# Bookkeeping for *Victoria* businesses

Two things shape a Victoria ledger more than anything else: a visitor season with a beginning and an end, and the number of incorporated consultants here who invoice one institution. EverStone keeps monthly books for [Victoria businesses](https://www.everstonecpa.com/accountant-victoria) remotely.

**Quick answer:** Monthly bookkeeping for a Victoria business means transactions categorized and accounts reconciled every month, GST and PST tracked as two separate taxes, and a year-end file that closes without reconstruction. EverStone does it remotely at a fixed monthly fee. Monthly bookkeeping starts at $325 a month, GST/HST filing included.

Victoria bookkeeping starts from $325 a month. The books feed every filing that follows: the T2 or T2125, the GST/HST return and its input tax credits, the CCA schedule and the CRA instalments.

The income has a season. The obligations do not.

## A ledger with a season in it

A great many Victoria businesses earn a disproportionate share of the year between spring and autumn and then carry twelve months of fixed costs regardless. Rent, insurance, software, core staff and the remittance schedule do not observe the quiet months. That makes the usual bookkeeping habit — glancing at last month and comparing it to the month before — actively misleading here, because every comparison is really a comparison of seasons. The useful comparison is this month against the same month last year, and it is only available if last year was recorded properly at the time. A seasonal business that books once a year has no such thing as a trend.

## GST and PST are two taxes, and one account will not hold both

British Columbia charges 5% federal [GST](https://www.everstonecpa.com/glossary) and 7% provincial [PST](https://www2.gov.bc.ca/gov/content/taxes/sales-taxes/pst), administered by two different governments, registered separately and filed separately. The most common defect we see in a set of BC books is a single “sales tax” account holding both. It makes the GST return wrong, because PST is not recoverable and must not sit in the same pool as input tax credits, and it makes the PST return unverifiable. Sorting it out afterwards means re-coding a year of transactions to produce two figures that should have been separate from the first entry. [The BC PST guide](https://www.everstonecpa.com/blog/bc-pst-small-business-guide) sets out which purchases attract it.

## When one client is most of your revenue, the books are the evidence

For the many incorporated consultants in the Capital Region billing a ministry, a health authority or a Crown corporation, the ledger is not only a tax record. It is where the case that the corporation is a real business is either visible or absent. Equipment and software bought by the company rather than expensed personally, a subcontractor actually paid, business insurance, professional dues, more than one revenue source with real amounts against each — those are entries, and they either exist or they do not.

Books that show nothing but one recurring deposit and an owner draw make an argument no narrative can rescue later. The [PSB risk assessment](https://www.everstonecpa.com/psb-risk-assessment) covers what the classification turns on, and [corporate tax in Victoria](https://www.everstonecpa.com/corporate-tax-accountant-victoria) covers what it costs.

## Deposits taken now for work delivered later

Accommodation, tours, charters, event work and anything else sold in advance produce money in the bank long before the obligation is discharged. Recorded as revenue on receipt, it makes a spring look profitable and the following autumn look like a collapse, and it overstates income in a year that has not earned it. Deposits held for future delivery belong in [deferred revenue](https://www.everstonecpa.com/glossary) until the service is provided. The distinction matters for the corporate return. It matters more if you ever put the statements in front of a lender, because a balance sheet carrying customer money as though it were profit is the first thing a credit adjudicator unwinds.

## Gratuities, and where they belong

Hospitality ledgers carry a complication most other businesses do not. Tips an employer collects, pools and redistributes are treated differently from tips a customer hands directly to staff, and the difference determines whether the amounts run through payroll and attract source deductions. Card settlements make it messier, because the gratuity arrives inside the same deposit as the sale and has to be split out rather than banked as revenue. Getting this wrong inflates reported sales, distorts the GST return that is calculated from them, and leaves a payroll exposure that surfaces at exactly the wrong moment. [Payroll in Victoria](https://www.everstonecpa.com/payroll-services-victoria) deals with the remittance side.

## Owner draws and the shareholder loan account

Most small incorporated businesses take money out through the year without deciding at the time what it is. Recorded to a shareholder loan account, that is entirely normal and entirely fixable at year end, when the total is resolved into salary, dividends or repayment. Left uncategorized or scattered across expense accounts, it becomes a year-end excavation, and a shareholder loan left owing across the wrong dates can be pulled into personal income. Keeping one clean account for it is a five-minute monthly habit that removes a recurring annual problem. The [shareholder loan tracker](https://www.everstonecpa.com/shareholder-loan-tracker) is a free way to keep it visible.

## Fully virtual

EverStone is a fully virtual, one-CPA firm. There is no Victoria office and no Island staff. Bank feeds, receipt capture and secure upload links carry the month’s material, and the monthly review happens on a call. For a Victoria business the alternative was never a local bookkeeper who visits — it was a box of paper crossing the strait twice a year. Monthly books handled online are both faster and more accurate than that, and the questions get asked in the month they relate to rather than nine months later.

Once the books close monthly, the next question is usually what the numbers mean — [a forecast that gets updated](https://www.everstonecpa.com/budgeting-and-forecasting) is where that starts.

For [fractional CFO in Victoria](https://www.everstonecpa.com/cfo-services-victoria), where seasonal cash planning is the recurring theme, the scope and the fixed-fee approach are the same.

What gets done, and when
A monthly engagement, not a shoebox in March — for a business operating in Victoria, British Columbia

| Cadence | What we do |

| Monthly | Transactions categorized, bank and credit card accounts reconciled, source documents filed |

| Monthly, seasonal businesses | Deferred revenue reviewed so deposits sit against the period that earns them |

| Quarterly | GST return prepared and filed, with BC PST kept separate from it |

| Ongoing | Payroll entries and owner draws tracked so nothing is reconstructed later |

| Annually | Books closed and handed clean to the year-end file |

Common questions

## Victoria bookkeeping questions

**How much does bookkeeping cost in Victoria?**

It is a fixed monthly fee, set after we review your enquiry and agreed in writing before anything starts. It depends on transaction volume, how many accounts are involved and whether payroll is included, so it is quoted rather than listed. [Ask about your case →](https://www.everstonecpa.com/quick-question) [See the published fees](https://www.everstonecpa.com/pricing).

**My business is seasonal. Do I pay the same every month?**

That is part of what the consultation settles. The work genuinely is lighter in the quiet months, and a seasonal business should not be quoted as though December looks like July. Say so when you ask and it is priced accordingly.

**Do GST and PST need separate accounts?**

Yes. They are two taxes with two registrations and two returns, and PST is generally not recoverable while GST usually is. Holding both in one account makes the GST return wrong and the PST return impossible to verify.

**I am several years behind. Is that a problem?**

It is common and it is fixable. Catch-up work is scoped and quoted separately from the ongoing monthly engagement, so you can see what clearing the backlog costs before deciding to start it.

**Which software do you work in?**

Whichever you already use, in most cases. If you are choosing, the comparison between the two common options is worth ten minutes before you commit, because moving later costs more than picking carefully now.

**Do you have a Victoria office?**

No. EverStone works online and keeps books for Victoria businesses remotely, through bank feeds, receipt capture and secure upload links. No drop-off and no sailing is involved.

**Do you work with businesses outside Victoria itself?**

Yes. Books for businesses in Saanich, Langford, Oak Bay, Esquimalt and the Westshore are kept exactly as Victoria ones are: bank feeds, receipts through a secure upload link, and the same fixed monthly fee.
