# Fractional CFO services for *Sudbury* companies

A Sudbury supplier or contractor often sells to a few very large customers, on their terms, with equipment it financed itself and a workforce it has to keep busy between contracts. Almost every financial weakness in that model traces back to one of those facts. This page covers part-time CFO work on them; the general offering is on the [fractional CFO](https://www.everstonecpa.com/contract-cfo) page. It is part of [EverStone’s work for Sudbury businesses](https://www.everstonecpa.com/accountant-sudbury).

**Quick answer:** A fractional CFO is part-time senior financial leadership. For a Sudbury company the work centres on cash flow across long payment cycles, margin by contract or product line, dependence on a few large customers, and when to buy, lease or finance equipment. For a Sudbury business, fractional CFO work starts at $2,500 a month.

Filings: the T2, Schedule 1, Schedule 50, CCA, the small business deduction, T4 or T5 slips and instalments.

Fractional CFO services for Sudbury, Valley East, Lively and the rest of Greater Sudbury run remotely by the month, and the [fractional controller](https://www.everstonecpa.com/fractional-controller-services) half, margin by job and the monthly close, is usually the first thing bought.

## Cash flow across long payment cycles

Greater Sudbury’s mining supply and services cluster sells capital equipment, consumables, engineering, contracting, automation and communications to mining operations, many of them large organisations with formal procurement and long payment terms. A supplier can be paying wages weekly, suppliers monthly and HST quarterly while waiting two or three months for a large customer to pay. Growth makes this worse, not better: every new contract absorbs cash before it returns any.

The answer is a rolling thirteen-week cash forecast built from the real receivables and payables, updated every week or two, that shows the low point before it arrives. With that in hand the choices become deliberate: negotiate progress billings or deposits on larger jobs, size an operating line to the actual gap rather than a guess, or slow a hiring plan until a receivable lands. [Cash flow management](https://www.everstonecpa.com/cash-flow-management) covers the method.

## Margin by contract, not just by year

A company that knows its annual profit but not its margin by contract is pricing next year’s work blind. The useful exercise is to compare the quoted cost of each finished job with what it really took in labour, materials, subtrades and equipment time, and then group the results by type of work and by customer. That usually finds a category of work that is consistently underpriced and another that carries the business. It also shows which customers are expensive to serve once change orders, site requirements and payment delays are counted.

## Dependence on a few large customers

Where most revenue comes from two or three mining operations, a change in one customer’s plans, a new procurement process or a mine schedule change can remove a large share of the year at short notice. Knowing that does not prevent it, but it does decide how much fixed cost to carry, how hard to pursue new customers and sectors, and how much cash to hold. Quantifying it is straightforward and rarely done: what share of revenue and of contribution comes from the top customer and the top three, and what would have to be cut, and how quickly, if the largest left?

The city’s own economic development office lists sectors beyond mining, including health care and life sciences, cleantech and environmental services, manufacturing, research and innovation, and business and professional services. For a supplier whose skills transfer, those are the obvious places to look when diversifying.

## Buy, lease or finance the equipment

Equipment is often the largest decision a Sudbury contractor makes in a year. Buying outright protects margin but drains cash; financing preserves cash but adds a fixed payment that has to be met in a slow quarter; leasing can match the asset to a specific contract. The tax answer matters too, because capital cost allowance depends on when the asset is available for use and which class it falls in. We model the options against the cash forecast and the contract pipeline so the purchase is sized to work the company actually has.

## Capacity, crews and the cost of standing still

A services company’s capacity is its people and equipment. Carrying a crew between contracts burns cash; running permanently short means declining work or leaning on subcontractors at lower margin. Managing that needs a monthly view of committed work against capacity, so hiring follows the pipeline rather than the last busy month, and an honest figure for what a new hire must bring in to cover their fully loaded cost.

## When a company does not need this

If the books are months behind, or costs are not recorded against jobs, none of the above can be calculated, so fix that first through [bookkeeping in Sudbury](https://www.everstonecpa.com/bookkeeping-sudbury). A small company with the owner across every job and invoice is also unlikely to gain much from formal oversight. It starts to pay when there is a specific discomfort: growth that has not improved profit, a bank asking for forecasts, a large contract that could strain cash, or partners who disagree about what the numbers mean.

## How the engagement works

Sudbury engagements run remotely, with a monthly review by video and a short written pack before each meeting. The forecast, the management reporting and the corporate return draw on one file, so the numbers agree. This suits mining suppliers and contractors, fabricators and manufacturers, engineering and technical firms, and other owner-managed companies in Greater Sudbury that have outgrown a bookkeeper but not reached a full-time finance hire.

Common questions

## Sudbury CFO questions

**How do I manage cash when large customers pay slowly?**

With a rolling thirteen-week forecast built from actual receivables and payables, and deliberate choices about deposits, progress billings and the size of an operating line. [Ask about your case →](https://www.everstonecpa.com/quick-question)

**How much customer concentration is too much?**

It depends on how much fixed cost the company carries and how fast it could cut. The practical test is what would have to be reduced, and how quickly, if the largest customer left. [See the published fees](https://www.everstonecpa.com/pricing).

**Should I buy or lease the next piece of equipment?**

It depends on cash, the contract the asset is for, and the tax timing. Buying protects margin, financing protects cash, and leasing can tie the cost to a specific job. Model all three against the forecast before signing.

**How do I know which jobs actually make money?**

By comparing the quoted cost of finished jobs with the real cost in labour, materials, subtrades and equipment time, then grouping by type of work and customer. It needs job-coded books, which is usually the first thing set up.

**How do I know when to hire?**

Against a monthly view of committed work versus capacity, not the last busy month, and an honest figure for what a new person must bring in to cover their fully loaded cost.

**Can a remote CPA act as CFO for a Sudbury company?**

Yes. The work is analysis, forecasting and reporting, all of which is delivered remotely, and the reporting standards and federal corporate return are national. The Ontario filings are handled as part of the engagement.

**Do you work with businesses outside Sudbury itself?**

Yes. Companies in Valley East, Chelmsford, Lively, Garson and the rest of Greater Sudbury, and in nearby Espanola, work with us the same way, over video, email and a secure upload link, on the same fixed fees.

### Who this is for, and who it is not

This fits a Sudbury company whose reporting has to satisfy somebody outside it: a lender, a bonding company, a board, a buyer. It does not fit a business that has not yet closed a month on time. [Monthly close](https://www.everstonecpa.com/month-end-close) comes before forecasting, because a forecast is only as good as the month it starts from. [A fee estimate](https://www.everstonecpa.com/fee-estimate) costs nothing and takes a few minutes.

### What happens when you get in touch

The first conversation is a video call, and it starts with the business rather than the paperwork.

- **Half an hour, no charge.** Tell us about the company, its customers and contracts, and what is keeping you up at night. A fixed fee comes back in writing, and you are free to decline it.

- **Authorization in week one.** With EverStone [authorized with the CRA](https://www.everstonecpa.com/forms/aut-01), notices and balances are pulled up directly. If you are [switching firms](https://www.everstonecpa.com/switching-accountants), the old file is requested that week.

- **A forecast, then a monthly rhythm.** The books are brought current, a thirteen-week cash forecast and a twelve-month plan are built, and a monthly review is booked before the next decision arrives.

[Send an enquiry](https://www.everstonecpa.com/book-online) or [ask a single question first](https://www.everstonecpa.com/quick-question); either reaches the CPA directly.

## Remote CFO support

CFO support for Sudbury clients is delivered remotely. **There is no Sudbury office and no local team.** Meetings are virtual, documents are signed electronically, and you deal with the CPA rather than an intake desk. The forecasts and the corporate return draw on one file, so the figures match.

The moment there are employees, [payroll in Sudbury](https://www.everstonecpa.com/payroll-services-sudbury) becomes the recurring obligation, and the year-end all of this feeds into is [corporate returns for Sudbury owners](https://www.everstonecpa.com/corporate-tax-accountant-sudbury).

A company that mainly lacks a timely close and a monthly pack may want a fractional controller instead: narrower scope, lower fee.
