Payroll services in Okotoks
Alberta charges no provincial payroll tax, which makes an Okotoks payroll structurally simpler than the same payroll in most of the country. What it does not make simpler is general holiday pay, which uses a formula Alberta shares with no other province. EverStone runs payroll for Okotoks businesses remotely.
Quick answer: Alberta levies no employer payroll health tax, so an Okotoks employer’s statutory costs are CPP, EI and WCB-Alberta premiums. Alberta general holiday pay is at least 4.2% of the wages, vacation pay and general holiday pay earned in the four weeks immediately before the holiday. For an Okotoks employer, payroll is included in monthly bookkeeping from $300 a month.
Payroll for Okotoks employers is part of the monthly package, which starts from $300 a month with bookkeeping and GST filing included, through to the T4 and T4A slips each February.
Who runs payroll in Okotoks
The Town of Okotoks lists healthcare, professional and technical services, agro-business and technology among its key sectors, and much of the town’s business community is small and owner-run. In payroll terms that means a lot of first-time employers: a clinic hiring its first receptionist, a trades company adding a labourer for the busy season, a food producer taking on part-time packers, a consultant putting a spouse on payroll. The mechanics are the same for all of them, but the first hire is where most of the avoidable mistakes are made.
Before the first cheque, the business needs a payroll program account (the RP account) with the CRA, a WCB-Alberta account where coverage is required, and a decision about pay frequency, vacation pay and which optional holidays the business recognizes. Running a pay before the RP account exists, or paying a family member informally and sorting it out at year end, is how a simple payroll becomes a reconstruction exercise.
What Alberta does not charge
Alberta levies no employer payroll health tax of the kind British Columbia, Ontario, Manitoba and Newfoundland and Labrador impose. For an Okotoks employer, the statutory cost of employing someone is CPP and EI, employee and employer sides, plus workers’ compensation premiums. Nothing provincial is layered on top of the wage bill. For a business weighing whether to add staff, that keeps the true cost of a hire close to the gross wage plus the federal contributions and WCB, which is easier to budget than in most provinces. The figures are tabled on the Alberta tax facts page.
General holiday pay: Alberta’s 4.2% formula
Alberta recognizes nine general holidays, with four further optional days an employer may choose to treat as general holidays. General holiday pay for a general employee is at least 4.2% of the wages, vacation pay and general holiday pay earned in the four weeks immediately preceding the general holiday. The base is not simply wages: it includes vacation pay and prior general holiday pay, so a holiday that falls shortly after another one is calculated on a slightly larger base.
This is a different mechanism from the average day’s pay used in British Columbia or the divide-by-twenty formula used in Ontario, and it is one of the places a generic payroll template quietly produces the wrong number. For an Okotoks employer with part-time staff, irregular hours or seasonal crews, the calculation has to be done each time rather than approximated. The optional holidays should be a written policy set at the start of the year, not a decision made in the week of the day itself.
Seasonal crews, layoffs and records of employment
Trades, construction and agricultural employers around Okotoks and Foothills County often hire for the warmer months and scale back over winter. Each layoff produces a record of employment reporting insurable hours and earnings by pay period, and the ROE has to be issued on time for the employee’s EI claim. Employers with clean pay-period records produce ROEs in minutes; employers without them spend days reconstructing hours while also handling the layoff conversation. Bonuses, retroactive raises and vacation pay paid out on termination each have their own withholding treatment, which is where seasonal payrolls most often go wrong.
WCB-Alberta
Workers’ compensation in Alberta is administered by WCB-Alberta, with premiums set by industry classification and charged on assessable earnings. Registration and reporting are entirely separate from your CRA accounts. The same wage data feeds both, which is why the payroll records need to report earnings in a form that satisfies the CRA’s T4 and WCB-Alberta’s reporting at the same time. For trades businesses, coverage also matters when paying subcontractors — see trades accounting in Okotoks.
Paying the owner and family members
An incorporated owner who takes a salary is an employee of the corporation for payroll purposes, with CPP withheld and remitted and a T4 issued. Whether salary is the right route at all is a separate decision, covered on personal tax in Okotoks. Paying a spouse or child is legitimate when the pay is reasonable for work actually done and is run through payroll properly, with timesheets or a description of duties on file. Informal transfers recorded as wages at year end are the version that does not survive a review.
Remittances and penalties
Source deductions are held in trust for the Crown, which is why the CRA treats late remittances more seriously than almost any other filing. Your remittance schedule depends on your average monthly withholding, and most small employers remit monthly by the 15th of the following month. A late remittance draws a penalty on the amount, and repeated failures increase it. We set remittances to your assigned schedule, reconcile them to the ledger, and file the T4 and T4A slips and summary by the end of February. The payroll remittance calendar sets out each remitter type.

Remote, with no Okotoks office
EverStone is a sole practitioner CPA firm that works online. There is no Okotoks office to visit. Okotoks employers are served entirely online through video calls, secure document exchange and e-signature. Payroll travels well remotely because the inputs are hours and rates and the outputs are pay stubs, remittances and slips. One accountant holds the file from the first remittance through to the February slips. The deduction calculator is there if you want to check a single cheque first.
Who this suits, and who it does not
This is for an Okotoks employer with a small core staff, perhaps growing and shrinking with the season: a clinic, a trades contractor, a producer, a professional practice. You want holiday pay worked on Alberta’s formula, ROEs produced quickly and T4s that match the ledger. A large shift-based workforce on scheduling software needs a dedicated payroll platform instead, and we will say so at the first conversation.

What happens when you get in touch
Alberta payroll has no provincial tax layer, which makes the first month simpler than most.
- A free thirty-minute conversation. What you do, what is filed and what is overdue. You leave with a fixed fee in writing and no obligation to take it.
- Access, in the first week. We are authorized with the CRA through Represent a Client, so notices and balances get looked up rather than requested from you. If you are switching firms, your file is requested the same week.
- Current, then ahead. Books set up or brought current, anything overdue scheduled oldest year first, and the next twelve months of deadlines set before they arrive.
