# Trades accountant in *Ottawa*

An Ottawa trades company can take a job fifteen minutes away and land in a different tax, workplace-coverage and licensing regime. EverStone is a [CPA for incorporated contractors](https://www.everstonecpa.com/contractor-accountant) and an [Ottawa small-business accountant](https://www.everstonecpa.com/accountant-ottawa).

**Quick answer:** Trades companies based in Ottawa, Ontario routinely perform work on both sides of the provincial boundary, which changes which sales tax applies, which workplace-coverage system governs and how corporate income is allocated. EverStone prepares the corporate return, sales tax filings and subtrade slips for those files, entirely remotely. Published fees start at $325 a month for bookkeeping and $125 for a personal return.

The year-end covers the T2 with Schedule 1 and Schedule 50, the CCA schedule, the small business deduction, T4 or T5 slips for the owner’s pay, and the instalments for the year ahead.

A bookkeeper for tradespeople in Ottawa has to keep Ontario and Quebec work apart in the ledger; that is built into the file from the first month.

For work on real property, the property decides the tax.

## Real property is taxed where the property is

For most services, sales tax follows the customer’s address; for work on real property, it follows the location of the property. So an Ottawa trades company cannot set its rate from its own registration. A deck in Orleans and one across the river are different supplies, even with the same crew, truck and customer. Charging the home-province rate on everything produces invoices wrong in one direction and unrecoverable in the other. The [place of supply rules](https://www.everstonecpa.com/blog/gst-hst-place-of-supply-rules-canada) set out how it is decided.

## One tax on one side, two on the other

Ontario uses a single harmonized tax. Quebec runs its own provincial sales tax alongside the federal one, with its own registration. For an Ottawa contractor that can mean not just a different percentage but a second registration, filing calendar and set of returns with unrelated deadlines.

Set up in advance, it is manageable. Found after a year of cross-river work billed wrongly, it is a real problem, because the uncharged tax is still owed.

## Coverage does not cross the bridge with the crew

Ontario requires construction business owners to have workplace insurance: independent operators, sole proprietors, partners and executive officers generally must register, with limited exceptions such as home renovation done directly for a homeowner. Quebec runs its own system. A crew working both sides may be in two regimes, and the gap comes from assuming coverage follows the company, not the worksite.

## Where the income is earned, and who taxes it

A corporation with a permanent establishment in more than one province must allocate taxable income among them, which changes which government collects and can change the total. One job across the river usually will not create one; a yard, leased storage compound, long-term site office or continuous work might. The question has an answer, better settled deliberately than on assessment. Federal and institutional work in the National Capital Region often produces exactly the long, single-site engagements where this matters.

It is one of the questions an accountant for construction contractors in Ottawa settles before the T2 is prepared, not after.

## Subtrade slips and the holdback layer

The federal **[T5018](https://www.canada.ca/en/revenue-agency/services/forms-publications/forms/t5018.html)** requirement applies regardless of province, and Ontario’s construction legislation adds statutory holdback and prompt payment obligations on Ontario projects. Both need payables that separate subtrade labour from materials and holdbacks tracked on a schedule. Cross-boundary work only strengthens the case. See the [T5018 reporting guide](https://www.everstonecpa.com/blog/t5018-subcontractor-reporting-construction).

## What is covered

One Chartered Professional Accountant handles the whole file:

- Place-of-supply review on cross-boundary contracts
- Sales tax registration, filing and reconciliation
- Income allocation where a permanent establishment exists in more than one province
- T5018 information returns and subtrade classification
- Holdback schedules and progress billing cut-off
- T2 corporate return and year-end financial statements

## Remote, and there is no Ottawa office

EverStone has no Ottawa location; engagements run online by video, e-signature and secure upload. See [accounting for Ontario businesses](https://www.everstonecpa.com/accountant-ontario).

## What a trades business has to get right

What a trades business has to get right
The items that decide a trades year-end — for a business operating in Ottawa, Ontario

| Item | Why it matters |

| Subcontractor payments | Construction payers report subcontractor payments to the CRA on a T5018 |

| Holdbacks | Amounts held back under a construction contract are recognized on their own timing, not when invoiced |

| Tools and equipment | Larger purchases are capitalized and depreciated rather than expensed in full |

| Vehicle use | A log separating business from personal kilometres is what supports the claim |

| Sales tax where you operate | 13% HST, a single registration and a single return |

Common questions

## Ottawa trades accounting FAQ

**Which sales tax applies to a job across the river?**

For real property work, tax follows where the property is. A Quebec job is a Quebec supply even with an Ottawa crew, truck and customer. One home-province rate on everything means wrong invoices both ways. [Ask about your case →](https://www.everstonecpa.com/quick-question)

**Does an Ottawa contractor need a second sales tax registration?**

Possibly. Quebec has its own sales tax, registration and filing calendar. Whether you need it depends on the pattern and volume of work; settle it before cross-river invoicing starts, not after a year of wrong billing.

**Does workplace coverage follow the company or the worksite?**

The worksite. Ontario extends compulsory coverage into construction at the ownership level, with limited exceptions, and Quebec runs its own separate system. A crew working regularly on both sides can be inside two regimes, and assuming coverage travels with the company is what leaves a gap on the far side of the bridge.

**When does a cross-boundary job affect where tax is paid?**

Income is allocated when a corporation has a permanent establishment in more than one province. One job rarely creates one; a yard, leased compound, long-term site office or continuous work might. Settle it before assessment.

**Do T5018 slips apply to Ottawa construction businesses?**

Yes. The requirement is federal, so it applies on either side of the boundary. A construction business paying others for construction services generally reports those payments, so payables must separate subtrade labour from materials all year.

**Is there an EverStone office in Ottawa?**

No. Ottawa engagements are handled entirely remotely by video call, e-signature and secure document upload, and corporate tax is federal legislation with a provincial layer, so the preparation is not tied to a local address.

**What does an accountant cost for an Ottawa trades business?**

The fee is the same in Ottawa as anywhere else EverStone works. Monthly bookkeeping starts from $325 a month and a personal return from $125; a corporate return is quoted after we review your enquiry. A single question can go to a 45-minute Advice Call, a flat fee of $225 + GST. Every fee is fixed in writing first. [See the published fees](https://www.everstonecpa.com/pricing).
