Abbotsford agri-food processors: what the year end has to show

Quick answer: Abbotsford’s business base is broader than its farms: the processors, packers, equipment dealers and input suppliers around them produce year ends that look like nothing else locally. Inventory has a shelf life and is written down when it passes it. Equipment is bought for food-safety compliance as much as for capacity, and is depreciated through CCA either way. Many sales are zero-rated for GST while inputs carry it, so refund positions are normal. And receivables settle after harvest, which concentrates revenue into part of the year. The return has to be built around those four facts.

Inventory that expires

Finished product, packaging and ingredients are valued at year end, and product past its date or failing quality is written down or off. The write-down is a real deduction and has to be supported — a disposal record, not a guess. A processor that carries expired stock at cost overstates profit and pays tax on inventory it will never sell.

Equipment bought for compliance

Coolers, washdown systems, stainless lines and traceability hardware are often bought because a certification or a buyer requires them, not because volume did. They are still capital: added to a CCA class and depreciated, with the half-year rule in the first year. Repairs that keep a line running are expensed; replacements that extend its life are capital. The line between them is where processors’ returns most often need correcting. See the CCA classes guide.

GST: zero-rated out, taxable in

Basic groceries are zero-rated, so a processor selling them charges no GST but recovers the GST paid on inputs, equipment and packaging. The result is a refund every period, and filing frequency becomes a cash-flow decision: a monthly filer gets the refund months sooner than an annual one. The line between zero-rated basic groceries and taxable snack or prepared foods is specific and worth confirming per product. The valley GST and PST guide has the registration side.

Seasonal revenue, year-round costs

Receivables from growers and buyers settle after harvest; payroll, leases and loan payments do not wait. Instalments calculated on last year’s result take no account of this year’s cash cycle, and the corporation’s year end is a choice that can be aligned with the season rather than the calendar. Both are conversations for before the year, not at filing time. The farm accountant page covers the growers’ side of the same relationship.

Common questions

Frequently asked

Can I write off product that expired?+
Yes, when it is actually disposed of or written down under your inventory method, with a record of what and when. The deduction follows the disposal, not the date on the label.
We are always in a GST refund position. Is that a problem?+
It is normal for a zero-rated seller and it is not a red flag on its own. The practical point is filing frequency: monthly filing returns the money sooner.
Can the corporation’s year end be moved to after harvest?+
A year end can be chosen at incorporation and changed later with CRA approval for a sound business reason; aligning with the season is one. The change has consequences for the first short year, so it is planned rather than switched.
