# Bookkeeping for *Brandon* businesses

The Manitoba item that most reliably goes wrong in a set of books is not the sales tax you charge. It is the one nobody charged you — and in a city this close to Saskatchewan, that comes up often. EverStone keeps books for [Brandon businesses](https://www.everstonecpa.com/accountant-brandon) remotely at a fixed monthly fee.

**Quick answer:** A Brandon ledger carries 5% GST and 7% retail sales tax as separate taxes with different recovery treatment, plus an obligation to self-assess RST on taxable goods brought into the province untaxed. EverStone keeps those books current remotely, and monthly bookkeeping for a Brandon business starts from $300 a month. If you are looking for a bookkeeper in Brandon, this is that service, run by a CPA firm rather than a solo bookkeeper, so the people who keep the ledger are the people who prepare the year-end return.

For tax and year-end work as well, see our [small business accountant in Brandon](https://www.everstonecpa.com/accountant-brandon) page.

The books feed every filing that follows: the T2 or T2125, the GST/HST return and its input tax credits, the RST return, the CCA schedule and the CRA instalments.

## Two taxes with two different fates

Manitoba charges 7% retail sales tax alongside the 5% GST. RST is administered by Manitoba Finance rather than the CRA, holds its own registration, and is filed on its own returns. The difference that matters in the ledger is what happens to the tax you pay. GST paid on purchases is generally recovered as an [input tax credit](https://www.canada.ca/en/revenue-agency/services/forms-publications/publications/rc4022.html) and never touches the income statement. RST paid on purchases is generally a real cost that belongs inside the expense or the asset it applied to. Coding both into one sales-tax account overstates what is coming back and understates what things actually cost.

## The tax nobody charged you

The RST provision that produces most unwelcome assessments is self-assessment. Where taxable goods are brought into Manitoba for use in the business and the supplier did not charge RST — routine when buying from a dealer in Saskatchewan or Alberta, from another country, or online — the obligation to remit falls on the purchaser. Nothing on the invoice indicates it. A Brandon business buying equipment, parts, software and shop supplies from outside the province can accumulate an unrecorded liability across years, and it typically surfaces during a provincial review. Building the check into how out-of-province purchases are coded is the only reliable prevention, and it takes a few minutes a month once the supplier list is tagged.

## Equipment, parts and the asset register

Brandon’s economic development office lists metal manufacturing, chemical processing, agriculture and food, and transportation among the city’s key sectors. Businesses in and around those industries buy a lot of equipment, and the bookkeeping decision each time is whether a purchase is an expense or an asset. A welder, a forklift, a service truck or a set of moulds belongs on the balance sheet and is recovered through capital cost allowance; a box of consumables does not. Trade-ins need recording as a disposal of the old unit and a purchase of the new one at full price, not as a net figure. Financing needs the loan set up with interest and principal split each month. Done as the purchases happen, the asset register agrees with the CCA schedule at year-end; reconstructed in March, it rarely does.

## Freight is its own coding question

Brandon sits where the Trans-Canada Highway meets Highway 10, with two Class 1 railways, and its businesses move goods across Westman and beyond. That makes freight a large and awkward line. Inbound freight on goods for resale is part of the cost of those goods and belongs in inventory rather than in a general expense. Outbound freight to a customer is a selling cost. Freight recharged to a customer is revenue with a matching cost. Posting all three to one shipping account produces a cost-of-goods figure that is wrong and a margin that cannot be explained, and the error compounds with volume.

## Where inventory meets the ledger

Parts suppliers, fabricators, processors and farm-input dealers all hold real stock, and the inventory balance in the accounts has to be something the business can stand behind rather than a figure carried forward. That means an inventory sub-ledger reconciled to the control account, adjustments recorded when stock is written off rather than only when it is counted, and a valuation basis applied consistently. The closing figure feeds directly into taxable income, so a number nobody can support is a weakness in [the corporate return](https://www.everstonecpa.com/corporate-tax-accountant-brandon) as well as in the management reporting. [Year-end inventory counts](https://www.everstonecpa.com/blog/year-end-inventory-count-canada) sets out what the record has to show.

## A year that follows the farm calendar

Much of Westman’s business activity rises and falls with the crop year. Input dealers and equipment shops are busiest in spring and at harvest, custom operators and trucking firms follow the same rhythm, and contractors are compressed into the building season. For bookkeeping that means two things. Receivables need watching closely in the months after the busy season, when customers pay on their own schedule. And the monthly close has to stay monthly through the rush rather than slipping to “after harvest”, because three months of unreconciled transactions are far harder to sort out than one. [Managing cash flow in a seasonal business](https://www.everstonecpa.com/blog/managing-cash-flow-seasonal-business-canada) covers the cash side.

## The payroll levy above the threshold

Manitoba levies the Health and Post Secondary Education Tax Levy on remuneration. Employers with total yearly payroll of $2.5 million or less are exempt. Between $2.5 million and $5.0 million the levy is 4.3% of the excess over $2.5 million, and above $5.0 million it is 2.15% of the entire payroll with no deduction. Associated groups share the $2.5 million exemption. For an employer or a family group approaching the threshold, the bookkeeping requirement is to track total remuneration on a rolling basis rather than discovering the position at year-end.

## Closing each month so the year-end is short

A monthly close in a Manitoba file has a specific list. Bank and card accounts reconciled, GST and RST accounts agreed separately, self-assessment reviewed on any out-of-province purchases, equipment additions and disposals posted, inventory adjustments recorded, payroll tied to remittances, and the shareholder account checked for anything personal. Done monthly it takes an hour or two. Deferred, each item becomes a research exercise across twelve months of transactions, and the RST review in particular becomes very difficult once nobody remembers where a piece of equipment came from. [A month-end close checklist](https://www.everstonecpa.com/blog/month-end-close-checklist-small-business) sets out the order.

## Remote, with no Brandon office

EverStone is a fully virtual, one-CPA firm. There is no Brandon office and no local staff. Bank and card feeds arrive electronically, supplier invoices are captured by upload, and the file lives in cloud accounting software you hold your own login to. Manitoba corporate income tax is collected through the federal return, so one corporate return is prepared from the same books the monthly work produces, by the same CPA.

Where the decisions have outgrown the reporting, [fractional CFO work in Brandon](https://www.everstonecpa.com/cfo-services-brandon) is the next step, and the year-end itself is covered on [financial statements in Brandon](https://www.everstonecpa.com/financial-statements-brandon).

Keeping the books accurately and knowing what they mean are different jobs, and it is worth being deliberate about [which level of finance support you actually need](https://www.everstonecpa.com/bookkeeper-controller-or-cfo).

Common questions

## Brandon bookkeeping questions

**Is RST recorded the same way as GST?**

No. GST paid on purchases is generally recovered as an input tax credit and never reaches the income statement, while RST paid on purchases is generally a real cost that belongs inside the expense or the asset it applied to. [Ask about your case →](https://www.everstonecpa.com/quick-question)

**Do I owe RST on something bought outside Manitoba?**

Often yes. Where taxable goods are brought into the province for business use and the supplier did not charge RST, the purchaser is responsible for self-assessing and remitting it. Nothing on the invoice signals the obligation.

**How should freight be coded?**

By type. Inbound freight on goods for resale is part of inventory cost, outbound freight to customers is a selling cost, and freight recharged to a customer is revenue with a matching cost. One combined shipping account misstates cost of goods.

**How do I record an equipment trade-in?**

As two transactions: the disposal of the old unit at its trade-in value and the purchase of the new one at its full price, with any financing set up as a loan. Recording only the net cash hides the disposal and puts the wrong figure on the CCA schedule.

**What should a Manitoba month-end close cover?**

Bank and card reconciliation, GST and RST agreed separately, a self-assessment review on out-of-province purchases, equipment and inventory adjustments, payroll tied to remittances, and a check of the shareholder account.

**Do you have a Brandon office?**

No. EverStone keeps Brandon books remotely. Feeds arrive electronically and invoices are captured by upload, so nothing needs delivering in person.

**Do you do GST bookkeeping for Brandon businesses?**

Yes. GST collected and paid, and Manitoba RST where it applies, are tracked in the books every month, so each return is a reconciliation rather than a reconstruction. See [GST and RST filing in Brandon](https://www.everstonecpa.com/gst-hst-filing-brandon).

**What does bookkeeping cost for a Brandon business?**

Nothing about a Brandon address changes the fee. Monthly bookkeeping starts from $300 a month, with GST/HST filing included. The fee depends on transaction volume and the number of accounts, and it is fixed in writing after we review your enquiry. [See the published fees](https://www.everstonecpa.com/pricing).

**Do you work with businesses outside Brandon itself?**

Yes. Books for businesses in Virden, Souris, Carberry, Shilo and the rest of Westman are kept exactly as Brandon ones are: bank feeds, receipts through a secure upload link, and the same fixed monthly fee.
