What Ontario’s rules change for a Milton business
One combined sales tax, a corporate rate that recently fell, and a payroll tax that arrives as a company grows.
One sales tax, not two
Ontario charges a single 13% HST: one registration, one return, and input tax credits that recover both parts of the tax on trucks, fuel and materials.
Corporate tax rate
Ontario taxes active small-business income at 2.2% after 30 June 2026 (3.2% before, prorated), plus the 9% federal rate, on a $500,000 business limit. Profit above it, or non-active income, is taxed at the 26.5% combined general rate. Current figures are on Ontario tax facts.
Employer Health Tax
Above the $1,000,000 Ontario payroll exemption, Employer Health Tax applies on top of CPP and EI. Associated employers share one exemption, and WSIB is a separate account.

Trucking books: trucks, fuel and meals
Each truck and trailer goes into the right capital cost allowance class, and leases are kept apart from loans. The CCA classes guide explains the classes. Fuel, repairs and tolls are coded by unit.
Long-haul drivers claim meals under their own rules, set out in the trucking meal claims guide. Owner-operators can read accounting for truckers, and the Hamilton trucking page covers the wider region. Drivers paid as contractors but working like employees draw CRA review; see the contractor or employee tests.
HST on freight, fuel and new builds
For a carrier, input tax credits on fuel, trucks and repairs are large, so a missing receipt costs real money.
Freight that crosses the border can be zero-rated, which often leaves a carrier in a refund position. Refunds draw CRA review. Trades charge HST on labour and materials, often before the customer pays. See our GST/HST filing service.
Payroll for warehouse shifts and crews
Warehouses and carriers hire often, with shift premiums, overtime and a record of employment for each departure. T4 slips go out by the end of February.
Employer Health Tax starts once payroll passes the exemption, and WSIB is reported separately. Payroll is included in monthly bookkeeping. Builders paying subcontractors file T5018 slips; see also trades accounting in Oakville.
Year-end and paying yourself
The T2 is due six months after year-end, the balance in two or three. The Ontario Business Registry annual return is due within six months of year-end. We review the year before it closes, while decisions can still change the result. A new truck earns CCA only once it is available for use, so the delivery date matters.
Salary builds CPP and RRSP room; dividends skip payroll but not tax. Compare them with the salary vs dividends calculator. Still a sole proprietor? Read when incorporating starts to pay. If the books are behind, catch-up bookkeeping comes first.
