# Bookkeeping for *Cochrane* businesses

An Alberta ledger is simpler than most — one sales tax, no provincial payroll levy — and that simplicity is exactly why Cochrane owners leave the books until spring. EverStone keeps monthly books for [Cochrane businesses](https://www.everstonecpa.com/accountant-cochrane) entirely online, reconciled and ready for the T2, the AT1 and every GST return.

**Quick answer:** A Cochrane ledger tracks one sales tax and no provincial payroll levy, so the real work is elsewhere: keeping business and personal spending apart in home-based businesses, reconciling card settlements for downtown shops, and closing a year end that supports both the federal T2 and the Alberta AT1. For a Cochrane business, monthly bookkeeping starts at $300 a month, GST/HST filing included.

The books feed every filing that follows: the T2 or T2125, the GST/HST return and its input tax credits, the CCA schedule and the CRA instalments.

## What Cochrane books actually look like

Cochrane’s economy, as the Town of Cochrane describes it, leans on technology firms, home-based professionals and a downtown of retailers and professional services. Each produces a recognizable set of books. A home-based consultancy has a few clients, a business bank account, a credit card that is sometimes used for groceries, and a home office. A downtown shop has a point-of-sale system, card processor deposits that arrive net of fees, inventory, and staff on variable hours. A contractor working out of Cochrane has supplier accounts, jobs, subtrades and equipment loans.

The common thread is that the owner is also the bookkeeper, at least until we take over. That usually means the bank feed is connected, transactions are categorized by the software’s best guess, and reconciliation happens once a year if at all. The result looks complete on screen and falls apart the moment someone tries to prepare a return from it.

## One sales tax, one account, one return

Alberta has no provincial sales tax, so a Cochrane ledger carries a single 5% GST account rather than the two a business in a PST province maintains. There is no second registration, no second filing cycle and no non-recoverable provincial tax buried in costs. The one place it gets harder is the input tax credit side: every claim needs a receipt or invoice that supports it, and a card statement line showing a merchant and a total does not. We keep the source documents attached to the transactions as they are entered, so the GST return is supported the day it is filed.

## Keeping business and personal apart

In a home-based business, the hardest bookkeeping problem is not technical. It is separation. When the same card buys a monitor and a week of groceries, every month needs someone to split it. When the owner pays a business bill from a personal account, the payment has to be recorded as a shareholder loan or a contribution, not left as a mystery deposit. Left alone, those items accumulate into a shareholder loan account nobody can explain, and the CRA has firm rules about what happens to an owner who owes their corporation money at the wrong time.

Our answer is simple and unglamorous: a business account and a business card for business, a monthly review of anything that crosses over, and a running shareholder loan schedule that ties to the balance sheet. It is the single change that most improves the year end for Cochrane’s home-based corporations.

## Card settlements, inventory and the downtown shop

A retailer or restaurant receives card deposits net of processing fees, sometimes batched across days, and sometimes split between processors. Recording the deposit as sales understates revenue and hides the fees. We record gross sales from the point-of-sale reports, the fees as an expense, and reconcile the net to the bank, so sales, GST collected and the processor statements all agree. Inventory is counted at least at year end and the cost of goods sold adjusted to it; a shop that never counts reports margins that drift further from reality every year.

## The books have to close for two returns

Alberta administers its own corporate income tax, so a Cochrane corporation files a federal T2 and a separate AT1 with Alberta Tax and Revenue Administration. Both are prepared from the same closed year end, which raises the standard the bookkeeping has to meet: every balance sheet account reconciled, accruals in place, loans split between current and long-term, and the fixed asset register matching what was actually bought. A ledger that closes cleanly once produces two returns that agree with each other. One that does not produces two sets of questions.

## No provincial payroll levy to accrue

Alberta levies no employer health tax, so a Cochrane payroll carries federal [source deductions](https://www.canada.ca/en/revenue-agency/services/tax/businesses/topics/payroll/remitting-source-deductions.html) — CPP, EI and income tax — plus WCB-Alberta premiums, and nothing provincial on top. That keeps the payroll liability accounts simple, but they still need reconciling to the remittances each month, because a payroll account that does not clear to zero is usually a missed or doubled remittance. See [payroll services in Cochrane](https://www.everstonecpa.com/payroll-services-cochrane).

## Equipment and vehicles

For trades and contractors, and for acreage owners running a business on the side, the fixed asset register matters as much as the bank reconciliation. Trucks, trailers, tools and equipment are recorded at cost, financing is split from the asset, and disposals and trade-ins are recorded when they happen rather than discovered at year end. That register drives the [capital cost allowance](https://www.everstonecpa.com/blog/capital-cost-allowance-cca-classes-canada) claim on the return, and gets it right the first time.

## Fully online, with no office visits

EverStone is a fully virtual, one-CPA firm. There is no Cochrane office and no local staff. Bank and card feeds arrive electronically, documents are exchanged securely, and the file lives in cloud accounting software you hold your own login to. Questions go by email, and a short video call covers anything that needs a conversation. Nothing requires a drive.

Common questions

## Cochrane bookkeeping questions

**What does bookkeeping cost in Cochrane?**

Monthly bookkeeping starts from $300 a month, with GST/HST filing included. The fee is set from your transaction volume and fixed in writing before the first month. [Ask about your case →](https://www.everstonecpa.com/quick-question)

**Do Alberta books need two sales-tax accounts?**

No. Alberta has no provincial sales tax, so the ledger carries a single GST account. Selling into a province with HST or its own PST can add obligations there.

**I use one card for business and personal spending. Is that a problem?**

It is workable, but every personal item has to be split out and recorded against the shareholder loan or drawings. A separate business card is cheaper than the bookkeeping time it saves.

**Why do the books need to close for two returns?**

Because Alberta administers its own corporate income tax, so a federal T2 and a provincial AT1 are both prepared from the same year-end figures.

**Can you catch up books that are behind?**

Yes. Catch-up work is quoted separately, oldest period first, and then the monthly engagement starts so it does not happen again. See [behind on the books](https://www.everstonecpa.com/behind-on-bookkeeping).

**Do you have a Cochrane office?**

No. EverStone works online and keeps Cochrane books remotely. Feeds arrive electronically, documents are exchanged securely, and businesses in Bragg Creek, Bearspaw and the rest of Rocky View County are served the same way.
