# Restaurant accountant in *Kingston*

Kingston restaurants run on a tourist season, a student calendar and margins thin enough that bookkeeping accuracy stops being administrative and becomes operational. EverStone handles [bookkeeping and year-end](https://www.everstonecpa.com/accounting-services) for hospitality operators and is a [Kingston small business accountant](https://www.everstonecpa.com/accountant-kingston), at fixed fees, online.

**Quick answer:** Restaurant files turn on three things most businesses never deal with: food and beverage cost tracked tightly enough to be useful, payroll with tips flowing through it correctly, and HST on a menu where some items are treated differently from others. For Kingston restaurants, EverStone handles all three alongside the corporate return, at a fixed fee agreed before work starts. Published fees start at $300 a month for bookkeeping and $100 for a personal return.

For a one-owner Kingston restaurant, monthly bookkeeping, payroll and the year-end T2 with statements usually cost from $450 to $650 a month all-in. The year-end covers the T2 with Schedule 1 and Schedule 50, the CCA schedule, the small business deduction, T4 or T5 slips for the owner’s pay, and the instalments for the year ahead.

If you run something other than a kitchen, the same remote setup covers [Kingston trades and contractors](https://www.everstonecpa.com/trades-accountant-kingston), and the [wider Kingston accounting page](https://www.everstonecpa.com/accountant-kingston) explains the Ontario compliance side in more depth.

## A hospitality city with two calendars

Kingston has a pedestrian-friendly downtown with many restaurants and bars, Ontario’s oldest public market, a live music scene and visitors drawn by the waterfront, Fort Henry and the Thousand Islands region. That brings a summer peak in visitors, patio trade and events. Overlaid on it is the academic calendar of Queen’s University and St. Lawrence College, which shapes both demand and the pool of part-time staff. A Kingston restaurant can have a strong summer, a different kind of busy in term time, and a quiet stretch where fixed costs keep running.

The accounting has to follow both calendars. Food cost needs to be watched monthly because purchasing changes with the season. Payroll swells and shrinks with hiring. HST collected in a busy summer has to be set aside for a return that may not be due until much later. And a cash forecast built on an average month will be wrong in almost every actual month.

## Food cost is the number that decides the year

In most businesses cost of goods is a line on the return. In a restaurant it is the operating dial. A few percentage points of food and beverage cost is the difference between a profitable year and a break-even one, and it moves weekly with supplier pricing, portioning and waste. That only becomes visible if purchases are coded consistently and inventory is counted on a real schedule rather than at year-end. We set the bookkeeping up so the number is available monthly, because a figure you see months later cannot change anything.

## Tips, payroll and the part that goes wrong quietly

Hospitality payroll is more complicated than headcount suggests. Tips can be direct or controlled by the employer, and the treatment differs: controlled tips generally run through payroll with the withholdings that implies, while direct tips between guest and server behave differently. Getting the distinction wrong creates unremitted [source deductions](https://www.canada.ca/en/revenue-agency/services/tax/businesses/topics/payroll/remitting-source-deductions.html), and remittance failures carry penalties attached to the deduction rather than the tax. The guide to [controlled versus direct tips](https://www.everstonecpa.com/blog/restaurant-tip-reporting-payroll-canada) sets out where the line falls. Add student and seasonal staff, a Record of Employment for every departure and T4 slips for people who left months ago, and payroll becomes the most error-prone part of a Kingston restaurant file. See [payroll in Kingston](https://www.everstonecpa.com/payroll-services-kingston).

## HST when the menu is not uniform

Ontario’s 13% HST applies to most prepared food and beverages, but not everything you sell is treated identically. Ontario applies a point-of-sale rebate to certain qualifying prepared food and beverages sold below a set amount, which changes the effective rate on some items. Packaged goods sold to take away, catering, and delivery through a third-party platform can each behave differently. Platform fees deducted before the money reaches you are still [deductible business expenses](https://www.canada.ca/en/revenue-agency/services/forms-publications/publications/t4002.html) that operators routinely miss by recording only the net deposit. Setting the point-of-sale categories up correctly once is far cheaper than reconciling them every quarter. See [HST filing in Kingston](https://www.everstonecpa.com/gst-hst-filing-kingston).

## Equipment, leaseholds and what happens when you renovate

Kitchen equipment, refrigeration, patio furniture and dining-room fit-out are capital assets recovered through **[capital cost allowance](https://www.everstonecpa.com/glossary#cca)** at rates set by their class, not expenses in the year you buy them. Leasehold improvements — the build-out in a space you do not own — are treated differently again. A renovation or a new patio is therefore a tax decision as much as an operational one, particularly around timing relative to your year-end, and it is worth a conversation before the deposit rather than after the invoices arrive.

### Multiple locations, one set of numbers

The second location is where restaurant accounting usually breaks. Two POS systems, two payroll groups and two sets of supplier accounts produce numbers that do not reconcile, and by the time the year-end reveals it the operating decisions have already been made on bad information. Location-level reporting has to be built deliberately. Where the locations sit in separate but related companies, the Ontario employer health tax exemption and the small business deduction are shared across the group, which is worth knowing before the second company is set up.

## Cash flow, and the month the rent lands wrong

Restaurants fail on cash before they fail on profit. Rent, payroll and supplier terms run on their own cycles, and a quiet stretch lands on a fixed cost base that does not flex. In Kingston the risk is seasonal: a strong summer followed by a slow late autumn and winter. A restaurant can be profitable across a year and still be unable to make a specific Friday.

The accounting response is not complicated, but it has to be deliberate: knowing your fixed monthly costs, watching payroll and rent dates against realistic revenue for each month, and keeping HST and source deductions genuinely separate from operating cash. Sales tax collected and source deductions withheld are held on behalf of others, and spending them to cover a slow week is the most common way an otherwise viable restaurant ends up in a payment arrangement with the CRA. If that has already happened, it is fixable, and moving early improves the outcome.

### Switching accountants mid-year

Hospitality owners put this off because there is never a quiet moment. In practice the handover runs in the background: we request prior records and working papers, review the last filed return so opening balances are right, and pick up the compliance calendar wherever it stands. Service is not affected. See [switching accountants](https://www.everstonecpa.com/switching-accountants).

Common questions

## Kingston accounting for restaurants and hospitality businesses FAQ

**How should tips be handled on payroll?**

It depends whether they are controlled or direct. Tips the employer collects and distributes are generally treated as employment income running through payroll with the withholdings that follow; tips passing directly between guest and server are treated differently. Getting it wrong creates unremitted source deductions, so we set the treatment correctly at the start. [Ask about your case →](https://www.everstonecpa.com/quick-question)

**How often should we count inventory?**

More often than once a year. Food cost is an operating number, and it is only useful if it is current. Most operators count monthly, with high-value items more frequently, and a seasonal menu change is a natural point for an extra count.

**Are delivery platform fees deductible?**

Yes. Fees a platform deducts before paying you are still business expenses, but they are easy to lose if you record only the net deposit. The gross sale and the fee should both be recorded.

**How does a Kingston restaurant plan for the quiet season?**

With a month-by-month cash forecast built from last year’s actual pattern, HST and source deductions held in a separate account, and a target cash balance set before the busy season ends. The quiet months are covered by money set aside deliberately in the busy ones.

**Which restaurant sales carry HST in Ontario?**

Most prepared food and beverages sold by a restaurant are taxable, though Ontario applies a point-of-sale rebate to certain qualifying prepared food and beverages sold below a set amount. Getting the item categories right in your point-of-sale system is what keeps returns accurate.

**How do we handle staff meals and shift drinks?**

Meals provided to staff can be a taxable benefit depending on whether the employee pays a reasonable amount for them, and free or heavily discounted meals are the usual trigger. Set the policy explicitly and record it, rather than leaving it as an informal practice nobody has priced.

**How should a Kingston restaurant handle payroll for student and seasonal staff?**

Run formal payroll with source deductions from the first pay, issue Records of Employment promptly when someone leaves, and keep Ontario employment standards for hours, public holidays and vacation pay separate from the CRA remittance calendar. Late remittances can carry personal director liability, so that deadline comes first.

**Do you work with restaurants outside Kingston itself?**

Yes. Restaurants, cafés and hospitality operators in Amherstview, Napanee, Gananoque and across Frontenac County are served the same way as Kingston ones, online and at the same fixed fees.
