GST/HST filing in Okotoks

Alberta has no provincial sales tax, so an Okotoks business runs one registration and one return. That removes half the complexity and concentrates the risk in two places: whether your input tax credits are supported by records that survive a review, and whether you are charging the right rate when you sell outside Alberta. EverStone files GST for Okotoks businesses remotely.

Quick answer: An Okotoks business selling only within Alberta collects 5% GST and nothing else, files one return on the schedule the CRA assigns, and claims input tax credits on its purchases. The whole of a GST review therefore turns on the documentation behind those credits and on sales shipped to other provinces. For an Okotoks business, GST filing is included in monthly bookkeeping from $300 a month.

One tax, and where the risk goes instead

Alberta is the outlier. There is no provincial sales tax, which the CRA’s own rate table records as a provincial rate of nil. A business selling only within the province charges 5% GST — one registration, one return, one administrator, and no non-recoverable provincial tax buried in its costs. Alberta does levy a separate tourism levy on accommodation, but that is a specific charge rather than a general sales tax, and it matters only to the few Okotoks businesses that rent rooms.

Simplicity concentrates the exposure. In a two-tax province a review can go wrong in several directions. In Alberta there is effectively one question on the purchase side: can you support the input tax credits you claimed? The position is tabled with its source on the Alberta tax facts page.

When an Okotoks business has to register

A business becomes required to register once its taxable sales pass the $30,000 small-supplier threshold. Below that, registration is optional, and for many Okotoks businesses it is still worth doing deliberately. A home-based consultancy billing other businesses can usually charge GST without losing customers, because those customers claim it back, and registration lets the consultancy recover the GST on its own equipment, software and vehicle costs. A business selling mostly to households has the opposite calculation: GST becomes a 5% price increase its customers cannot recover. Farms with zero-rated sales are often due a refund every period, which makes voluntary registration close to automatic — see farm accounting in Okotoks.

Registration is done through the CRA and opens an RT program account under your business number. It is a separate step from the Town of Okotoks business licence, which every business providing goods or services in Okotoks needs and renews each year. One does not trigger the other.

What an input tax credit actually requires

A claim is not supported by the fact that money left the bank. The documentation has to identify the supplier and, at the applicable thresholds, carry the supplier’s GST registration number. It has to show the amount of tax or enough to calculate it, and it has to describe the supply well enough that someone else can tell what was bought. A card statement showing a merchant name and a total meets none of those tests, and it is far and away the most common category of claim disallowed on review.

Three further points come up often in Okotoks files. Where a supplier is not registered, there is no GST to claim, whatever the invoice says, and registration numbers can be checked. Where an expense is partly personal — the home office, the family vehicle, a phone plan — only the business share is claimable, and the apportionment should be recorded when the claim is made. And credits do not have to be claimed in the period the tax was paid: there is a window, so a missed credit found in time is often still recoverable. Our note on what the CRA checks covers the ground in more detail.

The complication arrives at the border

Okotoks has a real food and beverage manufacturing sector and a good deal of independent retail, and both increasingly sell online to customers across the country. The GST/HST rate follows the place of supply rather than your address, so a sale shipped to an HST province is charged at that province’s harmonized rate, not 5%. Selling into a province with its own provincial sales tax raises a second question about whether you have to register there too. A business that grows from local sales into national ones and keeps invoicing at 5% builds up an under-collection across every affected invoice, and the seller, not the customer, owes the difference. Marketplace platforms collect in some cases and not in others — see marketplace GST/HST rules.

Filing frequency, the GST34 and deadlines

The CRA assigns a reporting period based on your revenue: annual, quarterly or monthly. Most smaller Okotoks registrants file annually or quarterly, and each return — the GST34 or its electronic equivalent — reports the tax collected, the input tax credits claimed and the net amount owing or refundable. An annual filer whose net tax passes a threshold also pays quarterly instalments. You can elect a more frequent period, which some refund-position businesses do to get their money back sooner. Changing your filing frequency explains when and how, and late filing penalties sets out what a missed deadline costs.

The quick method, and when it pays

Smaller registrants can elect the quick method, remitting a set percentage of their GST-included sales instead of tracking input tax credits on most purchases. For a service business with low costs — a typical home-based consultancy, for example — it can reduce both the paperwork and the tax. For a business with heavy purchases, such as a trades company buying materials, it usually does not. The election is worth modelling on a year of actual figures before making it, and revisiting when the business changes shape.

What is covered

  • GST registration, or review of your existing reporting period
  • Returns prepared and filed on your assigned schedule
  • Input tax credits claimed against documentation that supports them
  • Supplier registration status confirmed where a claim depends on it
  • Business and personal apportionment recorded at the time of claim
  • Rates checked against place of supply for sales made outside Alberta
  • Returns reconciled to the ledger, and CRA correspondence handled

Remote, with no Okotoks office

EverStone is a sole practitioner CPA firm that works online. There is no Okotoks office and no Alberta location. Okotoks businesses are served entirely online — records arrive through secure exchange, returns are reviewed by email or video, and filings are approved by e-signature. One accountant holds the file, which keeps the documentation standard consistent from one period to the next rather than tightening only after a question arrives from the CRA.

Who this is for, and who it is not

This fits an Okotoks business that charges GST and wants the filing handled properly. It does not fit a business still under the $30,000 small-supplier threshold that has not yet decided whether to register: that is a decision worth making deliberately, and worth an enquiry first.

What happens when you get in touch

An Okotoks GST file is onboarded the same way as any other Alberta file, and on the same fixed fee.

  1. A free thirty-minute conversation. What you do, what is filed and what is overdue. You leave with a fixed fee in writing and no obligation to take it.
  2. Access, in the first week. We are authorized with the CRA through Represent a Client, so notices and balances get looked up rather than requested from you. If you are switching firms, your file is requested the same week.
  3. Current, then ahead. Books set up or brought current, anything overdue scheduled oldest year first, and the next twelve months of deadlines set before they arrive.
