# Trades accountant in *Sudbury*

Trades work in Greater Sudbury splits two ways: homes, renovations and commercial jobs across the city and its communities, and industrial work for the mines, mills and smelters and the companies that supply them. Both run under Ontario’s single harmonized tax, compulsory workplace coverage that can reach the owner personally, and a statute that sets payment deadlines.

EverStone is a [CPA for incorporated contractors](https://www.everstonecpa.com/contractor-accountant) and a [Sudbury small-business accountant](https://www.everstonecpa.com/accountant-sudbury), working remotely.

**Quick answer:** Trades companies in Sudbury, Ontario charge a single 13% harmonized sales tax rather than separate federal and provincial taxes. Compulsory workplace coverage generally extends to owners in construction. Statutory holdback and prompt payment obligations apply to the work, and payments to subtrades are reported on T5018 slips. EverStone prepares the corporate return, HST filings and subtrade slips remotely. Published fees start at $300 a month for bookkeeping and $100 for a personal return.

For a one-owner Sudbury trades business, monthly bookkeeping, payroll and the year-end T2 with statements usually cost from $450 to $650 a month all-in. The year-end covers the T2 with Schedule 1 and Schedule 50, the CCA schedule, the small business deduction, T4 or T5 slips for the owner’s pay, and the instalments for the year ahead.

## Two kinds of trades business

A residential builder or renovator in Valley East, Chelmsford or Lively works for homeowners and small developers, bills by draw, and lives with the building season. An industrial contractor works under purchase orders and service agreements for mining operations or for the city’s mining supply and services companies, whose economic development office describes several hundred firms in mine construction and contracting, engineering, equipment and related work. The industrial side brings site safety requirements, vendor qualification, long payment terms and work that can run through the winter. Many Sudbury trades businesses do some of both, which is exactly why their books need to separate the two.

The accounting consequences differ. Residential work raises questions about deposits, draws, holdbacks and the WSIB position of the owner. Industrial work raises questions about receivables, travel and site costs, equipment, and whether a long-term subcontractor is really an employee. We set up the ledger so that each kind of job is costed on its own terms.

## One tax on the invoice

Ontario applies a single [13% harmonized sales tax](https://www.everstonecpa.com/ontario-tax-facts) rather than a federal tax plus a separate provincial one. That removes a question that complicates estimating elsewhere, namely whether provincial tax is a cost inside the price of materials or a line on the invoice. In Ontario the tax is charged on the supply and recovered on the inputs through [input tax credits](https://www.canada.ca/en/revenue-agency/services/forms-publications/publications/rc4022.html).

What replaces it is a cash question. The full 13% is collected on progress billings and the input side is recovered on filing, so a contractor holds a lot of tax money between remittances. Money held is money that gets spent, unless the process prevents it. Moving the HST portion of each deposit to a separate account is the simplest control. See the [input tax credits guide](https://www.everstonecpa.com/blog/input-tax-credits-itc-canada-guide).

## Compulsory coverage reaches the owner

Ontario extends mandatory workplace insurance into construction at the ownership level. Under the province’s compulsory coverage rules, independent operators, sole proprietors, partners and executive officers of corporations carrying on business in construction generally must register and carry WSIB coverage. The exceptions are limited; the notable one is a business doing only home renovation work for a homeowner who hires and pays it directly. Employees always require coverage. For an owner-operator, this is the obligation most often missed, and it is a cost to price into every job.

## Statutory holdback and a payment clock

Ontario’s construction legislation requires a portion of the contract price to be held back on a project, sets prompt payment obligations that follow a proper invoice, and provides for adjudication of payment disputes. In the books, holdback earned but not yet collectible sits in receivables, and holdback retained from your own subtrades is a cost already incurred; both belong in the period the work happened. The payment rules make the invoice itself the event that starts a clock, so billing that was merely untidy becomes billing that delays money.

## Subtrade reporting and worker classification

The [T5018](https://www.everstonecpa.com/blog/t5018-subcontractor-reporting-construction) requirement is federal, so a Sudbury construction business that pays others for construction services reports those payments like any other. The harder question is classification. A contractor who brings in the same few people for every job, sets their hours and supplies the tools may have employees in substance, whatever the invoices say. The factors are control, ownership of tools, ability to subcontract and chance of profit or loss, and the cost of guessing wrong, unremitted payroll deductions, lands on the payer. [Employee or contractor](https://www.everstonecpa.com/blog/employee-vs-contractor-cra-worker-classification) sets out the tests.

## Trucks, equipment and the vehicle log

A Sudbury contractor’s balance sheet is often mostly equipment: pickups and service trucks, trailers, excavators, lifts and tools. These are claimed through capital cost allowance, and the year an asset becomes available for use decides when the first claim starts, so a purchase in the last week of the year is worth timing. Vehicles used partly for personal driving need a log that separates business from personal kilometres; a company-owned truck driven home can create a taxable benefit for the owner. [CCA classes](https://www.everstonecpa.com/blog/capital-cost-allowance-cca-classes-canada) explains the categories.

## Instalments and a short building season

Winter shortens the outdoor building season in Northern Ontario, so residential revenue arrives unevenly while tax obligations arrive on a calendar. [Corporate instalments](https://www.canada.ca/en/revenue-agency/services/tax/businesses/topics/corporations/corporation-payments/paying-instalments.html) set from a prior-year formula routinely mismatch a contractor’s real cash position, and a strong season can leave a large [balance owing](https://www.canada.ca/en/revenue-agency/services/tax/businesses/topics/corporations/corporation-payments.html) due just as work slows. Modelling that in the autumn is straightforward; discovering it in the spring is not. See [corporate tax instalments](https://www.everstonecpa.com/blog/corporate-tax-installments-canada).

## Remote, and there is no Sudbury office

EverStone has no Sudbury location. Ontario engagements run entirely online: video meetings, e-signature and secure document exchange, with receipts and supplier invoices sent from a phone on site. Corporate tax is federal law with a provincial layer, so the work is not tied to a postcode. See [accounting for Ontario businesses](https://www.everstonecpa.com/accountant-ontario).

## What a trades business has to get right

What a trades business has to get right
The items that decide a trades year-end — for a business operating in Sudbury, Ontario

| Item | Why it matters |

| Subcontractor payments | Construction payers report subcontractor payments to the CRA on a T5018 |

| Holdbacks | Amounts held back under a construction contract are recognized on their own timing, not when invoiced |

| Tools and equipment | Larger purchases are capitalized and depreciated rather than expensed in full |

| Vehicle use | A log separating business from personal kilometres is what supports the claim |

| WSIB | Compulsory construction coverage generally extends to owners and independent operators |

| Sales tax where you operate | 13% HST, a single registration and a single return |

Common questions

## Sudbury trades accounting FAQ

**Do Sudbury contractors charge HST on construction work?**

Yes. Ontario applies a single 13% harmonized tax on the supply, and registrants recover the tax paid on inputs. The practical issue is cash: more tax money is held between remittances, so it is worth setting aside as it is collected. [Ask about your case →](https://www.everstonecpa.com/quick-question)

**Does an owner-operator in Ontario construction need WSIB coverage?**

Generally yes. Ontario’s compulsory coverage rules extend registration and coverage to independent operators, sole proprietors, partners and executive officers carrying on business in construction. A limited exception covers businesses doing only home renovation work for a homeowner who hires and pays them directly.

**What does the statutory holdback do to the books?**

It creates earned revenue that is not yet collectible on the receivable side, and costs already incurred on the payable side where you retain holdback from subtrades. Both belong in the period the work was performed.

**Do T5018 slips apply to Sudbury contractors?**

Yes. The requirement is federal, so a construction business that pays others for construction services generally reports those payments on T5018 slips and a summary.

**Are the people I bring to every job subcontractors or employees?**

It depends on control, who supplies the tools, whether they can subcontract and whether they carry a chance of profit or loss. Workers you direct, on your hours, with your tools, may be employees in substance, and the payroll consequences fall on you.

**Can a CPA who is not in Sudbury file for my company?**

Yes. The engagement is delivered by video call, e-signature and secure upload, and there is no Sudbury office. What matters is that the corporate return, the HST filings and the books are all prepared from one consistent set of records.

**Do you work with businesses outside Sudbury itself?**

Yes. Trades businesses in Valley East, Chelmsford, Lively, Garson and the rest of Greater Sudbury, and in nearby Espanola, are served the same way, remotely and at the same fixed fees.
