# Bookkeeping for *Guelph* businesses

A Guelph ledger has one harmonized sales tax to track, which is the easy part. The harder parts are inventory that moves through a shop floor, jobs that need costing, payroll that grows in steps and a year-end that a lender will read. EverStone keeps books for [Guelph businesses](https://www.everstonecpa.com/accountant-guelph) remotely at a fixed monthly fee.

**Quick answer:** A Guelph ledger tracks one recoverable 13% HST rather than two separate sales taxes, which moves the work to inventory and job costing, zero-rated sales, the [quick method](https://www.everstonecpa.com/gst-hst-calculator) decision and employer health tax accruals. If you are looking for a bookkeeper in Guelph, this is that service, run remotely by a CPA firm, so the people who keep the ledger are the people who prepare the year-end return. Monthly bookkeeping for a Guelph business starts at $300 a month, GST/HST filing included.

The books feed every filing that follows: the T2 or T2125, the GST/HST return and its input tax credits, the CCA schedule, payroll remittances and the T4 slips, and the CRA instalments.

## What a Guelph set of books usually contains

The City of Guelph names advanced manufacturing, agri-innovation and life sciences as its industry clusters, with information technology and cleantech among its priority sectors. For bookkeeping, that translates into a lot of ledgers with things other than cash in them: raw materials and finished goods, parts on a shelf, equipment on a loan, jobs in progress at month-end. A consultancy’s books can be reconciled from the bank statement alone. A fabrication shop’s cannot, because half of what decides the month’s profit is sitting on the floor.

The engagement is built around that. Bank and card accounts are reconciled every month, but so are the balance sheet accounts behind them — inventory, work in progress, customer deposits, equipment loans, HST, payroll liabilities — so the profit figure means something before the year-end rather than only after it.

## Inventory and job costing

For a manufacturer or a food producer, the gap between purchases and cost of goods sold is the inventory movement, and if inventory is only counted once a year the monthly margins are guesses. A workable middle ground is a periodic count of the high-value lines, standard costs for the rest, and a full count at year-end with an obsolescence review. Inventory is measured at the lower of cost and net realizable value, so parts that will never be used, or product past its date, come off the books in the year that is established.

Contractors and custom manufacturers need the same discipline at the job level. Labour, materials and subcontract costs are coded to the job as they are incurred, so a job that is losing money is visible while it is still running. That coding is also what makes the year-end work-in-progress figure defensible, and what lets a quote for the next job start from real numbers rather than memory.

## One tax account, fully recoverable

Ontario harmonized its provincial sales tax with the GST, so a single 13% HST covers both and is administered federally. In the ledger that means one tax account, one registration and one return, and the provincial component is recoverable as an [input tax credit](https://www.canada.ca/en/revenue-agency/services/forms-publications/publications/rc4022.html) in the same way as the federal one. For a business buying a lot of materials and equipment, those credits are a large number, and each one needs an invoice that meets the CRA’s documentation rules. [Input tax credits](https://www.everstonecpa.com/blog/input-tax-credits-itc-canada-guide) covers what is recoverable and what records are expected.

The other side matters too. A Guelph manufacturer exporting goods, or a farm selling many basic agricultural products, makes zero-rated sales: tax is charged at 0%, but credits on inputs are still claimed. A business with mostly zero-rated sales sits in a refund position, and refund returns get looked at more closely, so the coding of each sale type has to be right in the ledger, not fixed on the return.

## The quick method is a bookkeeping decision

Eligible smaller businesses can elect to remit a prescribed percentage of tax-included sales instead of tracking input tax credits transaction by transaction. Whether that helps depends on how much taxable input the business buys: a consultancy or a small studio with few purchases often gains, while a manufacturer or contractor buying significant materials generally does not. The choice changes how everything is coded, so it is made once and applied consistently rather than evaluated at year-end. [The quick method](https://www.everstonecpa.com/blog/gst-hst-quick-method-canada) works through the arithmetic.

## Payroll accruals and employer health tax

Payroll entries are recorded as each pay run happens, with the source deductions owed to the CRA shown as a liability until they are remitted, and vacation pay accrued as it is earned rather than when it is taken. Ontario also levies an employer health tax on remuneration, an employer cost rather than a deduction from pay. The rate is chosen from payroll bands using total Ontario remuneration before the $1,000,000 exemption is deducted, and only then is the exemption subtracted. A growing Guelph employer expecting to cross the exemption during the year should accrue it monthly, so a single unbudgeted charge does not appear at the end.

## Where the receivables ledger tells the truth

A supplier to larger manufacturers often waits on long payment terms, and a monthly aged receivables listing is the cheapest early warning it has. It shows which customers are stretching before they become collection problems, and it distinguishes a genuinely disputed invoice from one that was simply never chased. Where a specific debt is established as uncollectible during the year it is deductible, while a general allowance against receivables at large is not, so the identification has to actually happen. [Writing off bad debts](https://www.everstonecpa.com/blog/writing-off-bad-debts-canada) covers the requirements.

## The registry return that is not on the tax calendar

An Ontario corporation files an annual return through the Ontario Business Registry within six months of fiscal year-end. It is a corporate-law filing rather than a tax one, so it does not appear in the CRA correspondence most owners use as their reminder system, and it is routinely missed. Keeping that deadline on the same calendar as the year-end, alongside the T2 and the balance due, is a bookkeeping habit that prevents the good-standing problem a lender or purchaser would otherwise find.

## Why a Guelph file does not need a Guelph office

EverStone is a fully virtual, one-CPA firm: no Guelph office and no local staff. Bank and card feeds arrive electronically, receipts and supplier invoices come through a secure upload or a forwarding address, and the file sits in cloud accounting software you hold your own login to. HST is administered federally and Ontario corporate tax is collected through the federal return, so nothing about the work depends on being in the city. One CPA keeps the monthly ledger and prepares the year-end from it.

Where the decisions have outgrown the reporting, [fractional CFO work in Guelph](https://www.everstonecpa.com/cfo-services-guelph) is the next step.

The moment there are employees, [payroll in Guelph](https://www.everstonecpa.com/payroll-services-guelph) becomes the recurring obligation.

Keeping the books accurately and knowing what they mean are different jobs, and it is worth being deliberate about [whether books are still the binding constraint](https://www.everstonecpa.com/bookkeeper-controller-or-cfo).

Common questions

## Guelph bookkeeping questions

**Is the provincial part of HST recoverable?**

Yes. Ontario’s 13% HST is a single tax administered federally, and the provincial component is recoverable as an input tax credit in the same way as the federal component, so no provincial tax stays embedded in your costs. [Ask about your case →](https://www.everstonecpa.com/quick-question)

**How often should we count inventory?**

A full count at year-end, plus periodic counts of the high-value lines during the year if you want monthly margins you can trust. Without them, monthly cost of goods sold is an estimate and the year-end adjustment arrives as a surprise.

**Should my business use the quick method?**

It depends on how much taxable input you buy. A service business with low purchases often gains from remitting a prescribed percentage of tax-included sales; a manufacturer or contractor buying significant materials and equipment generally does not.

**Why does our HST return keep showing a refund?**

Usually because many of your sales are zero-rated, such as exports or many basic farm products, while the inputs carry 13% that you claim back. That is legitimate, but refund returns attract more review, so the sales coding and purchase invoices need to be in order. [See the published fees](https://www.everstonecpa.com/pricing).

**Do I need to accrue employer health tax monthly?**

If you expect to cross the $1,000,000 exemption, accruing as payroll runs avoids a single unbudgeted charge later. The rate is chosen from payroll bands using total Ontario remuneration before the exemption is deducted.

**Do you have a Guelph office?**

No. EverStone keeps Guelph books remotely. Feeds arrive electronically and documents are exchanged securely, so no office visit is needed.

**Do you work with businesses outside Guelph itself?**

Yes. Books for businesses in Fergus, Elora, Puslinch and the rest of Wellington County are kept exactly as Guelph ones are: bank feeds, receipts through a secure upload link, and the same fixed monthly fee.
