# Bookkeeping for *Oakville* businesses

One harmonized tax makes an Ontario ledger simpler than a two-tax provincial one, and moves the difficulty to the decisions around it. EverStone keeps books for [Oakville businesses](https://www.everstonecpa.com/accountant-oakville) remotely at a fixed monthly fee.

**Quick answer:** An Oakville ledger tracks one recoverable 13% HST rather than two separate sales taxes, which shifts the work to the [quick method](https://www.everstonecpa.com/gst-hst-calculator) decision, employer health tax accruals, inventory and the shareholder loan. EverStone keeps those books remotely at a fixed fee. If you are looking for a bookkeeper in Oakville, this is that service, run by a CPA firm rather than a solo bookkeeper, so the people who keep the ledger are the people who prepare the year-end return. For an Oakville business, monthly bookkeeping starts at $300 a month, GST/HST filing included.

The books feed every filing that follows: the T2 or T2125, the GST/HST return and its input tax credits, the CCA schedule and the CRA instalments.

It changes how everything is coded, so it is decided once.

## What an Oakville set of books looks like

The Town of Oakville’s economic development office names professional services, technology and digital media, health and life sciences, and advanced manufacturing as its key sectors. Those produce very different ledgers. A consultancy has a handful of clients, a retainer or day rate, and costs that are mostly software, subcontractors and a vehicle. A software or digital-media company carries subscriptions in and out, contractors in several provinces and sometimes customers outside Canada. A small manufacturer or machine shop has inventory, work in progress, supplier terms and equipment on finance. A contractor or renovator has subcontractors, holdbacks and job costs. Each needs a chart of accounts built for how it actually earns, not a generic template.

What they share is a monthly rhythm: bank and card accounts reconciled, every transaction coded with its HST treatment, receipts attached, payroll posted, and the owner’s personal spending kept out of the company — or, where it slips in, recorded against the shareholder loan rather than buried in expenses.

## One tax account, fully recoverable

Ontario harmonized its provincial sales tax with the GST, so a single 13% HST covers both and is administered federally. In the ledger that means one tax account, one registration and one return, and the provincial component behaves exactly like the federal one: it is recoverable as an [input tax credit](https://www.canada.ca/en/revenue-agency/services/forms-publications/publications/rc4022.html) rather than becoming a cost embedded in purchases. Businesses that have only ever operated in Ontario often meet the distinction late, when they buy from a supplier in a province with a separate provincial sales tax and find some of the tax on the invoice is not coming back. [Input tax credits](https://www.everstonecpa.com/blog/input-tax-credits-itc-canada-guide) covers what is recoverable and what records support a claim.

## The quick method is a bookkeeping decision

Eligible smaller businesses can elect to remit a prescribed percentage of tax-included sales instead of tracking input tax credits transaction by transaction. Whether that helps depends on how much taxable input the business buys: an Oakville consultancy with low purchases often gains, while a manufacturer buying materials and equipment generally does not. The point for the ledger is that the choice changes how everything is coded, so it is made once and applied consistently rather than reconsidered at year-end. [The quick method](https://www.everstonecpa.com/blog/gst-hst-quick-method-canada) works through the arithmetic.

## Inventory and work in progress

For a manufacturer, distributor or fabricator, the inventory figure is where the profit actually gets decided. Purchases recorded straight to cost of sales and never counted make every month look worse than it is and the year-end look better than it is, or the reverse. We set up inventory accounts that match how stock moves, reconcile them to a count at year-end, and record work in progress on jobs that straddle the year so revenue and cost land in the same period. [Year-end inventory counts](https://www.everstonecpa.com/blog/year-end-inventory-count-canada) covers what the count needs to show.

## Employer health tax accrues every month

Ontario levies an employer health tax on remuneration, and unlike a payroll deduction it is an employer cost that has to be provided for as payroll is run rather than met when a return falls due. The rate is chosen from payroll bands using total Ontario remuneration before the $1,000,000 exemption is deducted, and only then is the exemption subtracted. Where an Oakville employer expects to cross the exemption during the year, accruing monthly avoids a single unbudgeted charge late in the year. Associated employers share one exemption and must file an allocation agreement. Payroll itself is covered on [payroll services in Oakville](https://www.everstonecpa.com/payroll-services-oakville).

## The shareholder loan account

In an owner-managed company, the shareholder loan is the account that most needs watching. Money the owner takes that is not salary or a declared dividend, personal costs paid on the company card, and expenses the owner paid personally for the company all pass through it. If it ends the year with the owner owing the company and the balance is not repaid within a year after that year-end, the amount can be included in the owner’s personal income. Reconciled monthly, it is a simple account. Reconstructed from a year of card statements in the spring, it is the most expensive part of the year-end.

## Where the receivables ledger tells the truth

Businesses that invoice on completion or on monthly terms accumulate receivables faster than they notice, and an aged listing reviewed monthly is the cheapest early warning there is. It shows which accounts are stretching before they become collection problems, and separates a genuinely disputed invoice from one that was never chased. Where a specific debt is established as uncollectible during the year it is deductible, while a general allowance against receivables at large is not, so the identification has to happen. [Writing off bad debts](https://www.everstonecpa.com/blog/writing-off-bad-debts-canada) covers the requirements.

## The registry return that is not on the tax calendar

An Ontario corporation files an annual return through the Ontario Business Registry within six months of fiscal year-end. It is a corporate-law filing rather than a tax one, so it does not appear in the CRA correspondence most owners use as their reminder system, and it is routinely missed. Keeping the deadline on the same calendar as the corporate year-end — alongside the T2 and the balance due — is a bookkeeping habit, and it prevents the good-standing problem that surfaces when a lender or buyer asks for a certificate.

## Behind on the books?

Plenty of Oakville owners come to us a year or more behind: the bookkeeper left, the business grew faster than the admin, or the owner meant to catch up in the slow season and the slow season never came. Catch-up work is done oldest month first, reconciled to bank statements, and priced as a separate fixed fee before monthly work begins. Late HST returns and T2s are filed in order once the books support them. See [catch-up bookkeeping](https://www.everstonecpa.com/catch-up-bookkeeping).

## Why an Oakville file does not need an Oakville office

HST is administered federally and Ontario corporate tax is collected through the federal return, so nothing about an Oakville set of books depends on a local address. EverStone is a fully virtual, one-CPA firm with no Oakville office and no local staff. Bank and card feeds arrive electronically, documents are exchanged securely, and the file sits in cloud accounting software you hold your own login to. One CPA keeps the monthly ledger and prepares the year-end from it.

Where the decisions have outgrown the reporting, [fractional CFO work in Oakville](https://www.everstonecpa.com/cfo-services-oakville) is the next step.

The moment there are employees, [payroll in Oakville](https://www.everstonecpa.com/payroll-services-oakville) becomes the recurring obligation.

Keeping the books accurately and knowing what they mean are different jobs, and it is worth being deliberate about [whether books are still the binding constraint](https://www.everstonecpa.com/bookkeeper-controller-or-cfo).

Common questions

## Oakville bookkeeping questions

**Is the provincial part of HST recoverable?**

Yes. Ontario’s 13% HST is a single tax administered federally, and the provincial component is recoverable as an input tax credit in the same way as the federal component, so no provincial tax stays embedded in your costs. [Ask about your case →](https://www.everstonecpa.com/quick-question)

**Should my business use the quick method?**

It depends on how much taxable input you buy. A service business with low purchases often gains from remitting a prescribed percentage of tax-included sales; a business buying significant goods and equipment generally does not.

**Do I need to accrue employer health tax monthly?**

If you expect to cross the $1,000,000 exemption, accruing as payroll runs avoids a single unbudgeted charge later. The rate is chosen from payroll bands using total Ontario remuneration before the exemption is deducted.

**I sometimes pay personal things on the company card. Is that a problem?**

Not if it is recorded properly. Personal spending goes to the shareholder loan, not to expenses. The risk is a balance owed by you to the company left unpaid past the following year-end, which can be taxed as your income. We reconcile it monthly.

**How much does bookkeeping cost in Oakville?**

Monthly bookkeeping starts at $300 a month with GST/HST filing included, and the fee is fixed in writing once we have seen the volume. Catch-up work is quoted separately. [See the published fees](https://www.everstonecpa.com/pricing).

**When can I deduct an invoice a client never paid?**

When the specific debt has been established as uncollectible during the year. A general allowance set against receivables at large is not deductible, so the account has to be identified and the basis recorded.

**Do you have an Oakville office?**

No. EverStone keeps Oakville books remotely. Feeds arrive electronically and documents are exchanged securely, so no office visit is needed.

**Do you work with businesses outside Oakville itself?**

Yes. Books for businesses in Burlington, Milton, Halton Hills and Mississauga are kept exactly as Oakville ones are: bank feeds, receipts through a secure upload link, and the same fixed monthly fee.
