Payroll services in Medicine Hat

Alberta charges no provincial payroll tax, which makes a Medicine Hat payroll structurally simpler than the same payroll in many provinces. What it does not make simpler is a workforce that changes with the season — greenhouse crews, harvest help, turnaround contractors — or Alberta’s own general holiday formula. EverStone runs payroll for Medicine Hat businesses remotely.

Quick answer: Alberta levies no employer payroll health tax, so a Medicine Hat employer’s statutory costs are CPP, EI and WCB-Alberta premiums. Alberta general holiday pay is at least 4.2% of wages, vacation pay and general holiday pay earned in the four weeks immediately before the holiday. Seasonal layoffs need accurate records of employment. Payroll is included in monthly bookkeeping from $300 a month.

Payroll for Medicine Hat employers is part of our monthly package, which starts from $300 a month with the bookkeeping and GST filings included.

What Alberta does not charge

Alberta has no employer health tax or provincial payroll levy. For a Medicine Hat employer, the statutory cost of employing someone is federal CPP and EI on both the employee and employer sides, plus workers’ compensation premiums. Nothing provincial is layered on top of the wage bill. For a growing business choosing where to add staff, or one that already employs people in more than one province, that absence is a recurring saving rather than a rounding difference. The position is set out with its source on the Alberta tax facts page.

A payroll that changes with the season

The industries that define the Medicine Hat area do not employ the same number of people every month. The City describes Alberta’s largest greenhouse cluster around the city, with year-round vegetable production that still has planting, peak and changeover periods. Irrigated farms and ranches add help for seeding, haying and harvest. Industrial service contractors staff up for plant turnarounds and maintenance shutdowns, then release crews when the work ends. Construction follows the weather.

Each of those patterns produces the same administrative load: new hires to set up properly with a TD1, short employments with irregular hours, and a batch of departures at the end of each season. The setup step is where most errors begin. An employee who is paid as a contractor because it was quicker, or a returning seasonal worker set up again with last year’s claim amounts, creates a problem that shows up months later on a T4 or a CRA payroll review.

Records of employment, on time and accurate

Every time an insurable employee has an interruption of earnings — a seasonal layoff, a quit, the end of a contract — the employer issues a record of employment showing insurable hours and earnings by pay period. Seasonal employers issue a lot of them, often in the same week. Employers who keep clean pay-period records produce them in an afternoon. Employers who do not spend days reconstructing hours from timesheets while also managing the end of the season. An incorrect ROE delays the former employee’s benefits, and the call that follows lands on the owner.

We build the ROE from the payroll records themselves, so insurable hours, vacation pay paid out and the reason code all come from the same data as the T4. When a crew is released together, the ROEs are prepared together.

General holiday pay: Alberta’s 4.2% formula

Alberta recognizes nine general holidays, with four further optional days an employer may choose to treat as general holidays. General holiday pay for a general employee is at least 4.2% of the wages, vacation pay and general holiday pay earned in the four weeks immediately preceding the holiday. The base includes vacation pay and earlier holiday pay, not just wages, so a holiday that falls shortly after another is calculated on a slightly larger base.

That is a different mechanism from the formulas used in other provinces, and a national payroll template silently produces the wrong number. For a greenhouse running seven days a week through a holiday, or a contractor whose crews work shifts that span one, the calculation has to be done rather than approximated. The optional holidays should be a written policy, settled before the year begins.

WCB-Alberta

Workers’ compensation in Alberta is administered by WCB-Alberta, with premiums set by industry classification and charged on assessable earnings. Registration and reporting are separate from your CRA payroll account, but they draw on the same wage data. Getting the classification right matters for businesses that do more than one thing, and the year-end earnings report needs to match the payroll ledger, which is straightforward when both come from the same file.

Owner pay and family members

In owner-managed Medicine Hat businesses, payroll often includes the owner and members of the family. An owner who takes salary runs it through payroll like anyone else, with CPP withheld and remitted, and the T4 filed by the end of February. Family members can be paid for genuine work at a reasonable rate, which is deductible to the business. Paying a spouse or teenager for work they did not do, or at a rate nobody else would be paid, is the kind of arrangement that does not survive a review. Where a family farm employs its own children, the rules on CPP and EI for related employees are worth confirming at setup rather than after the first T4.

What the engagement covers

  • Pay runs with Alberta tax tables applied to Alberta employees
  • Income tax, CPP and EI withheld and remitted on your assigned CRA schedule
  • New-hire setup with TD1 forms and seasonal rehire checks
  • General holiday pay calculated on the Alberta 4.2% basis, including optional-holiday policy
  • Vacation pay accrued and tracked as a liability
  • WCB-Alberta registration support and assessable earnings reporting
  • Records of employment produced from pay-period records, including seasonal batches
  • T4 and T4A slips and summaries filed by the last day of February

Remote, and there is no Medicine Hat office

EverStone is a one-CPA firm that works online. There is no Medicine Hat office to visit. Medicine Hat employers are served entirely online, through email, video calls, secure document exchange and e-signature, in Mountain Time. Payroll travels well remotely because the inputs are data — hours, rates, start and end dates — and the outputs are documents. One accountant holds the file from the first remittance through to the February slips. The deduction calculator is there if you want to check a single cheque before you email.

Who this suits, and who it does not

This is for a Medicine Hat employer with a core staff that grows and shrinks with the season or the work: a greenhouse, a farm or ranch, an industrial service contractor, a construction firm or a retailer. You want holiday pay worked on Alberta’s formula, ROEs produced quickly and T4s that match the ledger. A large unionized workforce on shift-scheduling software needs a dedicated payroll platform instead, and we will say so at the start.

Seasonal payrolls swing with the calendar, so the remittances belong on forecasting the cash it needs.

Common questions

Medicine Hat payroll questions

Does Alberta charge an employer health tax?+
No. A Medicine Hat employer’s statutory employment costs are CPP and EI on both sides plus WCB-Alberta premiums, with nothing provincial charged on the wage bill itself. Ask about your case → See the published fees.
How is general holiday pay calculated in Alberta?+
At least 4.2% of the wages, vacation pay and general holiday pay earned in the four weeks immediately before the general holiday. The base includes vacation pay and earlier holiday pay, not just regular wages.
How many general holidays does Alberta have?+
Nine, with four additional optional days an employer may choose to recognize. Because the optional days are elective, they should be set out in a written policy rather than decided in the week they fall.
We lay off a seasonal crew every year. What do we need to do?+
Issue a record of employment for each insurable employee, showing insurable hours and earnings by pay period and the right reason code, and pay out any vacation pay owing. Producing them from clean pay-period records is quick; reconstructing them is not.
Who administers workers’ compensation in Alberta?+
WCB-Alberta. Premiums are set by industry classification and charged on assessable earnings, and registration is entirely separate from your CRA payroll account, although the reporting draws on the same wage data.
Can I pay my children through the farm or business payroll?+
Yes, for genuine work at a reasonable rate, and the wage is deductible to the business. The CPP and EI treatment of related employees has its own rules, so it is worth confirming at setup rather than after the first T4.
Does EverStone have a Medicine Hat office?+
No. The firm serves Medicine Hat employers remotely by email, video call, secure file exchange and e-signature. Nothing in a payroll engagement requires a physical meeting.
Do you run payroll for employers outside Medicine Hat itself?+
Yes. Employers in Redcliff, Dunmore, Cypress County, Bow Island and Brooks are served exactly as Medicine Hat ones are, on the same schedule and at the same fixed fees.

What happens when you get in touch

Alberta payroll has no provincial tax layer, which makes the first month simpler than most.

  1. A free first conversation. By email or a short video call: how many people, how often you pay, how the season changes the headcount, and what has been filed. You leave with a fixed fee in writing and no obligation to take it.
  2. Access, in the first week. We are authorized with the CRA, so the payroll account’s balances and notices get looked up rather than requested from you. If you are switching firms, your file is requested the same week.
  3. Current, then ahead. Employee records checked, any missed remittances caught up, and the year’s holiday, ROE and T4 dates set before they arrive.
