# Bookkeeping for *Winnipeg* businesses

The Manitoba item that most reliably goes wrong in a set of books is not the sales tax you charge. It is the one nobody charged you. EverStone keeps books for [Winnipeg businesses](https://www.everstonecpa.com/accountant-winnipeg) remotely at a fixed monthly fee.

**Quick answer:** A Winnipeg ledger carries 5% GST and 7% retail sales tax as separate taxes with different recovery treatment, plus an obligation to self-assess RST on taxable goods brought into the province untaxed. EverStone keeps those books current remotely at a fixed monthly fee. If you are looking for a bookkeeper in Winnipeg, this is that service, run remotely by a CPA firm rather than a solo bookkeeper, so the people who keep the ledger are the people who prepare the year-end return.

For tax and year-end work as well, see our [small business accountants in Winnipeg](https://www.everstonecpa.com/accountant-winnipeg) page.

The books feed every filing that follows: the T2 or T2125, the GST/HST return and its input tax credits, the CCA schedule and the CRA instalments.

Nothing on the invoice tells you this one is owing.

## Two taxes with two different fates

Manitoba charges 7% retail sales tax alongside 5% GST. RST is administered by Manitoba Finance, not the CRA, with its own registration and returns. The ledger difference is the tax you pay: GST on purchases is generally recovered as an [input tax credit](https://www.canada.ca/en/revenue-agency/services/forms-publications/publications/rc4022.html) and never touches the income statement, while RST on purchases is generally a real cost inside the expense or asset. One combined sales-tax account overstates what comes back and understates true costs.

## The tax nobody charged you

Self-assessment drives most unwelcome RST assessments. When taxable goods come into Manitoba for business use and the supplier charged no RST (routine with Alberta, foreign or online vendors), the purchaser must remit it, though nothing on the invoice says so. Out-of-province equipment, software and supplies can build an unrecorded liability over years, usually found in a provincial review. Build the check into how those purchases are coded.

## Freight is its own coding question

Winnipeg businesses move goods constantly along the east-west corridor, so freight is a large, awkward line. Inbound freight on goods for resale is inventory cost; outbound freight is a selling cost; freight recharged to a customer is revenue with a matching cost. One shipping account for all three distorts cost of goods and margin, more so with volume.

## Where inventory meets the ledger

Distribution, food processing and light manufacturing hold real stock, and the inventory balance must be defensible, not carried forward. That means a sub-ledger reconciled to the control account, write-offs recorded when they happen rather than at the count, and a consistent valuation basis. The closing figure feeds taxable income, so an unsupported number weakens [the corporate return](https://www.everstonecpa.com/corporate-tax-accountant-winnipeg) as well as management reporting. [Year-end inventory counts](https://www.everstonecpa.com/blog/year-end-inventory-count-canada) sets out what the record must show.

## The payroll levy above the threshold

Manitoba’s Health and Post Secondary Education Tax Levy exempts employers with total yearly payroll of $2.5 million or less. Between $2.5 million and $5.0 million it is 4.3% of the excess over $2.5 million; above $5.0 million it is 2.15% of the entire payroll. Associated groups share the $2.5 million exemption. Near the threshold, track total remuneration on a rolling basis, because above $5.0 million the charge applies to everything.

## Closing each month so the year end is short

A Manitoba monthly close covers bank and card reconciliations, GST and RST agreed separately, self-assessment on out-of-province purchases, inventory adjustments, payroll tied to remittances, and the shareholder account checked for personal items. Monthly, it takes an hour or two; deferred, each item becomes a twelve-month research job, and the RST review gets very hard once nobody remembers where equipment came from. [A month-end close checklist](https://www.everstonecpa.com/blog/month-end-close-checklist-small-business) sets out the order.

That monthly close is the core of bookkeeping for small businesses Winnipeg MB owners get from EverStone, and it keeps each RST question to the month it belongs to.

## Remote, from first upload to filed return

EverStone is a fully virtual, one-CPA firm with no Winnipeg office or local staff. Bank and card feeds arrive electronically, invoices by upload, and the file sits in cloud software under your own login. Manitoba corporate tax is collected on the federal return, which the same CPA prepares from the same books.

Where the decisions have outgrown the reporting, [fractional CFO work in Winnipeg](https://www.everstonecpa.com/cfo-services-winnipeg) is the next step.

Keeping the books and understanding them are different jobs; decide [which level of finance support you actually need](https://www.everstonecpa.com/bookkeeper-controller-or-cfo).

Common questions

## Winnipeg bookkeeping questions

**Is RST recorded the same way as GST?**

No. GST paid on purchases is generally recovered as an input tax credit and never reaches the income statement, while RST paid on purchases is generally a real cost that belongs inside the expense or the asset it applied to. [Ask about your case →](https://www.everstonecpa.com/quick-question).

**Do I owe RST on something bought outside Manitoba?**

Often yes. Where taxable goods are brought into the province for business use and the supplier did not charge RST, the purchaser is responsible for self-assessing and remitting it. Nothing on the invoice signals the obligation.

**How should freight be coded?**

By type. Inbound freight on goods for resale is part of inventory cost, outbound freight to customers is a selling cost, and freight recharged to a customer is revenue with a matching cost. One combined shipping account misstates cost of goods.

**When does the Manitoba payroll levy apply?**

Employers with total yearly payroll of $2.5 million or less are exempt. Between $2.5 million and $5.0 million it is 4.3% of the excess, and above $5.0 million it is 2.15% of the entire payroll with no deduction.

**What should a Manitoba month-end close cover?**

Bank and card reconciliation, GST and RST agreed separately, a self-assessment review on out-of-province purchases, inventory adjustments, payroll tied to remittances, and a check of the shareholder account.

**Do you have a Winnipeg office?**

No. EverStone keeps Winnipeg books remotely. Feeds arrive electronically and invoices are captured by upload, so nothing needs delivering in person.

**Do you do GST bookkeeping for Winnipeg businesses?**

Yes. GST collected and paid, and Manitoba RST where it applies, are tracked in the books every month, so each return is a reconciliation rather than a reconstruction. [GST and RST filing in Winnipeg](https://www.everstonecpa.com/gst-hst-filing-winnipeg). [Ask about your case →](https://www.everstonecpa.com/quick-question).

**What does bookkeeping cost for a Winnipeg business?**

A Winnipeg address does not change the fee. Bookkeeping starts from $325 a month with GST/HST filing included, set by transaction volume and accounts, and fixed in writing after review. [See the published fees](https://www.everstonecpa.com/pricing).

**Do you work with businesses outside Winnipeg itself?**

Yes. Books for businesses in Steinbach, Selkirk and the surrounding Capital Region are kept exactly as Winnipeg ones are: bank feeds, receipts through a secure upload link, and the same fixed monthly fee.
