A Fixed-Fee Small Business Accountant for Guelph Manufacturers, Agri-Food Firms & Trades
EverStone CPA is a Canadian accounting firm working with owner-managed companies in Guelph and the surrounding Wellington County — corporate tax, bookkeeping, HST and plain-English advice, delivered by video, phone and secure email, at a fixed fee agreed before we start. Businesses in Fergus, Elora and Puslinch are served the same way.
Who we help here: Owner-run manufacturers and machine shops, food and agri-innovation companies, contractors and trades, consultants and technology firms, and farm families in the county who have incorporated or are thinking about it. Most want one CPA who can explain what the small business rate is protecting and what the next decision will cost.
Nearby, EverStone also serves businesses in Kitchener-Waterloo, Hamilton and Toronto.
Quick answer: EverStone works with incorporated Guelph businesses entirely online: corporate tax (T2), HST, bookkeeping, payroll and salary-versus-dividend planning, at a fixed fee quoted up front rather than an hourly meter. There is no Guelph office, and none is needed for any of it. For a Guelph business, published fees start at $100 for a personal return and $300 a month for bookkeeping.
Guelph industries we work with most: construction and trades, agencies and studios and owner-run manufacturers, whose year-end is covered on the Guelph financial statements page.
For a one-owner Guelph corporation, our accounting fees for monthly bookkeeping, payroll and the year-end T2 with statements usually run from $450 to $650 a month all-in.

CPA-level rigour, sized for an owner-run Guelph business
Guelph is a city where a lot of the private economy is made up of companies with one or two owners and a handful to a few dozen staff: a machining or fabrication shop supplying larger manufacturers, a food business that grew out of a research idea, a renovation contractor, a consultancy. Those owners tend to fall between two kinds of accountant. One is a large firm whose fees assume a much bigger client. The other is a seasonal preparer who files the return but never looks at the decisions behind it.
We sit between those. Every Guelph client has one Chartered Professional Accountant who reviews the file personally, year-round, never a junior learning on your return. Meetings happen by video or phone, documents move by secure upload and e-signature, and the fee is fixed and confirmed in writing before any work begins.

What Ontario’s rules change for a Guelph company
One combined sales tax, a corporate rate that recently fell, and a payroll tax that arrives as a company grows.
One sales tax, not two
Ontario charges a single 13% HST rather than separate federal and provincial sales taxes. For a Guelph manufacturer or contractor that means one registration, one return and one set of input tax credits, and the provincial part of the tax paid on materials and equipment comes back the same way the federal part does. Exporters and farm producers often make zero-rated sales and sit in a refund position, which makes clean books matter more.
Corporate tax rate
Ontario taxes active small-business income at 2.2% provincially for days after 30 June 2026 (3.2% before that date, prorated across a straddling year), on top of the 9% federal small-business rate, on a $500,000 business limit. Profit above the limit, or income that is not active business income, is taxed at the 26.5% combined general rate. Planning owner pay and equipment purchases around that line is where most of the savings sit.
Employer Health Tax
Once a Guelph employer’s annual Ontario payroll passes the $1,000,000 exemption, Employer Health Tax applies on top of CPP and EI. Manufacturers adding a second shift, or a group with an operating company and a sister company, can cross that line without noticing; associated employers share one exemption. We track it so it is never a year-end surprise.

Personal Tax (T1)
Personal and self-employed T1 returns for Guelph owners and farm families, built around a salary-and-dividend mix that suits the Ontario surtax and health premium rather than fighting them.
Bookkeeping & Payroll
Cloud bookkeeping and payroll for Guelph companies, kept current monthly so the numbers are ready when a lender, a buyer or a CRA review asks for them.
GST/HST
Ontario’s 13% HST registered, filed and reconciled against your books each period, with input tax credits on materials and equipment claimed in full and zero-rated sales coded correctly.

Built around how Guelph companies actually make money
The City of Guelph names advanced manufacturing, agri-innovation and life sciences as its industry clusters, with cleantech and information and communications technology among its priority sectors. Around that sits a large public sector, including schools, hospitals and the University of Guelph. In practice that produces a particular mix of private clients: suppliers and job shops making parts for bigger manufacturers, food and agricultural technology companies, engineering and technical consultancies, and the trades that build and maintain all of it.
Each of those raises its own accounting questions. A manufacturer carries inventory and work in progress that has to be counted and valued at year-end. A research-driven company may be spending on development work that qualifies for scientific research and experimental development credits, but only if the records were kept while the work happened. A consultant whose main client is a single institution has to keep an eye on the personal services business rules. We handle the T2, HST, payroll and statements, and the retained-earnings and owner-pay decisions that decide how much of the profit reaches the owner.

When equipment, inventory and the business limit meet at year-end
Many Guelph owners incorporate for the same reason everyone does: the combined federal-and-Ontario small-business rate on active business income is far lower than personal rates on the same dollars. For a manufacturer or a contractor, though, the year-end decision is rarely just salary versus dividend. It is tangled up with when a new machine goes into service, how the inventory on the floor is valued, and whether the year’s profit is about to push past the $500,000 business limit.
Equipment is recovered through capital cost allowance by class, and the timing of when an asset is available for use decides which year gets the deduction. Inventory and work in progress are measured at the lower of cost and net realizable value, so an obsolete-parts review at year-end is a tax question as much as a bookkeeping one. And where an owner holds more than one company, or a spouse owns a related company, the associated corporation rules can force the companies to share one business limit.
None of that is unique to Guelph, but it lands harder on exactly the kind of business the city has a lot of: profitable, capital-intensive and owner-run. We look at the position before the year closes, while the purchase date, the inventory count and the owner’s pay can still be adjusted, rather than reporting on it afterwards.

Working with a virtual small business accountant in Guelph
Working with a CPA who is not down the street changes nothing about what gets filed. Corporate tax, GST/HST and payroll are federal systems, and Ontario’s corporate tax is administered together with the federal return, so a single T2 covers both. What does change is how the year runs.
Onboarding happens over one call and a secure document upload rather than an afternoon in a waiting room. Questions in June are answered by the same person who prepared the return in March. For a Guelph manufacturer or contractor the recurring work is usually HST on materials and equipment, instalments once the first profitable year lands, CCA on new equipment and the year-end inventory count.

Guelph industries we work with most
The Guelph owners we work with are mostly manufacturers and the job shops that supply them, food and agricultural technology companies, contractors and renovators, and consultants and technology firms billing larger organizations. Out in the county, around Fergus and Elora in Centre Wellington, agriculture and manufacturing are the main sectors and the heritage towns draw visitors, so farm families and tourism businesses sit alongside them. The recurring issues are inventory and equipment at year-end, HST on materials and zero-rated sales, payroll that grows faster than the systems behind it, and single-client contracts that raise personal services business questions.
Those are file-level problems, not local ones, which is why distance from Guelph changes nothing about how we handle them. Contractors and renovators are a large group of their own. See accounting for Guelph trades and contractors. Agencies, studios and technology consultancies are another. See accounting for Guelph agencies and studios.
How working with a Guelph business actually runs
No part of a Guelph engagement asks you to drive anywhere. The first conversation happens by email, video or phone, records arrive through a secure upload, and returns are approved by e-signature. Questions during the year are covered as well. An email about a new hire, a machine purchase or a customer contract does not start a meter, since the fee was set in writing at the outset. Asking early is the whole idea, because the useful question comes before the decision.
One CPA stays on your file from the first call to the filed return, so whoever prepared it is also who answers your next email. For an owner running a shop floor or a job site all day, that removes both the trip and the second-guessing about whether a question will cost you.
What a Guelph client’s year looks like
A Guelph client’s year is shaped by their fiscal year-end rather than the calendar. Books stay current month to month; we raise planning decisions — bonus versus dividend, timing an equipment purchase, whether to leave profit in the company — before the year closes, when they can still be acted on. HST returns file on their own cycle, payroll remittances on theirs. The corporate return follows, and the balance owing comes due before the filing deadline, which is the detail that most often catches owners out. The Ontario Business Registry annual return is due within six months of the year-end and is diarised on the same calendar.
Owner-managed companies elsewhere in Ontario are served the same way. The provincial overview is at accounting in Ontario.
For year-end work specifically, Guelph financial statements covers inventory, work in progress, equipment and lender reporting.

Two filings recur so often for Guelph companies that each has its own page. If you employ anyone, payroll services in Guelph covers Ontario employer health tax, WSIB and shift and seasonal staff. If you charge sales tax, GST/HST filing in Guelph covers the single 13% HST, zero-rated sales and the Quick Method question.

Remote accounting
EverStone works online and serves Guelph at a distance. No office or staff are located in Guelph. Calls, video and secure document exchange carry the whole engagement, so being nearby never matters. The CPA who answers you in March is the one who prepared your return the year before, a continuity that bigger offices often lose.
How a remote engagement works in Ontario
Working with a CPA who is not local is ordinary now, and for an Ontario corporation it changes essentially nothing about how the return is prepared or filed.
- Access through CRA, not forms. You add us under CRA’s Represent a Client from your My Business Account, which takes a few clicks and nothing by mail. From then on we read your filings, balances and CRA letters ourselves instead of asking you to forward each one.
- Records arrive through a secure upload link. Statements, payroll registers, inventory counts and year-end packages come in through the upload link rather than as email attachments, and a phone is enough to send them.
- You sign on screen. The T183 and the engagement letter are signed in a browser window, with no printer, scanner or courier involved.
- Calls happen by video or phone. Enquiries, planning talks and the year-end review are booked around your calendar and your shifts.
- Returns go where they always went. We transmit to CRA electronically, and Ontario employer accounts are filed online with the province.
What is specific to Ontario
Ontario harmonized its sales tax with the federal GST, so there is no separate provincial sales-tax return to file — one HST return covers both. The provincial corporate return is administered through the federal T2 rather than filed separately. Employer Health Tax is the main standalone provincial account for Ontario employers, with its own exemption and filing schedule, and WSIB coverage is separate again.
Current Ontario rates and thresholds live on the Ontario tax facts page. Every number on that page cites its source and the date it was last verified, and it lives there alone so it cannot drift out of date elsewhere.
Ontario questions we get
Does it matter that you are not in Guelph?+
For a corporate return, no. The T2 carries the Ontario schedules and is transmitted federally; nothing about the filing depends on where the preparer sits. Provincial employer accounts are registered and filed online in either case.
When are meetings held?+
During your business day, booked in your local time. Most owners prefer email for routine questions and a short video call around the year-end.
Do you work with Guelph food and agri-food businesses?+
Do you work with businesses outside Guelph itself?+
