# Bookkeeping for *Surrey* businesses

Volume is what breaks a small-business ledger: more subcontractors, more cards, more payroll, more people entering things. EverStone keeps books for [Surrey businesses](https://www.everstonecpa.com/accountant-surrey) remotely at a fixed monthly fee; construction tax sits on the [contractor page](https://www.everstonecpa.com/contractor-accountant-surrey).

**Quick answer:** At volume a Surrey ledger needs subcontractor payments accumulated against proper payee records, holdbacks tracked separately from ordinary receivables, each payroll run posted in full rather than summarized, and card spending documented at the point of purchase. EverStone maintains those books remotely at a fixed monthly fee. If you are looking for a bookkeeper in Surrey, this is that service, run remotely by a CPA firm rather than a solo bookkeeper, so the people who keep the ledger are the people who prepare the year-end return.

The books feed every filing that follows: the T2 or T2125, the GST/HST return and its input tax credits, the CCA schedule and the CRA instalments.

A ledger that works at two hundred transactions fails at two thousand.

## What changes when the transaction count rises

A ledger that works at two hundred transactions a month often fails quietly at two thousand. Thoughtful coding becomes pattern coding. Software rules file transactions in categories nobody has reviewed for a year. Duplicates appear when two people capture the same receipt. The bank still reconciles, but expense accounts stop meaning what their names say. At volume, what matters is not entry speed but periodic review of what the automation is doing. [Common bookkeeping mistakes](https://www.everstonecpa.com/blog/bookkeeping-mistakes-small-business) covers the pattern.

## Subcontractor payments have to accumulate by payee

Construction businesses paying subcontractors generally report on [T5018](https://www.canada.ca/en/revenue-agency/services/forms-publications/forms/t5018.html) information returns, which are only as good as the ledger. Payments must build up against a payee record with a business number, not a generic account with a memo name; one person entered three ways makes the total wrong. Set up the record at first payment, not in January. [T5018 reporting](https://www.everstonecpa.com/blog/t5018-subcontractor-reporting-construction) covers the requirement.

## Holdbacks are not ordinary receivables

Holdbacks on a progress claim are owed but not yet payable. Mixed into receivables, they inflate the aged listing with amounts nobody is chasing and hide the ones somebody should be. In their own account, they show what is outstanding, what is retained and when each release is due. They also affect when revenue is recognized. [Accounting for holdbacks](https://www.everstonecpa.com/blog/construction-holdbacks-accounting-canada) sets out the treatment.

## Payroll posted, not summarized

Where payroll runs in a separate system, the common shortcut posts the net bank withdrawal as one wages entry. That records the cash and loses the gross wage, the [source deductions](https://www.canada.ca/en/revenue-agency/services/tax/businesses/topics/payroll/remitting-source-deductions.html) withheld, the employer contributions and the liability owed to the CRA until remitted. Payroll expense is understated, the remittance liability never appears, and the year-end T4 reconciliation cannot be done. Each pay run needs its full journal entry. [Payroll remittances](https://www.everstonecpa.com/blog/payroll-remittances-canada-rp-account) covers what to track.

## Cards multiply faster than controls

Fuel cards, supply-house accounts and company credit cards each produce transactions without context. Photograph the receipt and note the job or purpose at the point of spend; chasing it a month later works perhaps half the time, and the CRA does not accept a statement line as a receipt. [Digital record-keeping requirements](https://www.everstonecpa.com/blog/digital-record-keeping-cra-requirements) covers the archive.

## Closing the month so the year end is short

Close monthly, because unresolved items only get harder. Reconcile bank and cards, record unbilled work, agree holdbacks, tie payroll to remittances and check the shareholder account for personal spending. Monthly it is a short routine; at year end it is twelve months of reconstruction. [A month-end close checklist](https://www.everstonecpa.com/blog/month-end-close-checklist-small-business) sets out the sequence.

## One CPA on a Surrey file, from coding to year end

A Surrey file with real volume is coded once, by the person who will prepare the year end from it. EverStone is a fully virtual, one-CPA firm: no Surrey office, no Newton or Cloverdale location and no local staff. Feeds arrive electronically, receipts are captured by phone wherever the work is, and questions are handled by email or a short video call.

The moment there are employees, [payroll in Surrey](https://www.everstonecpa.com/payroll-services-surrey) becomes the recurring obligation.

Keeping the books accurately and knowing what they mean are different jobs, and it is worth being deliberate about [the difference between recording and reviewing](https://www.everstonecpa.com/bookkeeper-controller-or-cfo).

For [our Surrey GST page](https://www.everstonecpa.com/gst-hst-filing-surrey), the scope and the fixed-fee approach are the same.

What gets done, and when
A monthly engagement, not a shoebox in March — for a business operating in Surrey, British Columbia

| Cadence | What we do |

| Monthly | Transactions categorized, bank and credit card accounts reconciled, source documents filed |

| Quarterly | GST/HST return prepared and filed, where you report quarterly |

| Annually | Books closed and handed clean to the year-end file |

| Ongoing | Payroll entries and owner draws tracked so nothing is reconstructed later |

| Sales tax where you operate | 5% GST plus 7% BC PST: two registrations, two returns |

Common questions

## Surrey bookkeeping questions

**Why do my expense accounts stop making sense as we grow?**

Usually because automation rules and pattern-based coding take over without review. The bank still reconciles, so nothing looks wrong, but transactions accumulate in categories nobody has checked. Periodic review of what the rules are doing is the fix. [Ask about your case →](https://www.everstonecpa.com/quick-question)

**How should subcontractor payments be recorded?**

Against a proper supplier record with a business number attached, so payments accumulate by payee across the year. Entering the same person several ways makes the T5018 totals wrong, and no report will flag it.

**Should holdbacks sit in accounts receivable?**

Better in their own account. Mixed into receivables they inflate the aged listing with amounts nobody is chasing and hide what is genuinely overdue. Separately tracked, they show what is retained and when each release falls due.

**Can I just post the net payroll withdrawal?**

Not if you want the books to reconcile. A single net entry loses the gross wage, the source deductions withheld, the employer contributions and the remittance liability, which makes the year-end T4 reconciliation impossible.

**Is a credit card statement enough for the CRA?**

Generally no. A statement line shows an amount and a vendor but not what was bought, so it does not support the claim. An electronic archive is acceptable where the images are readable, complete and retained for the required period.

**Do you have a Surrey office?**

No. EverStone keeps Surrey books remotely. Bank and card feeds arrive electronically and receipts are captured by phone from the job, so nothing needs delivering.

**What does bookkeeping cost for a Surrey business?**

Surrey businesses pay the same published fees as everyone else. Monthly bookkeeping starts from $325 a month, with GST/HST filing included. The fee depends on transaction volume and the number of accounts, and it is fixed in writing after we review your enquiry. [See the published fees](https://www.everstonecpa.com/pricing).

**Do you work with businesses outside Surrey itself?**

Yes. Books for businesses in Cloverdale, Newton, Fleetwood, South Surrey and White Rock are kept exactly as Surrey ones are: bank feeds, receipts through a secure upload link, and the same fixed monthly fee.
