are presented.

For ongoing financial oversight rather than annual compliance, [fractional CFO support for Toronto agencies](https://www.everstonecpa.com/cfo-services-toronto) covers retainer mix, pricing and the cash absorbed by pass-through spend.

## What an agency or consultancy has to get right

What an agency or consultancy has to get right
The items that decide an agency year-end — for a business operating in Toronto, Ontario

| Item | Why it matters |

| Project revenue | Recognised as work is delivered, which rarely matches the invoice schedule |

| Subcontractor spend | The largest cost line, and the one most often misclassified |

| Personal services business risk | A consultancy with a single client can be recharacterized |

| Retainers and deposits | Money received is not automatically revenue earned |

| Sales tax where you operate | 13% HST, a single registration and a single return |

### Choosing an accountant for a creative agency

- Ask how they bill retainers and projects, so revenue lands in the right month.

- Check they know HST on clients outside Ontario and Canada.

- Compare fixed fees on the same scope: books, payroll, HST and year-end.

## Remote accounting for agencies

EverStone is a fully virtual, one-CPA firm working with Toronto clients online. **There is no Toronto office and no local staff.** Everything runs by video, phone, secure email and e-signature, and project profitability and contractor payments are tracked as they happen.

Common questions

## Toronto accounting for creative agencies and studios FAQ

**When do we recognize revenue on a staged project?**

As it is earned, not when invoiced. A deposit or up-front retainer for undelivered work is not revenue on arrival, so most agencies need a year-end review of open projects and unbilled work to make the year’s profit reflect what was delivered. [Ask about your case →](https://www.everstonecpa.com/quick-question)

**Are our freelancers contractors or employees?**

The substance of the relationship decides it, not the contract label. CRA weighs control over how and when the work is done, who supplies the tools, whether the worker can profit or lose, and whether they can send a substitute. Long-running, full-time, closely-directed freelancers are the highest-risk group. We review the arrangements and document the position before it is ever questioned.

**Which HST rate applies to a client in another province?**

Generally the place-of-supply rules decide, not where your studio is. Billing a BC or Alberta client differs from billing an Ontario one, and exported services can differ again. We build the rules into your invoicing once.

**Do you work with agencies across the GTA?**

Yes — incorporated agencies, studios and consultancies in Toronto and across the GTA. Everything runs online by video, phone and secure upload, which suits a studio schedule better than a standing appointment somewhere.

**How should a Toronto agency treat client retainers and prepayments?**

A retainer received before the work is done is deferred revenue, a liability until earned. HST, though, is generally payable on the earlier of invoice and payment, so tax can fall due on unearned money, which is why retainer-heavy agencies get cash surprises.

**Are pass-through costs like media buys revenue?**

Whether pass-throughs are revenue turns on principal versus agent. Buying media in your own name and reselling it usually means the full amount is your revenue with the cost deducted; arranging it purely on the client’s behalf may mean only the fee is yours. The distinction changes your reported revenue dramatically, so settle it in the contract wording.

**Can our agency claim credits for building internal tools?**

Possibly, where the work involves genuine technological uncertainty rather than applying known techniques. Scientific research and experimental development incentives can produce refundable credits for a Canadian-controlled private corporation, and some digital media work qualifies under separate Ontario programs. Contemporaneous records of what was attempted and why it was uncertain matter more than the outcome, so document during the project.
