A Remote CPA for Canadian Businesses

Most firms describing themselves as remote are local firms that added video calls. This one was built the other way round, and the difference shows up in the ordinary things: how fast you get an answer, and whether you know the fee before the work starts.

Quick answer: If you are looking for an accountant who works entirely online, three questions decide it. Who actually does the work — here it is one named CPA, start to finish, not a junior you never meet. What it costs — fixed fees, published, agreed in writing before anything begins, with the calls included rather than billed. How fast you hear back — the commonest complaint about accountants is silence, and it is the thing a remote firm has to answer first.

Incorporated in one province, operating in another

This is the situation that brings most people to a remote firm, and it is the one local firms handle worst, because it needs someone who is not thinking about a single province by default.

The shape of it: your corporation files one federal return, and its taxable income is allocated between provinces based on where it has a permanent establishment and how its revenue and payroll are distributed. Two provinces does not mean two corporate returns. It means one return with an allocation, and the provincial rate that applies follows the allocation rather than your certificate of incorporation. GST is one registration across the country, with the rate on each sale following the place-of-supply rules rather than your own address — the CRA’s guidance on which rate to charge is the reference. Payroll source deductions follow the province of employment for each employee, which can differ from where the company is registered.

Separately from tax, carrying on business in a province you are not incorporated in generally requires registering there. It is administrative rather than difficult, and it is the piece most often discovered late.

That last row is stated plainly because it is a real trade rather than a feature. Some owners would rather sit across a desk, and that is a fair preference — better learned here than after signing.
