Choosing an accountant

# Virtual accountants in Canada: *10 online firms and who each suits*

By EverStone CPA · Last updated October 12, 2026 · 9 min read

Details come from each firm's own website and public profiles as of October 2026; services and fees change, so confirm them with the firm before you decide.*

## How to choose a virtual accountant

- **Check the designation and registration.** Look the firm up in the directory of the provincial CPA body where it practises. CPA British Columbia and CPA Ontario both publish one.

- **Decide what you are buying.** Bookkeeping, a year-end and tax return, controller reporting and CFO advice are different services. A quote should say which ones it includes.

- **Ask who does the work.** Some firms assign one CPA to your file; larger ones work as a team. Neither is wrong, but you should know which you are getting.

- **Compare the pricing model.** Most online firms charge a fixed monthly fee. Ask what the fee assumes about transaction volume, payroll and sales tax filings, and what is billed on top.

- **Match the software.** Most online firms work in QuickBooks Online or Xero. Moving systems is possible but adds cost in the first months.

- **Look for your kind of business.** Firms that already serve your industry know its accounts, deadlines and common mistakes.

- **Check the province.** Make sure the firm serves businesses in your province and knows its sales tax and payroll rules.

## Questions about virtual accountants

**Is a virtual accountant as good as a local one?**

The work is the same: the same returns, filed through the same CRA systems, under the same professional standards. The difference is how you communicate, by email and video rather than office visits.

**Does my accountant need to be in my province?**

Each province regulates its own CPAs and public accounting firms. Before you engage a firm, check that it is registered with the CPA body where it practises and ask whether it serves businesses in your province.

**How much does an online accountant cost?**

It depends on scope: transaction volume, payroll, sales tax filings and whether the year-end is included. Most online firms quote a fixed monthly fee after reviewing your records. EverStone's starting fees are on its [pricing page](https://www.everstonecpa.com/pricing).

**What is the difference between an online bookkeeper and an online CPA firm?**

A bookkeeper records and reconciles transactions. A CPA firm can also prepare and file corporate tax returns, prepare financial statements and give tax planning advice. Some firms on this list do both; [bookkeeper, accountant or CPA](https://www.everstonecpa.com/bookkeeper-vs-accountant-vs-cpa) explains the difference.

**Can I switch accountants partway through the year?**

Yes. Your new firm requests your prior records and obtains CRA authorization. [How to switch accountants](https://www.everstonecpa.com/blog/how-to-switch-accountants) walks through it.
