# Bookkeeping across the *Fraser Valley*

One set of books, kept by the CPA who will sign the return from them. EverStone is a [Fraser Valley accounting firm](https://www.everstonecpa.com/accountant-fraser-valley), and it keeps the ledgers for businesses from Langley to Hope itself — coding, reconciling, GST and PST, payroll postings — online, with no second firm in the middle.

**Quick answer:** Bookkeeping for a Fraser Valley business is a monthly discipline. Every bank, card and loan account is reconciled, every transaction is coded to an account that means something at year-end, and GST is kept apart from BC [PST](https://www2.gov.bc.ca/gov/content/taxes/sales-taxes/pst) from the first entry. EverStone does that work for businesses across the valley and prepares the year-end from the same file, so nothing is re-coded in March by a second pair of hands. Monthly bookkeeping starts at $325 a month, GST/HST filing included.

Filings include the T2, the GST/HST return, CCA and the T2125.

The valley is one economy; the books differ by the kind of business, not the town.

It is run by a CPA firm rather than a solo bookkeeper, priced as a fixed monthly fee, and needs no drive anywhere.

## Why the valley is one economy and not seven towns

The municipalities along Highway 1 — Langley, Aldergrove, Abbotsford, Mission, Chilliwack, Agassiz and Hope — are marketed as separate places and run as one regional economy. A dairy in Agassiz sells to a processor in Chilliwack; a trucking outfit in Abbotsford hauls for all of them. For the books, geography matters least. The *kind* of business and its taxes decide how the ledger is built, and those repeat across the valley.

That is why the same monthly engagement serves an Aldergrove nursery and a Hope motel. The chart of accounts differs; the discipline does not. The city pages for [Abbotsford](https://www.everstonecpa.com/bookkeeping-abbotsford), [Chilliwack](https://www.everstonecpa.com/bookkeeping-chilliwack), [Mission](https://www.everstonecpa.com/bookkeeping-mission), [Langley](https://www.everstonecpa.com/bookkeeping-langley), [Maple Ridge](https://www.everstonecpa.com/bookkeeping-maple-ridge) and [Aldergrove](https://www.everstonecpa.com/bookkeeping-aldergrove) go into what each place tends to bring to the file. This page is about what they share.

## Coding is the decision; everything else is arithmetic

A ledger that reconciles is not the same as a ledger that is right. Reconciliation proves the money is accounted for; coding decides what it *was*. Four hundred plausible-but-wrong classifications produce a clean trial balance and a year-end that cannot support its deductions. The fix is a chart of accounts built at the start, and coding done while the transaction is fresh enough to ask about.

The valley’s three recurring traps: farm and non-farm activity in one account, owned and leased vehicles blended, and job materials never tied to the job.

## GST and PST: two taxes, two answers, one invoice

British Columbia never harmonized, so every Fraser Valley invoice carries two independent questions. The federal one is whether the supply is taxable, zero-rated or exempt for GST, and whether the [input tax credit](https://www.canada.ca/en/revenue-agency/services/forms-publications/publications/rc4022.html) on the purchase side is recoverable. The provincial one is whether PST applies at all, and if it does, PST paid on inputs is generally a cost that stays inside the expense rather than a receivable to be recovered. Collapsing the two into a single “sales tax” account is the single commonest reason a GST return has to be rebuilt.

The valley adds one wrinkle of its own: qualifying farmers can buy certain goods PST-exempt, which is genuinely useful and only holds up if the paperwork behind the exemption is kept with the purchase. [GST and PST filing across the valley](https://www.everstonecpa.com/gst-hst-filing-fraser-valley) is the companion page; the [sales tax hub](https://www.everstonecpa.com/gst-hst-hub) carries the federal mechanics.

## Reconciliation is the control that finds what nobody was looking for

Monthly reconciliation makes a file trustworthy. It also catches a supplier paid twice or an e-transfer that is really a shareholder draw. Caught in the month, each is a one-line correction. Caught at year-end, they are a reconstruction, and a reconstruction is how an ordinary year becomes an expensive one.

Where the books have not been touched in a while, [catch-up bookkeeping](https://www.everstonecpa.com/catch-up-bookkeeping) is a defined piece of work with a start and an end — and [behind on your books?](https://www.everstonecpa.com/behind-on-bookkeeping) sets out how it is priced.

## How often a valley business actually needs its books done

Monthly is the default, not the rule. A sole operator with a few dozen transactions a month and no staff can be well served by quarterly work tied to the GST cycle. A business with employees, inventory or a lender who wants statements needs monthly numbers, because its decisions cannot wait for a year-end. Ask what you would do differently with the figure sooner. If nothing, monthly is a cost with no return. If you are bidding blind on margin or guessing at payroll, it pays for itself. [Monthly or annual bookkeeping](https://www.everstonecpa.com/monthly-vs-annual-bookkeeping) works through the comparison with numbers.

## What a valley set of books looks like when it is kept properly

Once a business carries staff, such as a second crew, seasonal pickers or a front counter, payroll runs, remittances and year-end slips land in the same books, in the period they belong to. [Payroll, start to finish](https://www.everstonecpa.com/payroll-hub) sets out the obligation. Feeds arrive electronically, receipts are captured by phone the same day, and questions go by email or a short call. The file lives in cloud software under your own login. The person coding it is the CPA who prepares the [corporate return](https://www.everstonecpa.com/tax-services) and the [year-end statements](https://www.everstonecpa.com/financial-statements-abbotsford) from it. That means no hand-off and no second interpretation of what a transaction was.

## Fraser Valley bookkeeping FAQ

**Do you have offices around the valley I can drop paperwork at?**

No. EverStone works online and serves the rest of the Fraser Valley remotely. Bank feeds, receipt capture by phone and secure upload replace the drop-off, and nothing about the bookkeeping needs you to hand over paper. [Ask about your case →](https://www.everstonecpa.com/quick-question)

**My business works in several valley municipalities. Does that change the books?**

Not the books — the taxes that attach to a job follow the product and the customer, not the municipal boundary. What it may change is licensing: the [valley business licence guide](https://www.everstonecpa.com/fraser-valley-business-licence) covers the inter-municipal licence that lets a trades business work across participating municipalities on one permit.

**Can you take over an existing QuickBooks or Xero file?**

Usually, yes. The first step is reviewing what is there rather than starting over, because a file with real history is worth keeping. Where the chart of accounts does not suit the business, it is restructured before new work goes in. [QuickBooks or Xero](https://www.everstonecpa.com/quickbooks-vs-xero-canada) covers the choice if you are starting fresh.

**Why do GST and PST have to be tracked separately?**

Because they are different taxes with different bases, different administrators and different returns. A supply can be taxable for one and exempt for the other, and PST paid on inputs is generally a cost rather than a recoverable credit. One combined account makes both filings unreliable.

**How far behind can a file be before it is too late?**

Several unfiled years is common and workable. What matters is whether the records still exist: bank statements, invoices, receipts. Reconstructing from complete statements is routine; reconstructing from memory is not. [Catch-up bookkeeping](https://www.everstonecpa.com/catch-up-bookkeeping) explains how it is scoped and priced.

**Are payroll postings included in the bookkeeping?**

Yes. Payroll runs, source-deduction remittances and the year-end slips are posted into the same ledger rather than kept as a separate system to reconcile later. [Payroll for valley businesses](https://www.everstonecpa.com/payroll-services-abbotsford) sets out the full obligation.

**Who actually keeps my books?**

EverStone is a sole-practitioner firm, so the CPA who prepares your year-end is the person maintaining the ledger it comes from. There is no junior to hand the file to, and no second firm to reinterpret it.

**What does bookkeeping cost for a Fraser Valley business?**

Nothing about a Fraser Valley address changes the fee. Monthly bookkeeping starts from $325 a month, with GST/HST filing included. The fee depends on transaction volume and the number of accounts, and it is fixed in writing after we review your enquiry. [See the published fees](https://www.everstonecpa.com/pricing).

**Do you work with businesses outside Fraser Valley itself?**

Yes. Books for businesses in Abbotsford, Chilliwack, Mission, Langley, Maple Ridge and Hope are kept exactly as Fraser Valley ones are: bank feeds, receipts through a secure upload link, and the same fixed monthly fee.

## Who this is for, and who it is not

This fits a Fraser Valley business that wants its books kept monthly by the firm that will also prepare the year-end, and wants one fixed fee for both. It is not the right fit for a business that wants a bookkeeper on site, or one that needs a data-entry service with no accountant behind it. Monthly bookkeeping starts at the figure on [the published fee list](https://www.everstonecpa.com/pricing) and scales with transaction volume.

## Books to hand off, anywhere in the valley?

Coding, reconciling and sales tax kept current by the CPA who files the return. Send an enquiry.

## Remote bookkeeping

EverStone is a fully virtual, one-CPA firm, working with clients across the Fraser Valley entirely online. **There is no office to visit and no staff elsewhere in the valley.** Meetings are held by video or phone, documents move by secure exchange and e-signature, and no visit is required at any point. Bank, card and processor feeds are reconciled monthly rather than rebuilt at year-end.

The moment there are employees, [payroll](https://www.everstonecpa.com/payroll-services-abbotsford) becomes the recurring obligation, and it is posted into the same ledger.

Keeping the books accurately and knowing what they mean are different jobs; [bookkeeper, controller or CFO](https://www.everstonecpa.com/bookkeeper-controller-or-cfo) sets out where one ends and the next begins.

If [GST and PST filing across the valley](https://www.everstonecpa.com/gst-hst-filing-fraser-valley) is the more pressing job, start there; the books behind it are the same books.
