# GST/HST filing in *Vaughan*

Ontario folded its provincial sales tax into the federal one, so a Vaughan business files a single 13% return and recovers the tax it pays on inputs. For a manufacturer, distributor or contractor buying materials, machinery and freight, those recoveries are large, and the return is only as good as the coding behind them. EverStone files HST for [Vaughan businesses](https://www.everstonecpa.com/accountant-vaughan) remotely.

**Quick answer:** For Vaughan businesses, Ontario uses a single 13% harmonized sales tax, made up of a 5% federal component and an 8% provincial component, administered by the Canada Revenue Agency. There is no separate Ontario registration and no non-recoverable provincial layer, so tax paid on business inputs is fully claimable. For a Vaughan business, GST/HST filing is included in monthly bookkeeping from $300 a month.

The work covers the GST/HST return (the GST34), input tax credits, the filing frequency, instalments where they apply and the notice of assessment that follows.

## One tax, one registration, one return

The **13% HST** is a single tax comprising a 5% federal component and an 8% provincial component, collected and administered by the Canada Revenue Agency. There is no separate Ontario registration, no separate provincial return, and no provincial audit body to satisfy alongside the federal one. A Vaughan business registers once under its business number, files on the reporting period the CRA assigns, and deals with one set of rules.

The more important consequence is on the purchasing side. In a harmonized province the entire 13% paid on business inputs is recoverable through **[input tax credits](https://www.canada.ca/en/revenue-agency/services/forms-publications/publications/rc4022.html)**, not just the federal 5%. A Vaughan business buying steel, packaging, tooling, racking, vehicles or professional services carries no embedded provincial sales tax in its cost base at all. The rate and its composition are tabled with the source on the [Ontario tax facts page](https://www.everstonecpa.com/ontario-tax-facts).

## Large purchases make the credits worth checking

Vaughan’s economy is weighted towards manufacturing, logistics and distribution, food processing and construction, and those businesses buy a great deal on which HST is charged. A single equipment purchase can carry a five-figure credit. That makes the paperwork matter: the CRA expects the supplier’s name and HST registration number on invoices above set thresholds, and a credit claimed on an invoice that does not carry them is one of the first things a reviewer disallows. Leased equipment, financed vehicles and invoices that mix goods, freight and installation each need to be split and coded correctly. Our [input tax credits guide](https://www.everstonecpa.com/blog/input-tax-credits-itc-canada-guide) covers the documentation the CRA looks for.

A large purchase can also turn a normal period into a refund period. A refund claim attracts more scrutiny than a remittance, so a return showing a refund after a big equipment purchase is often followed by a request for the invoices. Having them filed and matched before the return goes in shortens that review considerably.

## Sales to customers outside Ontario

Many Vaughan distributors and manufacturers ship to customers in other provinces and abroad. The rate charged depends on where the supply is made under the place-of-supply rules, not on where your warehouse is: goods delivered to a customer in a province that charges only GST carry 5%, goods delivered into another harmonized province carry that province’s HST rate, and exports can be zero-rated if the conditions are met and documented. Getting this wrong in either direction is expensive — under-charging leaves the business owing the difference, and over-charging creates a customer dispute. The [place-of-supply guide](https://www.everstonecpa.com/blog/gst-hst-place-of-supply-rules-canada) sets out the rules.

## The Quick Method arithmetic looks different at 13%

The [Quick Method](https://www.canada.ca/en/revenue-agency/services/forms-publications/publications/rc4022.html) lets an eligible registrant remit a flat percentage of tax-included sales instead of tracking input tax credits on day-to-day operating purchases. You continue to *charge* customers the normal rate; what changes is how the remittance is calculated. Whether it pays turns on how much tax you actually pay on operating inputs. A service business with few purchases typically remits less under the Quick Method. A business with heavy operating purchases — which describes most Vaughan manufacturers, distributors and contractors — usually does better under the regular method. Collecting 13% rather than 5% changes the size of the base the flat rate is applied to, so an intuition formed elsewhere does not transfer. Significant capital purchases are generally still claimable under the Quick Method, which is a common misreading. Our [Quick Method guide](https://www.everstonecpa.com/blog/gst-hst-quick-method-canada) works through it.

## Related companies, and the election that stops tax circulating

Family-owned Vaughan businesses often run as a group: an operating company, a company that owns the building and charges rent, a company that owns equipment and leases it to the operator, and a holding company above them. Each intercompany charge normally carries HST, which the recipient then claims back. The tax nets to nothing across the group and yet moves real cash between entities and across reporting periods.

Where the conditions are met, closely related corporations can elect to treat certain supplies between them as made for no consideration, which removes the tax from those intercompany charges entirely. It is a filing with real eligibility requirements rather than a default, and it does not apply to every transaction between related parties. For a group making regular rent or management charges, it is worth a look. Our note on the [election between related corporations](https://www.everstonecpa.com/blog/gst-hst-section-156-election-related-corporations) sets out the conditions.

## Filing frequency and instalments

The CRA assigns a reporting period based on annual taxable sales: monthly, quarterly or annual. A business with regular large purchases often benefits from filing more frequently, because credits come back sooner; a small service business may prefer the lighter administration of annual filing, with instalments if its net tax passes the threshold. The frequency can be changed by election. Matching it to how the business buys and sells is one of the first things we check.

Common questions

## Vaughan HST questions

**What is the HST rate in Ontario?**

13%, made up of a 5% federal component and an 8% provincial component, collected as a single harmonized tax administered by the Canada Revenue Agency. There is no separate Ontario provincial sales tax registration. [Ask about your case →](https://www.everstonecpa.com/quick-question)

**Is the provincial part of HST recoverable?**

Yes. In a harmonized province the whole 13% paid on business inputs is claimable through input tax credits in the ordinary way, including HST on equipment and vehicles used in the business.

**What rate do I charge customers in other provinces?**

The rate of the province where the supply is made under the place-of-supply rules, which for goods usually means where they are delivered. That can be 5% GST, another province’s HST rate, or zero for a documented export.

**Does the Quick Method mean charging customers less?**

No. You continue to invoice at the normal rate. What changes is how your remittance is calculated — a flat percentage of tax-included sales rather than tax collected less input tax credits on operating purchases.

**Why did my refund return get reviewed?**

Refund claims, often after a large equipment purchase, are commonly checked before the refund is paid. The CRA usually asks for the purchase invoices, so having them filed and matched to the return speeds things up.

**Can related companies avoid charging HST to each other?**

Where the eligibility conditions are met, closely related corporations can elect to treat certain supplies between them as made for no consideration. It is a filing with real requirements rather than an automatic treatment.

**Does EverStone have a Vaughan office?**

No. The firm serves Vaughan businesses entirely remotely. Meetings are by video, documents move through secure exchange, and approvals are signed electronically.

**What does GST/HST filing cost in Vaughan?**

Vaughan businesses pay the same published fees as everyone else. GST/HST filing is included in monthly bookkeeping from $300 a month. A standalone return is quoted in writing after we review your enquiry. [See the published fees](https://www.everstonecpa.com/pricing).

## Who this is for, and who it is not

This fits a Vaughan business that is registered, or about to be, and wants the return filed on the right frequency with the input tax credits actually claimed. It is not the right fit if you want someone to press submit on figures nobody has reconciled: a GST/HST return is only ever as good as the books behind it. Filing and the bookkeeping behind it are both on [the published fee list](https://www.everstonecpa.com/pricing).

## What happens when you get in touch

GST/HST is federal, so a Vaughan filing runs the same way as one filed from anywhere else.

- **A free short conversation.** What you sell, where your customers are, and what [reporting frequency](https://www.everstonecpa.com/gst-filing-deadlines) the CRA currently has you on.

- **Frequency and method checked.** Whether your reporting period still suits your revenue and purchases, and whether [the quick method](https://www.everstonecpa.com/blog/gst-hst-quick-method-canada) would leave you better off than claiming credits line by line.

- **Filed on time, every period.** The return prepared from reconciled books and filed before the deadline, with instalments tracked if you are an annual filer.
