# Trades accountant in *Vaughan*

Construction is one of the sectors the City of Vaughan names as a driver of its economy, and the trades that build and renovate across Woodbridge, Maple, Kleinburg and Concord run on Ontario-specific rails: one harmonized sales tax, compulsory workplace coverage that reaches the owner personally, and a statute that sets holdback and payment deadlines.

EverStone is a [CPA for incorporated contractors](https://www.everstonecpa.com/contractor-accountant) and a [Vaughan small-business accountant](https://www.everstonecpa.com/accountant-vaughan), working remotely.

**Quick answer:** Trades and construction companies in Vaughan, Ontario charge a single harmonized tax rather than separate federal and provincial ones. Compulsory workplace coverage extends to owners in construction. Statutory holdback and prompt payment obligations apply to the work. EverStone prepares the corporate return, HST filings and subtrade slips for Vaughan contractors remotely. Published fees start at $300 a month for bookkeeping and $100 for a personal return.

For a one-owner Vaughan trades business, monthly bookkeeping, payroll and the year-end T2 with statements usually cost from $450 to $650 a month all-in. The year-end covers the T2 with Schedule 1 and Schedule 50, the CCA schedule, the small business deduction, T4 or T5 slips for the owner’s pay, and the instalments for the year ahead.

## Who we work with in Vaughan construction

The Vaughan contractors we see range from general contractors and renovation companies to specialty trades: electricians, plumbers, HVAC installers, framers, drywall and finishing crews, concrete and paving companies, landscapers and excavation outfits. Some build custom homes and additions in Kleinburg and Maple; others work commercial and industrial jobs in the employment areas around Concord, or sub to larger builders across York Region and the GTA. Their files differ in scale, but the accounting questions are remarkably consistent: how to keep HST money separate from operating cash, how to handle holdbacks, how to report subtrades, how to cost jobs, and how to buy equipment without wrecking the year’s cash flow.

## One tax on the invoice

Ontario applies a single [13% harmonized sales tax](https://www.everstonecpa.com/ontario-tax-facts) rather than a federal tax plus a separate provincial one. For a trades business that removes a whole category of estimating judgement: the tax is charged on the supply and recovered on the inputs, including materials, tools, equipment and vehicles. The provincial portion is recoverable as an input tax credit just like the federal portion.

What replaces that judgement is a cash-flow problem. The full 13% is collected on deposits and progress billings, and the input side is only recovered on filing. A Vaughan contractor therefore holds a significant amount of tax money between remittances, and money held is money that gets spent unless the process prevents it. The usual fix is a separate account for HST collected and source deductions withheld, swept on a schedule. See the [input tax credits guide](https://www.everstonecpa.com/blog/input-tax-credits-itc-canada-guide).

## Compulsory coverage reaches the owner

Ontario is unusual in extending mandatory workplace insurance coverage into construction at the ownership level. Under the province’s expanded compulsory coverage rules, independent operators, sole proprietors, partners and executive officers of corporations carrying on business in construction generally must register with the WSIB and carry coverage. The exceptions are limited; the notable one is a business that does only home renovation work for a homeowner who hires and pays it directly. Employees always require coverage.

For an owner-operator who incorporated recently, or who moved into construction from another line of work, this is the most commonly missed obligation.

## Statutory holdback and a payment clock

Ontario’s construction legislation requires a portion of the contract price to be held back on a project, sets prompt payment obligations that follow a proper invoice, and provides for adjudication of payment disputes. The accounting effect of a statutory holdback is the same as anywhere: earned revenue that is not yet collectible sits in receivables, and holdbacks retained from subtrades are costs already incurred. Both belong in the period the work happened, not the period the holdback is released.

The effect of the payment obligations is more specific. The invoice, and what makes it a proper one, becomes the event that starts a clock. Billing practices that were merely untidy become billing practices that delay money, so invoice discipline turns into a working-capital issue rather than an administrative one. The [construction holdbacks guide](https://www.everstonecpa.com/blog/construction-holdbacks-accounting-canada) covers the bookkeeping.

## Subtrade reporting is federal

The **[T5018](https://www.everstonecpa.com/blog/t5018-subcontractor-reporting-construction)** requirement is federal law, so a Vaughan construction business that pays others for construction services generally reports those payments to the CRA. A company that relies on many small specialized subtrades has to collect business numbers and addresses as it goes rather than chase them in the new year. Behind the slip sits a classification question — is this person a subtrade or an employee — decided by control, ownership of tools, the ability to subcontract and the chance of profit or loss. Getting it wrong means unremitted source deductions, and the consequences land on the payer.

## Job costing, work in progress and equipment

A contractor makes or loses money job by job. Coding materials, subtrade invoices, equipment rental and labour to the job they belong to shows which jobs are profitable while there is still time to act, and it produces the year-end figures for work in progress and holdbacks without reconstruction. Trucks, trailers, excavators and tools are capital assets claimed through capital cost allowance, and the first-year claim depends on when the asset is available for use. A vehicle used partly for personal driving needs a logbook to support the business share of the claim.

## Instalments, seasonality and a compressed build window

Vaughan’s exterior building season is compressed by winter, so revenue arrives unevenly while tax obligations arrive on a calendar. [Corporate instalments](https://www.canada.ca/en/revenue-agency/services/tax/businesses/topics/corporations/corporation-payments/paying-instalments.html) set from a flat prior-year formula routinely mismatch a construction company’s actual cash position. A strong season can create both a large [balance owing](https://www.canada.ca/en/revenue-agency/services/tax/businesses/topics/corporations/corporation-payments.html) and an instalment schedule that begins before the next season’s receivables do. Modelling that in the autumn is straightforward; discovering it in spring is not. See [corporate tax instalments](https://www.everstonecpa.com/blog/corporate-tax-installments-canada).

## Remote, and there is no Vaughan office

EverStone has no Vaughan location. Ontario engagements run entirely online: video meetings, e-signature and secure document exchange, with receipts and subtrade invoices uploaded from a phone. Corporate tax is federal law with a provincial layer, so the work is not tied to a postcode. See [accounting for Ontario businesses](https://www.everstonecpa.com/accountant-ontario).

## What a trades business has to get right

What a trades business has to get right
The items that decide a trades year-end — for a business operating in Vaughan, Ontario

| Item | Why it matters |

| Subcontractor payments | Construction payers report subcontractor payments to the CRA on a T5018 |

| Holdbacks | Amounts held back under a construction contract are recognized on their own timing, not when invoiced |

| Workplace coverage | Owners and executive officers in Ontario construction generally need WSIB coverage too |

| Tools and equipment | Larger purchases are capitalized and depreciated rather than expensed in full |

| Vehicle use | A log separating business from personal kilometres is what supports the claim |

| Sales tax where you operate | 13% HST, a single registration and a single return |

Common questions

## Vaughan trades accounting FAQ

**Do Vaughan contractors charge HST on construction work?**

Ontario applies a single 13% harmonized tax on the supply rather than separate federal and provincial taxes, and registrants recover the tax paid on inputs. The practical issue is that more tax money is held between remittances, so it needs keeping apart from operating cash. [Ask about your case →](https://www.everstonecpa.com/quick-question)

**Does an owner-operator in Ontario construction need WSIB coverage?**

Generally yes. Ontario’s expanded compulsory coverage rules extend registration and coverage to independent operators, sole proprietors, partners and executive officers carrying on business in construction. A limited exception covers businesses doing only home renovation work for a homeowner who hires and pays them directly. Employees always require coverage.

**What does the statutory holdback do to the books?**

It creates earned revenue that is not yet collectible on the receivable side, and costs already incurred on the payable side where a company retains holdback from its own subtrades. Both belong in the period the work was performed.

**Why does invoice quality matter more in Ontario?**

Because the province’s construction legislation ties prompt payment obligations to a proper invoice, so the document itself starts a timeline and can support an adjudication if payment does not follow.

**Do T5018 slips apply in Ontario?**

Yes — the requirement is federal, so the province makes no difference. A construction business that pays others for construction services generally reports those payments, and the subtrade-versus-employee question has to be answered for each one.

**Can a CPA with no Vaughan office file for a Vaughan contractor?**

Yes. The engagement is delivered remotely by video call, e-signature and secure upload. Corporate income tax is federal legislation with a provincial layer, so what matters is that the corporate return, the HST filings and the books are all prepared from one consistent set of records.

**Do you work with trades in Woodbridge, Maple and Kleinburg?**

Yes. Trades businesses in Woodbridge, Maple, Kleinburg, Concord, Thornhill and the rest of York Region are served the same way as any Vaughan client, remotely and at the same fixed fees.
