A Fixed-Fee Small Business Accountant for Oakville Companies
EverStone CPA is a Canadian accounting firm working with owner-managed companies across Oakville and Halton Region — corporate tax, bookkeeping, payroll and plain-English advice, delivered by video, phone and secure email, at a fixed fee agreed before we start. Businesses in Bronte, Glen Abbey, Burlington and Milton are served the same way.
Who we help here: Incorporated consultants and professional-services firms, software and digital-media companies, life-sciences suppliers and the small manufacturers and trades that serve Oakville’s larger employers. Most have incorporated for the small-business rate and want a CPA who explains, in plain terms, what that rate is worth and how to keep it.
Nearby, EverStone also serves Toronto, Hamilton and Kitchener-Waterloo.
Quick answer: EverStone works with incorporated Oakville businesses entirely online: the T2 corporate return, Ontario HST, bookkeeping, payroll and salary-versus-dividend planning, at a fixed fee quoted up front rather than an hourly meter. There is no Oakville office and nothing to drive to. Published fees start at $100 for a personal return and $300 a month for bookkeeping.
Oakville industries we work with most: construction and trades, real estate agents and incorporated professionals billing corporate clients.
For a one-owner Oakville corporation, our accounting fees for monthly bookkeeping, payroll and the year-end T2 with statements usually run from $450 to $650 a month all-in.

CPA-level rigour, sized for an owner-run Oakville business
Oakville sits just west of Toronto and hosts a number of Canadian head offices, Ford Canada’s among them. Around those large employers is a much bigger layer of small companies: consultants who left corporate roles and incorporated, engineering and IT contractors, marketing studios, medical and life-sciences suppliers, and the trades that build and maintain everything. Those owners rarely need a large firm, but they do need someone who treats the T2, the HST return and the year-end statements with real care.
Every Oakville client is assigned one Chartered Professional Accountant who reviews the file personally, year-round, rather than a rotating junior. Meetings happen by video or phone, documents move by secure upload and e-signature, and the fee is fixed and confirmed in writing before any work begins. Because nothing runs through a leased office, the overhead you pay for is the work itself.

How Ontario’s rules change the numbers for an Oakville company
One combined sales tax, a recently lowered small-business rate, and a payroll tax that arrives with growth.
One tax, not two
Ontario charges a single 13% HST rather than separate federal and provincial sales taxes. For an Oakville consultancy, software firm or contractor that means one registration, one return and one set of input tax credits to track. The provincial portion is recoverable just like the federal portion, so nothing sits buried in your costs as long as the bookkeeping captures every credit.
Corporate tax rate
Ontario taxes active small-business income at 2.2% provincially for days after 30 June 2026 (3.2% before that date, prorated across a straddling year), on top of the 9% federal small-business rate, on a $500,000 business limit. How you mix salary and dividends decides how much of the company’s profit stays inside that lower band.
Employer Health Tax
Once an Oakville employer’s annual Ontario payroll passes the $1,000,000 exemption, Employer Health Tax applies on top of CPP and EI. A growing engineering or software firm can cross it within a hiring cycle or two. We track the running total so it is planned for, not discovered at year-end.

Built around how Oakville businesses actually earn
The Town of Oakville’s economic development office names four key sectors: professional services; film, information and communication technology and digital media; health and life sciences; and advanced manufacturing. Each of those produces a different kind of small-business file. A professional-services corporation bills by retainer or day rate and has almost no inventory. A software or digital-media company carries subscriptions, contractors and sometimes foreign customers. A manufacturer or machine shop has equipment to depreciate through capital cost allowance (CCA), inventory to count and suppliers to pay on terms.
We work with each of these the same way — corporate tax, HST, payroll and year-end statements — but the questions we raise differ. For the consultant it is usually whether the corporation is drifting toward a personal services business. For the tech firm it is HST on sales to clients outside Ontario. For the shop it is when to buy the next machine and how the CCA lands in the year it is bought.

When a former employee incorporates, and the contract still looks like a job
A common Oakville story: an engineer, project manager or IT specialist leaves a corporate role, incorporates, and is soon billing a single client — sometimes the same company they used to work for. The corporation files a T2, claims the small business deduction on active business income and pays the owner a mix of salary and dividends. For a year or two, everything looks fine.
The risk is that the CRA looks past the corporation to the working relationship. If the owner would reasonably be considered an employee of the client but for the company in between — set hours, the client’s equipment, ongoing supervision, no other customers — the corporation can be treated as a personal services business. That loses the small business deduction, taxes the income at a higher rate and strips out most deductions other than the owner’s own salary. It is reassessed years later, with interest.
None of that means an incorporated contractor is doing anything wrong. It means the contract, the invoices and the way the work is actually done need to support the structure. We review those facts when we take on the file, raise the warning signs early, and help you widen the client base or adjust the arrangement before the question is asked. The incorporation calculator shows what the structure is worth when it holds up.

Working with a virtual small business accountant in Oakville
Working with a CPA who is not in Oakville changes nothing about what gets filed. Corporate tax, GST/HST and payroll are federal systems, and Ontario’s corporate tax is administered with the federal return, so a single T2 covers both. What changes is how the year runs.
Onboarding happens over one call and a secure document upload rather than a drive along the QEW. Questions in July are answered by the same person who prepared the return in the spring, and nothing waits in a queue behind walk-in appointments. For an Oakville company the recurring work is usually HST on services billed to clients in other provinces, instalments once the first profitable year lands, and the owner-pay question that comes with growth.
Province-wide detail sits on the Ontario small business page, and the current rates are on Ontario tax facts.

Oakville industries we work with most
The Oakville owners we work with are mostly incorporated professionals and consultants, software and digital-media companies, suppliers to the region’s health and life-sciences employers, small manufacturers and machine shops, and the contractors and real estate agents who serve a busy residential market. The recurring issues are HST on services sold across provinces, retained earnings building up faster than the owner draws them, single-client contracts that raise personal services business questions, and equipment purchases that need timing.
Trades and construction companies have their own reporting — T5018 slips for subcontractors, holdbacks and WSIB — covered on accounting for Oakville trades and contractors. Real estate agents, whether they work as sole proprietors or through a personal real estate corporation, are covered on accounting for Oakville realtors.
How working with an Oakville business actually runs
No part of an Oakville engagement asks you to leave your desk. The first conversation happens by email, video or phone, records arrive through a secure upload instead of a courier, and returns are approved by e-signature. Questions during the year are covered too. An email about a new hire, a lease or a client contract does not start a meter, because the fee was set in writing at the outset. Asking early is the point, because the useful answer comes before the decision.
One CPA stays on your file from the first call to the filed return, so whoever prepared it is the person who replies when you write. For owners in Bronte, Glen Abbey or anywhere else in town, that removes the commute and the second-guessing about whether a question will cost extra.
What an Oakville client’s year looks like
An Oakville client’s year is shaped by their fiscal year-end rather than the calendar. Books stay current month to month; we raise planning decisions — bonus versus dividend, timing a large purchase, whether to leave profit in the company — before the year closes, when they can still be acted on. HST returns file on their own cycle. Payroll remittances go to the CRA on their schedule and T4 slips at the end of February. The corporate return follows, and the balance owing comes due before the filing deadline, which is the detail that most often catches owners out. Separately, the Ontario annual return goes to the Ontario Business Registry within six months of year-end.
Owner-managed companies elsewhere in Ontario are served the same way. The provincial overview is at accounting in Ontario.
For year-end work specifically, Oakville financial statements covers compilation engagements, inventory and what a lender expects to see.

Two filings recur so often for Oakville companies that each has its own page. If you employ anyone, payroll services in Oakville covers source deductions, T4 slips and Ontario’s employer health tax. Remote accounting
EverStone works online and serves Oakville at a distance. No office or staff are located in Oakville. Calls, video and secure document exchange carry the whole engagement, so being nearby never matters. The CPA who answers you in July is the one who prepared your return in the spring, a continuity that bigger offices often lose.
How a remote engagement works in Ontario
Working with a CPA you never meet in person is ordinary now, and for an Ontario corporation it changes essentially nothing about how the return is prepared or filed.
- Access through CRA, not forms. You add us under CRA’s Represent a Client from your My Business Account, which takes a few clicks and nothing by mail. From then on we read your filings, balances and CRA letters ourselves instead of asking you to forward each one.
- Records arrive through a secure upload link. Statements, payroll registers and year-end packages come in through the upload link rather than as email attachments, and a phone is enough to send them.
- You sign on screen. The T183 and the engagement letter are signed in a browser window, with no printer, scanner or courier involved.
- Calls happen by video or phone. Enquiries, planning talks and the year-end review are booked around your calendar, not around a drive to an office.
- Returns go where they always went. We transmit to CRA electronically, and Ontario registry filings go to the Ontario Business Registry online.
What is specific to Ontario
Ontario harmonized its sales tax with the federal GST, so there is no separate provincial sales-tax return — one HST return covers both. The provincial corporate tax is administered through the federal T2 rather than filed separately. Employer Health Tax is the main standalone provincial account for Ontario employers, with its own exemption and filing schedule, and the Ontario Business Registry annual return is a corporate-law filing with a deadline of its own.
Current Ontario rates and thresholds live on the Ontario tax facts page. Every number on that page cites its source and the date it was last verified, and it lives there alone so it cannot drift out of date elsewhere.
Ontario questions we get
Does it matter that you have no Oakville office?+
For a corporate return, no. The T2 carries the Ontario schedules and is transmitted federally; nothing about the filing depends on where the preparer sits. Ontario employer and registry accounts are registered and filed online in either case.
Do you work with Oakville tech and life-sciences businesses?+
Do you work with businesses outside Oakville itself?+
