**Quick answer:** Restaurant files turn on three things most businesses never deal with. The first is food and beverage cost tracked tightly enough to be useful; the others are payroll with tips flowing through it correctly, and HST on a menu where some items are treated differently from others. For Toronto businesses, EverStone handles all three alongside the corporate return, at a fixed fee agreed before work starts. Published fees start at $325 a month for bookkeeping and $125 for a personal return.

One-owner Toronto restaurants usually pay $500 to $700 a month all-in for bookkeeping, payroll and the year-end T2 with statements: Schedule 1 and Schedule 50, CCA, the small business deduction, owner T4 or T5 slips and next year’s instalments.

For something other than a kitchen, the same setup covers [Toronto marketing and creative agencies](https://www.everstonecpa.com/agency-accountant-toronto); the [wider Toronto accounting page](https://www.everstonecpa.com/accountant-toronto) covers Ontario compliance.

For the wider picture — tips and payroll, food cost, mixed sales tax and leasehold write-offs. See the [restaurant and hospitality accounting hub](https://www.everstonecpa.com/restaurant-hospitality-accounting).

## Food cost is the number that decides the year

In a restaurant, cost of goods is the operating dial. A few points of food and beverage cost separate profit from break-even, and it moves weekly with supplier prices, portions and waste. Seeing it needs consistent purchase coding and real inventory counts, so we produce it monthly; an April figure changes nothing. Restaurant bookkeeping Toronto operators can act on puts food and beverage cost in front of them every month, while the number can still change something.

## Tips, payroll and the part that goes wrong quietly

Hospitality payroll is harder than headcount suggests. Controlled tips generally run through payroll with withholdings; direct tips between guest and server behave differently. Confusing them creates unremitted [source deductions](https://www.canada.ca/en/revenue-agency/services/tax/businesses/topics/payroll/remitting-source-deductions.html), with penalties attached to the deduction rather than the tax.

See [controlled versus direct tips](https://www.everstonecpa.com/blog/restaurant-tip-reporting-payroll-canada) for the line and its CPP and EI effects. With high turnover and slips for long-gone staff, payroll is a restaurant file’s most error-prone part.

## HST when the menu is not uniform

Sales aren’t all treated alike: prepared food and drink, packaged takeaway, catering and platform delivery can differ. Platform fees taken before payout are still [deductible business expenses](https://www.canada.ca/en/revenue-agency/services/forms-publications/publications/t4002.html), often missed when only net deposits are recorded. Set up the point-of-sale correctly once.

## Equipment, leaseholds and what happens when you renovate

Kitchen equipment, refrigeration and dining-room fit-out are recovered through **[capital cost allowance](https://www.everstonecpa.com/glossary#cca)** at class rates, not expensed. Leasehold improvements in a space you don’t own are treated differently again. So a renovation is a tax decision, especially its timing against year-end; talk before the deposit.

### Multiple locations, one set of numbers

The second location is where restaurant accounting usually breaks: two POS systems, payroll groups and supplier sets that don’t reconcile, found only at year-end after decisions were made. Location reporting must be built on purpose to know which site carries the other. The same approach to bookkeeping for restaurants and cafes applies at any size: each site gets its own reporting, built deliberately from the first month.

## Cash flow, and the month the rent lands wrong

Restaurants fail on cash before profit. Rent, payroll and suppliers each run their own cycle, and a quiet fortnight hits fixed costs. A profitable restaurant can still miss a Friday.

The response is deliberate, not complicated: know your fixed monthly nut, watch payroll and rent dates against realistic revenue, and keep GST and source deductions apart from operating cash. That money belongs to others, and spending it in a slow week is the commonest route into a CRA payment arrangement. If it has happened, it is fixable, and acting early helps.

### Switching accountants mid-year

Owners delay switching because service never pauses, but the handover runs in the background: we request prior records, check the last return for opening balances, and pick up the compliance calendar. See [switching accountants](https://www.everstonecpa.com/switching-accountants).

What a restaurant has to get right
The items that decide a hospitality year-end — for a business operating in Toronto, Ontario

| Item | Why it matters |

| Tips | How tips are collected and distributed changes their payroll treatment |

| Food and beverage cost | The margin figure the whole operation is managed against |

| Payroll | High headcount and turnover make remittances and T4s the biggest admin load |

| Sales tax on prepared food | Not every item on the menu is treated the same way |

| Sales tax where you operate | 13% HST, a single registration and a single return |

Common questions

## Toronto accounting for restaurants and hospitality businesses FAQ

**How should tips be handled on payroll?**

It depends. Tips the employer collects and distributes are generally employment income through payroll with withholdings; tips passed directly from guest to server are treated differently. Errors create unremitted source deductions, penalized on the deduction, not the tax. We set it up correctly. [Ask about your case →](https://www.everstonecpa.com/quick-question)

**How often should we count inventory?**

More than yearly. Food cost is an operating number, useful only when current; an April figure can’t change purchasing or portions. Most clients count monthly, high-value items more often.

**Are delivery platform fees deductible?**

Yes. Fees a platform deducts before paying you remain deductible, but vanish if you record only the net deposit. Record the gross sale and the fee; the yearly difference is rarely trivial.

**Do you work with restaurants across the GTA?**

Yes: independent restaurants, cafes and hospitality operators in Toronto and the GTA, online by video, phone and secure upload, around service hours.

**Which restaurant sales carry HST in Ontario?**

Most restaurant food and beverages are taxable, though Ontario’s point-of-sale rebate on certain qualifying prepared food and drink below a set amount changes the effective rate. Correct POS categories keep returns accurate; one miscoded category compounds across every sale.

**How do we handle staff meals and shift drinks?**

Staff meals can be a taxable benefit unless the employee pays a reasonable amount; free or heavily discounted meals are the usual trigger. Some meals for the employer’s convenience are treated differently. Set and record a policy rather than leave it informal.

**How should a Toronto restaurant handle payroll for a high-turnover team?**

Run formal payroll from the first pay, issue records of employment promptly, and keep provincial hours and vacation rules separate from the CRA remittance calendar. Turnover multiplies ROE and T4 work. Late remittances carry personal director liability, so that deadline comes first.
