Choosing an accountant in Chilliwack, and what to ask first

Quick answer: Chilliwack’s economy is hands-on: dairy and agriculture, homebuilding and trades around Sardis and Vedder, and small manufacturers. Its accounting problems are concrete too: quota, herds, equipment and work in progress. Choose an accountant on whether they have handled those things before, whether the fee is fixed in writing, whether the same person stays on your file, and whether you can reach them between year-ends.

Why Chilliwack is a different search

Most guides to choosing an accountant assume a business that sells services from an office. Chilliwack has plenty of those, but its defining businesses are farms, trades companies and manufacturers, and each brings a kind of accounting that a general practice may see once a year or not at all.

Farm accounting is its own discipline. A dairy operation carries quota and a herd that both need valuing and both move on a year-end; AgriInvest and AgriStability filings run to their own deadlines; and cash flow is seasonal, which means the timing of purchases and the timing of tax matter more than they do for a business with steady monthly revenue.

On top of all of it sit BC’s two sales taxes, filed separately. The firm you choose should be able to talk about those things without looking them up.

The questions that separate firms

1. Have you prepared a farm year-end, and how recently?

Ask about the last dairy or agricultural file the firm completed, who did it and what the difficult part was. A firm that has done the work will name something specific: quota valuation, a herd count that did not reconcile, an AgriStability form that needed a restatement. A firm that has not will talk in generalities.

2. Who does the work, and who signs it?

The person at the first meeting and the person preparing your return can be different people, and in a growing practice the second one changes. Ask who prepares, who reviews and who signs. The answer you want is a name, and the same name next year.

3. Is the fee fixed and in writing?

A seasonal business needs to know its costs. Ask for a written fixed fee before any work begins, and ask what would change it. The fair answer names transaction volume, the state of the books, the number of filings and payroll. It does not name an hourly rate.

4. How do you handle timing?

On a farm or an equipment-heavy trades business, whether a purchase lands before or after the year-end changes the tax result, and so does when income is recognised. Ask how the firm plans that with you during the year rather than reporting it after. If the answer is that they see you once in the spring, the timing decisions are being made without an accountant.

5. Do you know both sales taxes?

BC charges GST and PST separately. They have different rules, different registrations and different filing periods, and the PST side is where businesses that sell goods, rent equipment or do certain kinds of contract work get caught. Ask how the firm keeps PST tied out to your sales records. An answer that treats it as an afterthought is a warning.

6. What does switching involve?

You authorise the new accountant with the CRA, the new firm requests your file from the old one, and work continues from the last filed year-end. Mid-year is fine. A backlog is not an obstacle; it is quoted separately so you can see the cost of clearing it before you decide.

How to compare two Chilliwack quotes

List what each quote includes and what it leaves out. For a farm, check whether program filings are inside the fee. For a trades company, check whether T5018 slips and clearance letters are. For anyone with staff, check payroll and T4s. Two numbers are only comparable when they cover the same work.

Then ask what questions through the year cost. The firm that includes them is usually the cheaper one over a full year even when its headline number is higher, because the decisions that save tax happen before the year-end, not after it.

Red flags worth walking away from

  • No experience with program filings on a farm file, or a plan to "look into it".
  • A fee that is described as an estimate, or that depends on an hourly rate.
  • PST not mentioned for a business that sells goods or rents equipment.
  • The year-end is the only time the firm expects to hear from you.
  • Nobody can say who will actually prepare and review the file.
