A Fixed-Fee Accountant for Richmond Hill’s Tech, Health & Professional Firms
EverStone CPA is a Canadian accounting firm working with owner-managed companies in Richmond Hill and the rest of York Region — corporate tax, bookkeeping, payroll and plain-English advice, delivered by video, phone and secure email, at a fixed fee agreed before we start. Businesses in Oak Ridges, Aurora, Markham and Vaughan are served the same way.
Who we help here: Engineering and technical consultancies, software and electronics companies, health and life-sciences businesses, insurance and financial-services professionals, and the many small firms that make up most of the city’s business base. These are owners who want one CPA who understands both the corporate return and how the business actually earns its money.
Quick answer: A Richmond Hill company files one T2 that carries both federal and Ontario corporate tax, charges a single 13% HST, and picks up Ontario employer health tax only once payroll passes the $1,000,000 exemption. EverStone handles all of it online, with no office visits, at a fixed fee quoted up front rather than an hourly meter. Published fees start at $100 for a personal return and $300 a month for bookkeeping.
Richmond Hill work we see most: tech and medtech startups, trades and contractors and growing companies that need a CFO view.
For a one-owner Richmond Hill corporation, our accounting fees for monthly bookkeeping, payroll and the year-end T2 with statements usually run from $450 to $650 a month all-in.

CPA-level work, sized for an owner-run Richmond Hill company
Richmond Hill sits just north of Toronto in York Region, and its business base leans heavily toward knowledge work. The City’s economic development office names professional, scientific and technical services, health, finance and insurance, and information and culture as its key sectors, and it points to a strong high-tech presence alongside pharmaceutical, nutraceutical and medical-device companies. It also notes that small businesses make up more than 80% of the businesses in the city. That combination describes our client well: a small, profitable, owner-managed corporation doing technical or professional work, often with one or two staff and a spouse on the shareholder register.
Every Richmond Hill client is assigned one Chartered Professional Accountant who reviews the file personally, year-round — not a rotating junior. Meetings happen by video or phone, documents move by secure upload and e-signature, and the fee is fixed and confirmed in writing before any work begins.

The three Ontario rules that shape a Richmond Hill company’s year
A single sales tax, a corporate rate that changed mid-2026, and a payroll tax that waits until you grow.
One sales tax
Ontario charges a single 13% HST made up of a 5% federal and an 8% provincial component. A Richmond Hill business holds one registration, files one return and recovers the whole 13% it pays on business inputs through input tax credits. Nothing provincial is left buried in costs, provided the books capture every credit.
Corporate tax rate
Ontario taxes active small-business income at 2.2% for days after 30 June 2026 (3.2% before that, prorated across a straddling year), on top of the 9% federal rate, for a combined 11.2% on the first $500,000. General income is taxed at 26.5% combined. How you pay yourself decides how much profit stays inside the lower band.
Employer Health Tax
Ontario’s employer health tax applies once total Ontario payroll passes the $1,000,000 exemption, on top of CPP and EI. Most small Richmond Hill employers sit below it; a growing tech or health company with associated corporations can cross it sooner than expected, because the group shares one exemption.
Accounting & tax services for Richmond Hill businesses
Everything an incorporated Richmond Hill business needs, from one CPA — delivered online.
Corporate Tax (T2)
T2 corporate returns for Richmond Hill corporations, with the small business deduction, CCA schedule, instalments and the Ontario Business Registry annual return kept on one calendar.
Personal Tax (T1)
T1 returns for Richmond Hill owners and families, prepared from the same file as the company so salary, dividends and the Ontario surtax are planned together rather than discovered in April.
Bookkeeping
Cloud bookkeeping reconciled monthly, with HST coded correctly and project or development time tracked where an SR&ED claim depends on it.
GST/HST
13% HST registered, filed and reconciled each period, including sales to customers in other provinces and abroad, where the place-of-supply rules decide the rate.
Payroll
Pay runs, CRA remittances, T4 slips and WSIB reporting for Richmond Hill employers, with employer health tax watched across associated companies.
Fractional CFO
Part-time CFO support for Richmond Hill companies that have outgrown a bookkeeper — cash forecasts, margin by product or contract, and reporting a lender will accept.
Built around technical work, health and professional services
The City of Richmond Hill describes itself as a place where small and medium-sized businesses thrive alongside head-office operations, and its business profiles feature software developers, electronics firms, robotics and advanced manufacturers, and a cluster of life-sciences and medical-technology companies. The City even runs an annual life-sciences business summit, MedEdge, each June. For an accountant that mix produces a recognisable set of questions: how to keep the records an SR&ED claim needs, how to price contract engineering work, how to treat equipment under the CCA rules, and when a growing company should start thinking about a holding company.
We work with these businesses on corporate tax, HST, payroll and year-end statements, plus the salary-and-dividend and retained-earnings planning that decides how much of the profit reaches the owner.

Development work that never makes it into the claim
A good share of Richmond Hill’s small technology and health companies do real experimental development: firmware that has to work on new hardware, software that solves a problem nobody has packaged yet, a device or formulation that needs repeated testing. Much of that work can qualify for the federal Scientific Research and Experimental Development program, claimed on Form T661 with the T2. For a Canadian-controlled private corporation, the credit can be partly or fully refundable, which means cash even in a loss year.
The claim most often fails on records rather than on science. If developers log time against projects during the year, the eligible salaries can be traced and defended. If nobody does, the claim is rebuilt from memory long after the year-end and trimmed to what can be supported. Grants received for the same work generally reduce the expenditure base, so they have to be coded to the project they funded when the money arrives, not netted into general revenue.
We set the bookkeeping up so that the claim is a by-product of the monthly close: time and cost tagged to projects, assistance recorded separately, and founder salary planned with the claim in mind, since salary for qualifying work can count while a dividend cannot. The detail is on our Richmond Hill tech startup page.

Working with a virtual small business accountant in Richmond Hill
Working with a CPA who has no office in Richmond Hill changes nothing about what gets filed. Corporate tax, GST/HST and payroll are federal systems, and Ontario’s corporate tax is collected through the same T2, so one return covers both. What changes is how the year runs: one person, reachable by email, who already knows the file.
Onboarding is one video call and a secure upload rather than a drive across York Region. Questions in July are answered by the person who prepared the return in the spring, and nothing sits behind a walk-in queue. For a Richmond Hill company the recurring work is usually HST on sales to customers outside Ontario, instalments once the first profitable year lands, CCA on equipment, and the question of what to do with profit the owner does not need to draw.
Province-wide detail sits on the Ontario small business page, and the rates behind every figure here are on Ontario tax facts.

Richmond Hill industries we work with most
The Richmond Hill owners we work with are mostly technical and professional businesses: engineering and IT consultancies, software and electronics companies, health-care practices and medtech firms, insurance and financial advisers, plus a steady stream of trades and newly incorporated contractors. The recurring issues are HST on services sold outside Ontario, CCA on equipment and computer hardware, retained earnings building up faster than the owner draws them, and single-client contracts that raise personal services business questions.
Those are file-level problems rather than local ones, which is why having no Richmond Hill office changes nothing about how we handle them. Contractors and builders have their own obligations under Ontario construction rules; see accounting for Richmond Hill trades.
How a Richmond Hill engagement actually runs
No part of the engagement asks you to drive anywhere. The first conversation happens on a video or phone call, records arrive through a secure upload instead of a courier, and returns are approved by e-signature. Questions during the year are covered too. An email about a new hire, a lease or a client contract does not start a meter, because the fee was set in writing at the outset. Asking early is the point, because the useful answer comes before the decision.
One CPA stays on your file from the first call to the filed return. For owners anywhere from Oak Ridges to the southern edge of the city, that removes both the commute and the guesswork about whether a question will cost extra.
What a Richmond Hill client’s year looks like
A client’s year follows the company’s fiscal year-end rather than the calendar. Books stay current month to month; we raise planning decisions — bonus versus dividend, timing an equipment purchase, whether to leave profit in the company — before the year closes, while they can still be acted on. HST returns file on their own cycle. The corporate return follows, and the balance owing is due before the filing deadline, which is the detail that most often catches owners out. The registry annual return is due within six months of year-end and sits on the same calendar.
Owner-managed companies elsewhere in the province are served the same way; the provincial overview is at accounting in Ontario. If you are weighing firms, what to ask an accountant before you sign applies just as well in York Region.
For year-end work specifically, Richmond Hill financial statements covers compilations, equipment, deferred revenue and what a lender expects to see.

Remote accounting
EverStone works online and serves Richmond Hill at a distance. There is no office or staff in Richmond Hill. Calls, video and secure document exchange carry the whole engagement, so being nearby never matters. The CPA who answers your question in the autumn is the one who prepared your return in the spring, a continuity that larger offices often lose.
How a remote engagement works in Ontario
Working with a CPA you never meet in person is ordinary now, and for an Ontario corporation it changes nothing about how the return is prepared or filed.
- Access through CRA, not forms. You add us under CRA’s Represent a Client from your My Business Account, which takes a few clicks and nothing by mail. From then on we read your filings, balances and CRA letters ourselves.
- Records arrive through a secure upload link. Statements, payroll registers and year-end packages come in through the upload link rather than as email attachments, and a phone is enough to send them.
- You sign on screen. The T183 and the engagement letter are signed in a browser window, with no printer, scanner or courier involved.
- Calls happen by video or phone. Enquiries, planning talks and the year-end review are booked around your calendar, not around traffic.
- Returns go where they always went. We transmit to CRA electronically, and the registry annual return is filed online with the Ontario Business Registry.
What is specific to Ontario
Ontario harmonized its sales tax with the federal GST, so there is no separate provincial sales-tax return — one HST return covers both. The provincial corporate tax is administered through the federal T2 rather than filed separately. Employer health tax is the main standalone provincial account for Ontario employers, with its own exemption and annual return, and WSIB is a separate registration again.
Current Ontario rates and thresholds live on the Ontario tax facts page. Every number on that page cites its source and the date it was last verified, and it lives there alone so it cannot drift out of date elsewhere.
Ontario questions we get
Does it matter that you have no office in Richmond Hill?+
For a corporate return, no. The T2 carries the Ontario schedules and is transmitted federally; nothing about the filing depends on where the preparer sits. Provincial employer accounts are registered and filed online either way.
Do you work with Richmond Hill tech and medtech businesses?+
When is my Ontario annual return due?+
