A Fixed-Fee CPA for Vaughan’s Manufacturers, Builders & Distributors
EverStone CPA is a Canadian accounting firm working with owner-managed companies across Vaughan and York Region — corporate tax, bookkeeping, HST and plain-English advice, delivered by video and secure email at a fixed fee agreed before we start. Businesses in Woodbridge, Maple, Concord and Kleinburg are served the same way.
Who we help here: Manufacturers and fabricators, distribution and logistics companies, general contractors and specialty trades, food processors, technology firms and the family-run service businesses that sit around them. Most are incorporated, carry inventory or equipment, and want one CPA who understands the whole file rather than a different person for each filing.
Quick answer: Vaughan has plenty of accountants. What owners here usually want is one who answers, understands inventory, equipment and job costing, and quotes a fixed fee before the work starts. EverStone works with incorporated Vaughan businesses entirely online: corporate tax, HST, bookkeeping, payroll and salary-versus-dividend planning. Published fees start at $100 for a personal return and $300 a month for bookkeeping.
Vaughan industries we work with most: construction and trades, restaurants and hospitality and manufacturers who need year-end statements a lender will accept.
For a one-owner Vaughan corporation, our accounting fees for monthly bookkeeping, payroll and the year-end T2 with statements usually run from $450 to $650 a month all-in.

Restaurants, cafes and caterers carry obligations no other retailer does; they are gathered in the restaurant and hospitality accounting hub.
CPA-level rigour, sized for an owner-run Vaughan company
Vaughan’s business base leans heavily towards companies that make, move and build things. A shop floor in Concord, a distribution warehouse near the highways, a renovation contractor working out of Maple: each of these has a balance sheet that does real work. Inventory has to be counted and valued, equipment has to be capitalized and depreciated through capital cost allowance, and work in progress has to land in the right year. A generalist who only ever sees a consultant’s file tends to miss exactly those items, and a large firm tends to bill for them by the hour.
Every Vaughan client is assigned one Chartered Professional Accountant who reviews the file personally, year-round — never a junior associate learning on your return. Meetings happen by video, documents move by secure upload and e-signature, and your fee is fixed and confirmed in writing before any work begins.

How Ontario’s rules shape the numbers for a Vaughan company
One combined sales tax, a corporate rate that just changed, and a payroll levy that arrives with growth.
One sales tax, fully recoverable
Ontario charges a single 13% HST rather than separate federal and provincial sales taxes. For a Vaughan manufacturer or distributor that matters on the purchasing side: HST paid on raw materials, machinery, racking and trucks comes back as input tax credits, so no provincial tax is buried in the cost of what you sell. The work is making sure the books capture every credit.
Corporate tax rate
Ontario taxes active small-business income at 2.2% provincially for days after 30 June 2026 (3.2% before that date, prorated across a straddling year), on top of the 9% federal small-business rate, on a $500,000 business limit. General income is taxed at 26.5% combined. For a profitable shop or contractor near the limit, that gap is the number to plan against.
Employer Health Tax
Once a Vaughan employer’s annual Ontario payroll passes the $1,000,000 exemption, Employer Health Tax applies on top of CPP and EI. Manufacturers and contractors with a crew on the floor or on site often reach that level sooner than an office business would. We track it so it is never a year-end surprise.
Accounting & tax services for Vaughan businesses
Everything an incorporated Vaughan business needs, under one roof — delivered online.
Corporate Tax (T2)
T2 corporate returns and year-end statements for Vaughan manufacturers, contractors and distributors, with CCA schedules, the small business deduction and instalments handled as part of the file.
Personal Tax (T1)
Personal T1 returns for Vaughan owners and their families, prepared from the same facts as the corporate return so salary, dividends and family shareholdings line up.
Bookkeeping
Cloud bookkeeping kept current monthly, with inventory, job costs and supplier accounts reconciled so the numbers are ready when a bank, a buyer or the CRA asks.
GST/HST
Ontario’s 13% HST filed and reconciled each period, with input tax credits on equipment and inventory claimed properly rather than left in the cost base.
Payroll
Pay runs, CRA remittances, Employer Health Tax and T4 slips for Vaughan employers with shift workers, site crews or seasonal staff.
Fractional CFO
Part-time CFO support for growing Vaughan companies — margin by product or job, working capital, forecasting and the reporting a lender wants to see.
Built around companies that make, move and build
The City of Vaughan describes an economy driven by advanced manufacturing, logistics, distribution and e-commerce, food processing, information and communication technology, life sciences and construction. Industrial, manufacturing and warehousing businesses have long been a large part of that, supported by big employment areas and the road and rail links that run through the city. In the middle sits the Vaughan Metropolitan Centre, planned as the city’s downtown around the subway terminus, with offices, homes and services growing up beside it.
Those businesses share accounting questions. How should inventory be counted and valued at year-end? When does a new press, forklift or truck go on the books, and which CCA class does it fall into? How do HST input tax credits stay clean when a supplier invoice mixes goods, freight and installation? We work with these files specifically — corporate tax, HST, payroll and statements, plus the salary-and-dividend and retained-earnings planning that decides how much of the profit reaches the owner.

When a big equipment purchase lands in the wrong year
A Vaughan fabricator, printer or food processor will buy a significant machine every few years, and a contractor will replace a truck or an excavator on a similar cycle. The purchase is usually decided on operational grounds — the old one is failing, a contract needs the capacity — and the tax side is an afterthought. That is a pity, because the timing relative to your fiscal year-end changes how much capital cost allowance you can claim in the first year, and therefore how much corporate tax is paid in the year the cash leaves the bank.
Equipment is not expensed in full. It goes into a CCA class with its own rate, and the first-year claim depends on the rules in force when the asset becomes available for use, not when it is ordered or paid for. A machine that arrives in the last week of the year but is not installed and running until the following month may not qualify when you expected. Financing adds another layer: the interest is deductible, the principal is not, and a lease is treated differently again. The HST on the purchase is a separate question — recoverable as an input tax credit, but only if the invoice and the registration details are in order.
None of this is complicated once it is on the table. The problem is that it usually reaches the accountant after the purchase, when the only thing left to do is report it. We ask about planned purchases before the year closes, model the effect on the T2 and the instalments for the year ahead, and make sure the asset is recorded in the right class with the paperwork to support it. The guide to CCA classes sets out how the classes work.

Working with a virtual small business accountant in Vaughan
Working with a CPA who has no office in Vaughan changes nothing about what gets filed. Corporate tax, GST/HST and payroll are federal systems, and Ontario’s corporate tax is administered with the federal return, so a single T2 covers both. What changes is how the year runs.
Onboarding happens over one video call and a secure document upload rather than a drive along Highway 7. Questions in July are answered by the same person who prepared the return in the spring, and nothing waits in a queue behind a walk-in. For a Vaughan manufacturer or contractor the recurring work is usually the inventory count and valuation, equipment additions and their CCA class, HST input tax credits on large purchases, and instalments once the first strong year lands.

Vaughan industries we work with most
The Vaughan owners we work with are mostly manufacturers and fabricators, wholesale and distribution companies, builders and specialty trades, and restaurants and caterers, with a steady stream of newly incorporated contractors and technology consultants alongside them. The recurring issues are inventory and work in progress at year-end, the CCA class and timing of equipment, T5018 slips for subtrades, Employer Health Tax as headcount grows, and dividends paid to family shareholders.
Those are file-level problems, not local ones, which is why distance from Vaughan changes nothing about how we handle them. Builders and renovators are a large group on their own. See accounting for Vaughan trades and contractors. Restaurants and hospitality operators are a distinct group again. See restaurant accounting in Vaughan.
How working with a Vaughan business actually runs
No part of a Vaughan engagement asks you to leave the shop or the site. The first conversation happens by email or a video call, records arrive through a secure upload instead of a courier, and returns are approved by e-signature. Questions during the year are covered as well. An email about a new hire, a lease or a supplier contract does not start a meter, since the fee was set in writing at the outset. Asking early is the whole idea, because the useful question comes before the decision.
One CPA stays on your file from the first enquiry to the filed return, so whoever prepared it is also who answers your next email. For owners who spend the day on a shop floor or a job site, that removes the drive and the second-guessing about whether a question will cost you.
What a Vaughan client’s year looks like
A Vaughan client’s year is shaped by the fiscal year-end rather than the calendar. Books stay current month to month; we raise planning decisions — bonus versus dividend, timing an equipment purchase, counting inventory, whether to leave profit in the company — before the year closes, when they can still be acted on. HST returns file on their own cycle. The corporate return follows, and the balance owing comes due before the filing deadline, which is the detail that most often catches owners out. The instalments guide explains how next year’s payments are set.
Owner-managed companies elsewhere in Ontario are served the same way. The provincial overview is at accounting in Ontario.
For year-end work specifically, Vaughan financial statements covers inventory, work in progress and the compilation report a lender expects.

Remote accounting
EverStone works online and serves Vaughan at a distance. No office or staff are located in Vaughan. Video calls, email and secure document exchange carry the whole engagement, so being nearby never matters. The CPA who answers you in October is the one who prepared your return in the spring, a continuity that bigger offices often lose. EverStone works with owner-managed businesses in BC, Alberta, Ontario and Manitoba.
How a remote engagement works in Ontario
Working with a CPA you never meet in person is ordinary now, and for an Ontario corporation it changes essentially nothing about how the return is prepared or filed.
- Access through CRA, not forms. You add us under CRA’s Represent a Client from your My Business Account, which takes a few clicks and nothing by mail. From then on we read your filings, balances and CRA letters ourselves instead of asking you to forward each one.
- Records arrive through a secure upload link. Statements, payroll registers, count sheets and year-end packages come in through the upload link rather than as email attachments, and a phone camera is enough to send them.
- You sign on screen. The T183 and the engagement letter are signed in a browser window, with no printer, scanner or courier involved.
- Meetings happen by video. Enquiries, planning talks and the year-end review are booked around your schedule, not around a trip down Highway 400.
- Returns go where they always went. We transmit to the CRA electronically, and the Ontario Business Registry annual return is filed online.
What is specific to Ontario
Ontario harmonized its sales tax with the federal GST, so there is no separate provincial sales-tax return to file — one HST return covers both. The provincial corporate tax is administered through the federal T2 rather than filed separately, while the corporation’s annual return goes to the Ontario Business Registry within six months of year-end. Employer Health Tax is the main standalone provincial account for Ontario employers, with its own exemption and filing schedule, and workplace coverage runs through the WSIB.
If you are comparing firms first, ask any of them three things: who actually prepares the return, how the fee is set, and how quickly an email gets a reply.
Current Ontario rates and thresholds live on the Ontario tax facts page. Every number on that page cites its source and the date it was last verified, and it lives there alone so it cannot drift out of date elsewhere.
Ontario questions we get
Does it matter that you have no office in Vaughan?+
For a corporate return, no. The T2 carries the Ontario schedules and is transmitted federally; nothing about the filing depends on where the preparer sits. Provincial employer accounts are registered and filed online in either case.
When are meetings held?+
At times that suit you, booked in your local time. Most owners prefer email for routine questions and a video call for the year-end review and planning.
Do you work with Vaughan technology and software businesses?+
Do you work with businesses elsewhere in York Region?+
