Fractional CFO support for Oakville companies

A growing owner-managed company usually reaches the same point: the books are accurate, the tax is filed, and the owner still cannot say with confidence what next quarter’s cash looks like or which work earns the margin. This page covers part-time CFO work for that stage; the general offering is on the fractional CFO page. It is part of EverStone’s work for Oakville businesses.

Quick answer: A fractional CFO is part-time senior financial leadership. For an Oakville manufacturer, supplier, software firm or professional practice the work centres on margin by product or client, a rolling cash-flow forecast, the cash tied up in receivables and inventory, and the numbers a lender asks for. For an Oakville company, fractional CFO work starts at $2,500 a month.

Filings: the T2, Schedule 1, Schedule 50, CCA, the small business deduction, T4 or T5 slips and instalments.

Fractional CFO services for Oakville, Burlington, Milton and the rest of Halton run remotely by the month, and the fractional controller half, margin by product and the close, is usually the first thing bought.

Fractional CFO work for Burlington, Milton, Halton Hills and Mississauga companies runs as it does for Oakville: remotely, on a monthly engagement.

Where Oakville companies usually need this

The Town of Oakville’s economic development office names advanced manufacturing, health and life sciences, technology and digital media, and professional services as the town’s key sectors, and notes that many Canadian head offices are located there. Around those large employers sits a layer of smaller companies that supply them: machine shops and fabricators, distributors, engineering and IT firms, software developers, marketing and media producers. Their financial problems tend to look alike. Revenue depends on a few large customers who pay on long terms. Cash is tied up in receivables, inventory or work in progress. Growth needs equipment or people before the revenue arrives. And the owner is still the one doing the forecasting, usually in their head.

A fractional CFO takes that work off the owner’s desk without the cost of a full-time hire. The engagement is monthly, priced in writing, and run by the same CPA who knows the books and the tax file.

Margin by product, customer or job

Most small companies know their overall gross margin and very little beneath it. A manufacturer can be making good money on one product line and losing it on another; a contractor can be profitable on service work and subsidizing large projects; a consultancy can have one client that consumes twice the hours its fee supports. None of that shows up in a single income statement.

The first piece of CFO work is usually to break the margin down: by product, by customer, by job or by service line, using the cost data the business already has. Where the data is missing — no job costing, no time tracking, overhead unallocated — we set it up first. The answer typically changes pricing on some work, ends some unprofitable relationships, and points sales effort at the business that actually pays.

A rolling cash-flow forecast

A thirteen-week cash forecast, updated weekly or monthly, is the single most useful tool a growing company can have. It shows when payroll, HST remittances, corporate instalments, loan payments and supplier terms fall due against when customers are expected to pay. It turns “we seem tight this month” into a specific week and a specific shortfall, early enough to do something about it: chase a receivable, delay a purchase, draw on the line or talk to the bank before the problem arrives. See cash-flow management.

Working capital: receivables, inventory and terms

A supplier selling to large customers on extended terms can be profitable and permanently short of cash. The gap between paying for materials and labour and being paid by the customer has to be funded somewhere — usually by the owner, the operating line, or late payments to suppliers. Measuring it is straightforward: days of sales sitting in receivables, days of cost sitting in inventory, days of purchases owed to suppliers. Improving it is a set of decisions: deposits on custom work, progress billing, tighter collection, leaner stock, better supplier terms. Each day saved is cash the business no longer has to borrow.

Equipment, financing and the lender relationship

Manufacturers and contractors grow by buying equipment, and equipment is bought with debt. Before the purchase, the CFO question is whether the machine pays for itself at realistic volumes, how the financing fits the cash forecast, and how the CCA claim lands for tax. After it, the question is the lender: monthly or quarterly reporting, covenant calculations, and a year-end package delivered on time. A bank that receives clear, timely numbers is a bank that says yes to the next request. See financing and lender readiness.

Software and digital-media firms: runway and revenue quality

For an Oakville software or digital-media company, the questions shift. How many months of runway does the current cash support at the current burn? How much of the revenue is recurring, and how quickly is it churning? Are annual prepayments being spent as if they were earned? Is the business ready for an investor’s diligence, with deferred revenue, contractor classification and HST on foreign sales all in order? A monthly reporting pack with those numbers on one page is usually the first deliverable.

Hiring and capacity

Professional-services and technical firms sell people’s time, so both over- and under-staffing are expensive. Capacity hired ahead of work burns cash; running short means declining work, relying on subcontractors at lower margin, and missing deadlines. The CFO view is a monthly comparison of committed work against capacity, plus an honest figure for what a new hire must bill or produce to cover their fully loaded cost, including CPP, EI, the Ontario employer health tax once payroll passes the exemption, and non-billable time.

When a company does not need this

If the books are months behind or time and job costs are not recorded, none of the above can be calculated, so fix that first through monthly bookkeeping. A very small business with the owner across every invoice is also unlikely to learn much from formal oversight.

It starts to pay when there is a specific discomfort: growth that has not improved profit, a cash squeeze despite a full order book, a lender asking for more than the business can produce, a large customer lost or won, or partners who disagree about what the numbers mean. Absent one of those, a timely close and a clean year-end deliver more. See bookkeeper, controller or CFO.

How the engagement works

Oakville engagements run remotely: a monthly video meeting to go through the numbers, a reporting pack delivered after each month-end close, and email in between for the decisions that cannot wait. The same CPA prepares the year-end statements and the T2, so the forecast and the tax plan come from one file.

This suits incorporated manufacturers and machine shops, distributors and suppliers to larger employers, contractors, software and digital-media companies, and professional firms. Related pages: year-end statements in Oakville and Oakville trades accounting.

Common questions

Oakville CFO questions

What does a fractional CFO do for an Oakville company?+
Part-time senior financial work: margin analysis, a rolling cash-flow forecast, working-capital management, lender reporting and the financial side of decisions about hiring, pricing and equipment. It sits above bookkeeping and the year-end, and uses the same file. Ask about your case →
How much does a fractional CFO cost in Oakville?+
Fractional CFO work starts at $2,500 a month, with the scope and fee fixed in writing before the engagement begins. A narrower fractional controller engagement, focused on the close and a monthly pack, costs less. See the published fees.
We are profitable but always short of cash. Why?+
Usually working capital: customers paying on long terms, inventory or work in progress building up, and suppliers paid faster than customers pay you. Measuring the days in each and changing billing, collection or stock levels is normally where the cash is.
Should we buy the new machine?+
That depends on volume, margin and financing. We model the purchase against realistic output, fit the loan payments into the cash forecast and check how the CCA claim affects tax, so the decision rests on numbers rather than a quote from the dealer.
How do I know when to hire?+
Against a monthly view of committed work versus capacity, not the last busy fortnight, and an honest figure for what a new person must bill or produce to cover their fully loaded cost.
Can a remote CPA support an Oakville company?+
Yes. The work is analysis, forecasting and reporting, all of which is delivered online, and the reporting standards and federal corporate return are national. Ontario corporate tax is administered through the federal T2, and provincial filings are handled as part of the engagement.
Do you work with businesses outside Oakville itself?+
Yes. A company in Burlington, Milton, Halton Hills or Mississauga works with us just as an Oakville one does, over video, phone, email and a secure upload link, on the same fixed fees.

Who this is for, and who it is not

This fits an Oakville company whose reporting has to satisfy somebody outside it — a lender, a board, a buyer — or an owner who needs the numbers to make the next decision. It does not fit a business that has not yet closed a month on time. Monthly close comes before forecasting, because a forecast is only as good as the month it starts from. A fee estimate costs nothing and takes a few minutes.

What happens when you get in touch

The first conversation is a video call or an email exchange, whichever suits you.

  1. Half an hour, no charge. Tell us about the company, what has been filed and what has slipped. A fixed fee comes back in writing, and you are free to decline it.
  2. Authorization in week one. With EverStone authorized with the CRA, notices and balances are pulled up directly. If you are switching firms, the old file is requested that week.
  3. Up to date, then ahead of it. The books are set up or caught up, late years are filed oldest first, and a year of deadlines is scheduled before any arrive.

Remote CFO support

CFO support for Oakville clients is delivered remotely. There is no Oakville office and no local team. Meetings are virtual, documents are signed electronically, and you deal with the CPA rather than an intake desk. The company’s forecasts and its corporate return draw on one file, so the figures match.

The moment there are employees, payroll in Oakville becomes the recurring obligation.

The year-end this all feeds into is corporate returns for Oakville owners.

Strategic decisions run on figures that arrive in time to use, which is a monthly reporting pack.

A company that mainly lacks a timely close and a monthly pack may want a fractional controller instead: narrower scope, lower fee.
