# Bookkeeping for *Brampton* businesses

One harmonized tax makes an Ontario ledger simpler than a two-tax one, and moves the difficulty to inventory, payroll accruals and the decisions around them. EverStone keeps books for Brampton businesses remotely at a fixed monthly fee. See the [Brampton accounting page](https://www.everstonecpa.com/accountant-brampton).

**Quick answer:** A Brampton ledger tracks one recoverable 13% HST rather than two separate sales taxes, which shifts the work to inventory and cost of sales, the quick method decision and employer health tax accruals. If you are looking for a bookkeeper in Brampton, this is that service, run remotely by a CPA firm, so the people who keep the ledger are the people who prepare the year-end return. Monthly bookkeeping for a Brampton business starts at $300 a month, GST/HST filing included.

The books feed every filing that follows: the T2 or T2125, the GST/HST return and its input tax credits, the CCA schedule and the CRA instalments.

## Books for businesses that handle physical goods

Invest Brampton, the city’s economic development office, names advanced manufacturing as Brampton’s largest employment sector and lists food and beverage processing and logistics among its key sectors. Bookkeeping for those businesses is different from bookkeeping for a consultant. Purchases are frequent and large, suppliers send statements rather than tidy invoices, freight and duty arrive on separate bills, and the margin depends on a cost-of-sales figure that is easy to get wrong month to month.

We set the chart of accounts up around how the business actually works: materials, packaging, direct labour, freight in and out, equipment repairs, and the overhead that sits behind them. Each month’s purchases are coded to those accounts, bank and card feeds are reconciled, and supplier statements are matched to the payables ledger so a missing invoice is found in the month rather than at year end. The goal is a monthly profit figure the owner can trust, not just a set of books that balances.

## Inventory and the year-end count

For a manufacturer, food processor or distributor, inventory is usually the largest number on the balance sheet and the one that moves profit most. During the year, many small businesses expense purchases as they come in and adjust inventory only at year end; others run a perpetual system in their inventory or point-of-sale software. Either can work, but the method has to be chosen deliberately and the year-end count has to happen on the year-end date, valued at the lower of cost and net realizable value.

Slow-moving and obsolete stock is where the judgement sits. Product that has passed its best-before date, packaging for a discontinued line, or spare parts for equipment that has been sold are all candidates for a write-down, and the decision is easier with a count sheet than from memory. The [year-end inventory count guide](https://www.everstonecpa.com/blog/year-end-inventory-count-canada) sets out how to run one.

## One tax account, fully recoverable

Ontario harmonized its provincial sales tax with the GST, so a single 13% HST covers both and is administered federally. In the ledger that means one tax account, one registration and one return, and the provincial component behaves exactly like the federal one: it is recoverable as an input tax credit rather than becoming a cost embedded in purchases. For a business buying materials, fuel and equipment, the input tax credits are large, and each one needs a supplier invoice showing the supplier’s registration number. A ledger that records HST from bank lines rather than invoices will eventually lose some of it on review. [Input tax credits](https://www.everstonecpa.com/blog/input-tax-credits-itc-canada-guide) covers what is recoverable.

## The quick method is a bookkeeping decision

Eligible smaller businesses can elect to remit a prescribed percentage of tax-included sales instead of tracking input tax credits transaction by transaction. Whether that helps depends on how much taxable input the business actually buys: a service business with low purchases often gains, while a Brampton manufacturer or distributor buying significant goods and equipment generally does not. The relevant point for the ledger is that the choice changes how everything is coded, so it is made once and applied consistently rather than evaluated at year end. [The quick method](https://www.everstonecpa.com/blog/gst-hst-quick-method-canada) works through the arithmetic.

## Equipment, vehicles and the fixed-asset register

A forklift, a delivery van, a refrigeration unit or a new line of racking should not be coded to repairs. Larger purchases are capitalized and claimed through capital cost allowance, and the year-end file needs to know what was bought, when it went into use, and what was sold or scrapped. We keep a fixed-asset register alongside the ledger and update it as purchases are coded, so the CCA schedule on the T2 is built from records rather than reconstructed. Equipment financing is split the same way: interest is an expense, principal reduces the loan.

## Employer health tax accrues every month

Ontario levies an employer health tax on remuneration, and unlike a payroll deduction it is an employer cost that has to be provided for as payroll is run rather than met when a return falls due. The rate is chosen from payroll bands using total Ontario remuneration before the $1,000,000 exemption is deducted, and only then is the exemption subtracted from the taxable base. Where a Brampton employer expects to cross the exemption during the year — a new shift, a seasonal peak, a second location — accruing through the year avoids a single unbudgeted charge appearing late. Associated employers share one exemption and must file an allocation agreement. [Payroll in Brampton](https://www.everstonecpa.com/payroll-services-brampton) covers the pay runs themselves.

## Where the receivables ledger tells the truth

Businesses that sell to larger customers on terms accumulate receivables faster than they notice, and an aged listing reviewed monthly is the cheapest early warning a business has. It shows which accounts are stretching before they become collection problems, and it distinguishes a genuinely disputed invoice from one that was simply never chased. Where a specific debt is established as uncollectible during the year it is deductible, while a general allowance against receivables at large is not, so the identification has to actually happen. [Writing off bad debts](https://www.everstonecpa.com/blog/writing-off-bad-debts-canada) covers the requirements.

## The registry return that is not on the tax calendar

An Ontario corporation files an annual return through the Ontario Business Registry within six months of fiscal year end. It is a corporate-law filing rather than a tax one, so it does not appear in the CRA correspondence most owners use as their reminder system, and it is routinely missed. Keeping the deadline on the same calendar as the corporate year end is a bookkeeping habit, and it prevents the good-standing problem that surfaces when a lender asks for a certificate.

## Why a Brampton file does not need a Brampton office

EverStone is a fully virtual CPA firm with no office in Brampton and no local staff. Bank and card feeds arrive electronically, documents are exchanged through a secure upload link, and the file sits in cloud accounting software you hold your own login to. HST is administered federally and Ontario corporate tax is collected through the federal return, so nothing about the work depends on being nearby. One CPA keeps the monthly ledger and prepares the year end from it. Books that have fallen behind are caught up first through [catch-up bookkeeping](https://www.everstonecpa.com/catch-up-bookkeeping), then kept current.

Where the decisions have outgrown the reporting, [fractional CFO work in Brampton](https://www.everstonecpa.com/cfo-services-brampton) is the next step.

Common questions

## Brampton bookkeeping questions

**Is the provincial part of HST recoverable?**

Yes. In Ontario the full 13% paid on business inputs is recoverable through input tax credits, provided you hold a valid supplier invoice. No provincial sales tax sits inside your cost of goods. [Ask about your case →](https://www.everstonecpa.com/quick-question)

**How should I track inventory during the year?**

Either through a perpetual system in your inventory software or by adjusting to a physical count at year end. What matters is that the method is consistent and the count happens on the year-end date, valued at the lower of cost and net realizable value.

**Should my business use the quick method?**

It usually suits service businesses with few taxable purchases. A manufacturer or distributor buying significant goods and equipment generally does better claiming input tax credits in full. We run both calculations on your numbers before you decide.

**Do I need to accrue employer health tax monthly?**

If you expect to cross the $1,000,000 exemption, accruing as payroll runs avoids a single unbudgeted charge later and keeps the monthly profit figure honest.

**What records do you need each month?**

Read access to your bank and card feeds, supplier invoices and statements, sales invoices or your point-of-sale reports, and payroll registers. A phone photo through the secure upload link is enough for most receipts.

**Do you have a Brampton office?**

No. Bookkeeping for Brampton clients is done entirely online, with documents exchanged securely and the books held in cloud software you can log into yourself.

**What does bookkeeping cost in Brampton?**

Monthly bookkeeping starts at $300 a month with GST/HST filing included, and the fee is fixed in writing after we review your enquiry. [See the published fees](https://www.everstonecpa.com/pricing).

**Do you work with businesses outside Brampton itself?**

Yes. Businesses in Bramalea, Caledon, Mississauga and the rest of Peel Region are served exactly as Brampton ones are, at the same fixed fees. Toronto businesses are covered on the [Toronto accountant](https://www.everstonecpa.com/accountant-toronto) page.
